1 Instructions Logging In: Your personal username and password information for participation are included on your survey invitation. After entering your username and password, you will be taken to the Edit Company Info tab where you will have the opportunity to personalize your password. Should you forget your username and/or password, contact Warning: Resetting your username and password may take up to 24 hours. Edit Company Info tab: This tab includes company information that must be submitted in order for your data to be included in survey reports. Please review, update or enter data and click on Save; if there are no updates please click the Save button to confirm the data is correct. The survey format is designed for maneuvering between fields with your mouse. Hovering over a field with your cursor will activate a pop-up/tooltip to assist you in answering questions. 2 Union Status: Indicate your company s union status here. Your company has been pre-entered as Non-Union. It has been pre-loaded and grayed out on the Match Jobs/Enter Data tab. If ANY part of your organization is represented by a union, please change this to Union; as then you will be able to change the status on each job. Work Hrs/Week: When you indicate your standard workweek hours here, it is pre-loaded on the Match Jobs/Enter Data tab. Note: The Work Hrs/Week field can be changed for each job on the Match Jobs/Enter Data tab. Number of Employees: Report the number of employees that are under the influence of the business unit for which you are submitting data (regardless of the physical location of the employees). Survey submissions for more than one location are encouraged contact TotalCompConnect@aaimea.org for an additional password(s).? When you see this symbol it indicates there are additional directions available by clicking on the symbol. Save: When you have finished entering/editing your company information, click the Save button at the bottom of the page. When the save is successful, you will be returned to the top of the page. Click on the Match Jobs/Enter Data tab to continue to the next step. Match Jobs/Enter Data tab: A. Survey Job Matching 1. Go to the Match Jobs/Enter Data tab and, using your mouse, select All Survey Jobs to view a complete listing of survey jobs, or select a specific job family to only view jobs within that family. A list of jobs will appear on the right side of the page. Note: Once you have matched and saved specific survey jobs, your matches will be included in the My Job Matches list and in a specific job family under this list. 2. Survey Job Titles reflect the nature and level of jobs (e.g. clerk, operator, manager, analyst, Vice President, etc.). Your organization s titles may be different please provide in this area. 3. When you click on a job title, a Job Description summary will appear in the box below to aid in determining if you have a job that is a reasonable match. 4. Each summary description identifies the core duties and typical minimum qualifications of the survey job. Examples of other duties, that may or may not apply to your job, may also be included. 5. Job Description summaries are general in nature and reflect the typical range of duties and responsibilities. They may not cover every task and may not match your job(s) completely. 6. If you believe the core duties of your position include at least 80% of the core duties described in the survey job, consider it a reasonable match. 7. Do not expect to have matches for a large number of survey jobs or to include all of your employees in your input. Our survey jobs are selected based on their likelihood of existence in a number of organizations. 8. In instances where an employee performs elements of more than one of the survey jobs, only report that employee according to his/her primary job duties. Page 2 of 5

3 Example: An employee s primary job is that of an Accountant, but occasionally performs Buyer duties. This employee should be reported only as an Accountant. Do not report as a Buyer. 9. Job Levels (V, IV, III, II, I) Some survey job titles include job level designations where V = Highest Level and I = Lowest Level. Differences, which are covered in the Job Description summaries, typically include variations in job complexity, employee qualifications and experience, degree of job repetition, scope of job, size of organization, and/or supervision received. B. Job Matching Options Depending on your preference, three options are provided for matching jobs in the survey. For additional details on these options refer to the Help/Downloads tab and select Job Matching Options. 1. The Recommended online option is designed for those who prefer to identify a single matching job and enter pay data for it before moving to another job. 2. The online Match Only option is designed for those who prefer to match several jobs before entering pay data for each matching job. Important: Be sure to save each matching job by clicking on the Match Only button at the bottom of the page. Also, be sure to return later to enter pay data for each matching job. 3. The Download/Match option is designed for those who prefer to view or print the complete list of job descriptions in order to determine their job matches before entering data online. Go to the Help/Downloads tab and select Job Descriptions to view or print the list. Warning: list is about 103 pages. C. Entering Job and Pay Data Go to the Match Jobs/Enter Data tab and, after matching a specific job under either the My Job Matches or the All Survey Jobs listings, enter all pay data applicable to that job at the bottom of the page (remember to use your mouse to move between data fields). There are four sections to the pay data entry section including job, salary, bonus and misc.: Job: 1. Incumbents: Enter the number of employees/incumbents performing the specified job at your organization. 