1 KNOWLEDGE Builder WORKDAY: Job Requisition Create New Position The following steps walk you through how to request the addition of a new position. The process is used when an addition to headcount is required, or when there is a reallocation of FTE. This requires a multiple-step approval process, including Operations, Finance, and the PRC. After the approval process is complete, the Recruiting department will post the job and begin actively recruiting for the new position. A common question from leaders is: When do I use the Create New Position process? Answer: 1) You have a true addition to your headcount you are adding a new position. 2) You have a reallocation of FTE you are taking FTE from an existing position and adding it to a new position. Try It Out Follow the steps below to create a job requisition for an existing position with an incumbent: 1. In Workday, click Hiring. 2. Under Actions, click Create Job Requisition.

2 3. Click the Create New Position radio button. 4. Click OK. 5. Recruiting Information Click the Pencil Icon to enter Edit Mode 6. Click the Reason prompt. 7. Select Create Job Requisition > Permanent Position. 8. Choose the appropriate reason for this job requisition: 2

3 Reason Permanent Position > Add to Headcount New (SIDER) Permanent Position > Add to Headcount New Per Diem Permanent Position > Add to Headcount Split Existing Position Permanent Position > Other Situation to Choose that Reason When you are adding a new position that will result in an increased FTE. When choosing this option you will already have an approved SIDER number When you are adding a new Per Diem position. This may require you to first get a SIDER if your Per Diem percentage is above 10%. To find that information you can run the PRC Per Diem by Job Category report When you are creating two (or more) positions out of one previous position When you are replacing a pre-existing position that was closed or reallocated 9. Today s date will populate in the Recruiting Start Date field. 10. In the Target Hire Date field, enter today s date. 11. Click Next 3

4 12. Job Details Click the Pencil Icon to enter Edit Mode. 13. Job Posting Title Enter in the title of the job that you are creating the requisition for. This is what will display on any internal and external job postings. Your recruiting representative has the ability to change this prior to posting. 14. Click on the prompt next to Job Profile Note: Choose In this Organization if this is for a job profile you currently have in your organization. Choose By Job Family if this is for a job profile you do not currently have in your organization. 15. Choose the appropriate Job Profile. 4

Click the prompts and select the appropriate information for the following fields: Worker Sub-Type* > Worker Types > Per Diem or Regular Time Type* > Full Time or Part Time Primary Location Scheduled Weekly Hours* This will default to 40. Change to the appropriate weekly hours Work Shift** (Unity/ACM employees only) 17. Click Next. 18. Qualifications Screen You will not make changes here. Click Next. 19. Attachments Screen You will not attach anything here. Click Next. 20. Organization Screen You will need to add the appropriate company can cost center. Click on the pencil icon next to Company 21. Click on the prompt in the Company field. 22. Choose Organization 5

6 23. Choose the appropriate company and click the check mark to save. 24. Click the pencil icon next to Cost Center 25. Click in the Cost Center field and type in your cost center. Press enter 26. Click Next 27. On the summary screen, review the details of the job requisition. In the Comments field, enter any business-appropriate comments as to why this job requisition is being created. Click Submit. 6

7 28. Complete Questionnaire It is necessary to complete the finance questionnaire before the job requisition is fully submitted. Click on Complete Questionnaire If this is a position that has a SIDER you will only have to fill in the SIDER number. If this does not require a SIDER you will need to fill out the entire questionnaire. When finished click Submit. * When selecting values for Worker Sub-Type, Time Type, and Scheduled Weekly Hours, refer to the table below: Worker Sub-Type Time Type Scheduled Weekly Hours Per Diem Part time 0 Regular Part time >0 35 Regular Full time 36 + ** When selecting a value for Work Shift, refer to the table below: Shift Code Scheduled Weekly Hours ACM Used for ACM Shift eligible employees 01 Used for Non-Exempt RN, LPN, Technologists in 24/7 areas 09 Used for Non-Exempt RN, LPN, Technologists in Sleep Centers 99 Used for Non-Exempt CAN, CA, Techs, Food Service, EVS in 2 or 3 shift areas Z Used for all non-per Diem Exempt positions and any Day shift only Non-Exempts PDH Used for contract Per Diem (2,3,4) RN, LPN in hospital PDL Used for contract Per Diem (2,3,4) RN, LPN in living centers 7

8 Remember When you create a new position, the approval process may take longer. You will want to put adequate notes in the Comments field to explain why you are choosing Create New Position. If you are having trouble getting the job requisition to move through the approval process, you will need to speak with your management chain. HR is unable to change the approval process. After the requisition has been approved, please allow up to 48 hours before viewing the data within the Applicant Tracking System. You can track the progress of the requisition by looking in the Staffing tab of the Headcount worklet and looking under In Progress Job Requisitions Actions: 8
