1 Dear Property Manager: Hamilton Point Property Management takes pride in creating a positive first impression for all of our customers through caring, efficient and knowledgeable Maintenance Associates. While it is important to ensure compliance with Federal Fair Housing Laws and Hamilton Point s Operations Practices, it is equally important to ensure a new maintenance associate is prepared and confident in performing his/her duties as a maintenance professional. Therefore, a newly hired Maintenance Associate will be required to learn, practice and complete the, prior to performing on their own. Your responsibility is assigning the Maintenance Orientation Workbook to the new Maintenance Associate on the first day of employment. The new Associate will have 6 business days to complete this workbook. To complete the workbook as scheduled, you will need to complete the new hire paperwork the first day of employment and obtain the Associate number for Day 2 assignments. You or the Maintenance Supervisor will need to be available to help the new Maintenance Associate work through the Maintenance Orientation Workbook and answer questions. You (or the Maintenance Supervisor) and the new Maintenance Associate will need to complete the Day 6 completion sheet and the scanned document to Human Resources in the corporate office. This program is not optional and is a job requirement for all Maintenance Managers, Maintenance Supervisors, and Maintenance Technicians. Manager Action Items: -Provide Maintenance Orientation Workbook to Maintenance Associate. -Follow as specified on each day of the workbook. -Scan and the Day 6 Verification to Human Resources/Corporate Office -Keep completed Workbook in Associate s file.

2 Dear New Associate: Congratulations on your new position and welcome to Hamilton Point Property Management. We are excited you chose to become a member of our team. As a company, we take pride in creating a positive first impression for all of our customers through caring, efficient, and knowledgeable associates. While it is important to ensure compliance with Federal Fair Housing Laws, and Hamilton Point s Operating Practices, it is equally important to ensure you are prepared and confident in performing your duties as maintenance professional. As your introduction into our organization, you are required to complete the attached Maintenance Orientation Workbook along with all task assignments in the workbook over the next 6 days. On the 6 th day you will complete the verification sheet for your supervisor. We are excited to have you as a new member of our team. Welcome!

3 Day 1 -Supply Associate with New Hire Paperwork Packet. -Complete Orientation Checklist in the New Hire Paperwork Packet. -Discuss Associates hours including start time, breaks, and end time. -Review procedure on who to talk to in the event Associate is going to miss work or be late. -Order HPPM uniforms. -Discuss expectations and requirements for Professional Conduct/Behavior and Appearance. -Property Tour to include: break and smoking areas, property amenities and introduction to all staff. -Provide Associate with key(s) and/or access card(s). -Meet with Associate at the end of the day to discuss any questions or concerns. -Read and review the information supplied in the New Hire Paperwork Packet. -Shadow supervisor, or designated Associate, for the day.

4 Day 2 -Discuss any local or state differences or expectations to the Fair Housing guidelines. If unsure contact the local apartment association. -Show Associate the key tracking system, review key policies, and show Associate how to use the key tracking system. -Review service request system and train Associate on the process. -Review policies and procedures for entering and working in occupied units. -Meet with Associate at the end of the day to discuss any questions or concerns. -Shadow Supervisor, or designated employee, for the rest of the day. -Review key tracking system. -Review policy on entering and working on occupied units. -Shadow supervisor or designated Associate for the rest of the day.

5 Day 3 -Show the Associate where they can find Operating Practices and explain what it covers. -Discuss the Make Ready process with the Associate. -Provide the Associate with the following forms to assist them when doing work in a vacant unit: -Pre-Move Out Inspection Checklist -Make Ready Unit Inspection Checklist -Maintenance Make Ready Checklist -Cleaning Make Ready Checklist -Perform a Pre-Move Out Inspection with the new Associate and with a Leasing Associate. -Review the Make Ready Board. Explain its importance and how it is used. -Take the Associate on a detailed tour of the Maintenance Shop. Explain how parts are organized and what the procedure is for taking parts needed for repairs. -Have the Associate work in a vacant unit/ make ready. -If possible, show the Associate one of each type of unit at the community. -Meet with the Associate at the end of the day to discuss any questions or concerns. -Review Move Out and Make Ready Inspection Forms. -Review and understand Make Ready Board. -Work in vacant unit/ make ready.

6 Day 4 -Discuss curb appeal with the Associate. -Review the log books with the Associate. Explain their importance and how they are used: -Tool & Equipment Inventory Log -Capital Inventory Log -Key Sign Out Log -Review any special items for amenities on the property. (example: pool maintenance) -Have the Associate spend time working on the grounds curb appeal -Have the Associate work in a vacant unit / make ready. -If possible, show the Associate one of each type of unit at the community. (continued from day 3) -Meet with Associate at the end of the day to discuss any questions or concerns. -Work on the grounds curb appeal. -Work in vacant unit / make ready.

7 Day 5 -Provide the Associate with a schedule for the day and let them go do it. (This should be representative of what a normal work day would be for them) -Meet with Associate at mid-day to discuss any questions or concerns. -Meet with Associate at the end of the day to discuss any questions or concerns. -Work to the schedule supplied by your supervisor. -Meet with Supervisor at mid-day to discuss any questions or concerns.

8 Day 6 -Discuss being On-Call with the Associate. -Have the Associate make follow-up phone calls for any service requests that were recently completed. -Provide the Associate with a schedule for the rest of the day and let them go do it. -Meet with the Associate at the end of the day to discuss any questions or concerns. -Make follow-up calls for service requests that were recently completed. -Work to the schedule supplied by your supervisor. Congratulations! You have completed the 6-day. This is the beginning of an exciting and successful career for you with Hamilton Point Property Management. I, have read, competed and understand in its entirety all six days of the. This completed workbook is to be placed in the Associate s file, by the Property Manager, and this signed form is to be sent to corporate office.