2. Job Status: Select Exempt if job is classified as an exempt job in your organization, select Non- Exempt if the job is classified as a non-exempt job (eligible for overtime pay). 3. Union Status: If you selected Non-Union in the Edit Company Info tab, this status will be preloaded and grayed out for all jobs. If you selected Union, this status will be preloaded but you can change the status as appropriate for each job. 4. Match Degree: Indicate how well your job matches the survey job. Select match if the general scope of your job fits, minus if a few elements do not apply to your job, or plus if your job is somewhat broader in scope. 5. Title (Co): If you have a job that matches the survey job, enter your organization s job title in the space provided. Salary: 1. Avg: Enter the current Average base pay for all employees in the job. The Average (sometimes referred to as weighted average) pay equals the total of all rates paid divided by the number of employees. (Example: If one employee earns $10 per hr. and a second $12, the average rate is $11 per hour. $10 + $12 = $22/2). Exclude shift or lead differentials, overtime pay, bonuses, etc. 2. Value Type: Select whether you are reporting hourly*, weekly, monthly or yearly pay data for the job. *Input hourly data if you are including part-time employees. Page 3 of 5

4 3. Start: Enter the base rate typically paid to a new hire meeting ONLY the minimum job requirements. 4. Low: Enter the lowest rate actually paid; full-time equivalent, exclude shift or lead differentials, overtime, bonuses etc. Leave blank if only one employee in the job; numerical entries only. 5. High: Enter the highest rate actually paid; full-time equivalent, exclude shift or lead differentials, overtime, bonuses etc. Leave blank if only one employee is in the job; numerical entries only. Bonus Fields: 1. # Receiving: If applicable, enter the number of employees in the job who were eligible and received performance bonuses in the last 12 months. Leave blank if not applicable; numerical entries only. 2. Avg Yearly: If applicable, enter the average of the total bonuses actually paid over the last 12 months. (Example: If one employee received bonuses totaling $500 and a second received $300, the average annual bonus paid is $400. $500 + $300 = $800/2). Bonuses should be performance based bonuses/ incentives/ commissions - not holiday or discretionary bonuses. Leave blank if none paid; numerical entries only. Misc. Fields: 1. Hours/Week: This field was preloaded based in the WORK HRS/WEEK field on the Edit Company Info tab. However, you can change the number of hours for individual jobs as appropriate (excluding overtime hours, typically 40 hours). 2. Comments: If you have any comments that may help to clarify your input, please utilize this box to do so. D. Saving Job and Pay Data Five buttons appear at the bottom of the Match Jobs/Enter Data screen just under the job and pay data entry fields. These buttons serve purposes such as saving and deleting input, and refreshing your job lists and related data. Be careful to select the correct button. 1. Save: After you have entered your job and pay data for a specific job, click this button to save both the job match and pay data for the job. Important: If you are editing your input, click the Save button even if you have no changes. This will establish a new effective date for that job data. 2. Cancel: If you have not yet saved data for a job, click on this button to clear the data in the bottom section (selected job only). 3. Delete This Match: If you have previously matched and saved a job and/or pay data and wish to remove it from your input, click on this button (removes all job and pay data for this job only). 4. Match Only: If you would like to pre-match your jobs before entering data, click here to save each matching job before entering pay data for each. Note: Be sure to return later to input your pay data for each job. 5. Refresh: Click Refresh to review your updated job matches and job/pay data after saving your input/changes. After clicking on Refresh, click on My Job Matches to view job changes and click on a specific job title to view any data updates and date changes. Help/Downloads tab: A. Helpful Hints Click on the Help/Downloads tab; on the left of the screen you will find a list of Help items. Click on the Help items to get brief, easy to understand explanations regarding everything covered in the survey instructions (editing company information, selecting job matches, entering and saving data, etc.). 5 B. Exporting and Downloading Information Status tab: Click on the Help/Downloads tab. On the right side of the screen you will see two document download opportunities. 1. Click on the Regional Job Descriptions icon to view or print the complete list of survey job descriptions. Warning: list is about 103 pages. 2. To export your job and pay data, review the applicable Help instructions on the right side of the page and click on the Export My Data icon. Click on the Status tab to view the number of your job matches that have been updated since a specified date. In addition to a count of your updated matches, it includes instructions regarding how to review your job matches. Whenever updating data for a job, be sure to click on Save even if the data for the job has not changed. Saving a job updates the effective date of the job and pay data. Note: Each of your job matches must be updated at least once within each 12 month period to be eligible for survey reporting. Logout tab: Click on the Logout tab to logout of the survey. For your convenience, you may logout and return to the survey at any time to complete or edit your job matches and pay data. Note: Because this is a live database, you may update your data at just about any time during the year.
