Most login names are the first initial plus your full last name. (Ex: jsmith)

4 Timesheet Information Earning Comp Time The system will automatically calculate when you earn comp time based on your job. You will only need to enter Regular Wages. Example: John Smith (a non-exempt employee) earns comp time at 1.5x when he works over 40 hours in a week. On Monday John worked 10 hours, and then 8 hours all the remaining days of that week. He enters all his hours as Regular Wages. TimeStar automatically calculates John s comp time to be 3 hours for that week. The Total Hours pane, will show the actual number of hours worked. To see the amount of accrued time for the week go to: Employee Maintenance Employee Information Accrual Summary Transactions tab Your 1.5x comp time calculations will show on this page.

5 Pay Types All possible pay types appear in the Pay Type drop down list on your timesheet. Please remember to only choose Pay Types that you would normally choose, with the exception of comp time earned which is automatically calculated. See Earning Comp Time tip. Choosing the wrong Pay Type could cause issues with your receiving the correct compensation. Examples of Pay Types to choose from: Vacation, Sick, Comp Time Off (taken), Kelly, Jury Duty, Funeral Leave, etc. Pay Types that you can choose all start with an asterisk (*). More denotations will be made to this list for supervisors and HR in the future. On Call & Per Diems Cheat Sheet On Call and Per Diems are entered using the Units field in your timesheet. This is because they are not an hourly wage, but a single unit of pay. These units are specific to the particular department. When choosing a Unit the following list is displayed.

To do this choose the Timesheet dropdown at the top of your Timesheet. 3-Hours Only is a good view if you do not need unit and you need to be able to change jobs or departments. 4-Hours Units is a good simple view if you are recording On Call Pay, also known as Units. Tracking FMLA Tracking FMLA is now available in TimeStar. To take time off that is counted towards FMLA, use the Pay Types that start with FMLA. These Pay Types will both link to your accrual balances for taking time off and be reportable for HR and supervisors to track FMLA.

7 Template Holiday Exception 1. During a pay period that has holidays, when applying the template, you will see that both your template hours and your holiday hours have been applied. 2. Prior to saving the pay period you are applying the template for, click the trashcan to the right of the screen for the regular wages. 3. Click Save. Your timesheet will now be set properly for the day. 4. To refresh the view, close out of your timesheet and when you go back in you will see that only the holiday hours remain.

8 TimeStar FAQs Accrual Balances During Parallel Q: Why am I seeing a negative balance for my accruals (comp, vacation, sick)? A: Accrual balances for comp time, vacation, and sick are not brought over until after we go live with the system. For now, your balances will not be correct, and you may see or be alerted of negative balances. Once we go live you will be able to see and use your balances correctly. Website Timeout Q: Why does TimeStar timeout when I am actively working in the system? A: TimeStar is set with a 30-minute timeout. This timeout is not after inactivity, but a straight 30 minutes. If you feel you are getting close to being in the system for 30 minutes, please save your work prior to getting timed out. Approving Timecards Q: Where do I find the approval button in TimeStar? A: Approvals can be found in two spots in TimeStar. The first is in your Timesheet. Access your Timesheet by going to Daily Procedures Data Entry Timesheet. Click the Employee Totals button in the upper right corner, and after verifying that everything is correct, scroll to the bottom and click Employee Approve. Unapproving Timecards Q: I found a mistake in my timecard after I approved it, how do I unapprove the timecard and make a change? A: To make sure that what your supervisor is approving and what HR is importing into HRMS has not been changed and is correct, your will not be able to unapprove timecards. If you have approved your timecard, you will need to ask your supervisor to unapprove it. If your supervisor has approved your timecard, then they will need to ask HR to unapprove the timecard. Please let your supervisor know when you timecard is ready for re-approval. Employee Approval Button Missing Q: Why is my timecard greyed out and my employee approval button missing? A: If your supervisor has approved your timecard, your timecard will no longer be editable, and your approval button will be gone. Speak with your supervisor if you need to make changes.

9 Transferring Units When Punching Q: When do I have to transfer from my home unit to a secondary unit, when punching either on the computer or hardware clock? A: You will need to transfer, either on the computer or hardware clock, after any IN punch. This includes punching In From Lunch (INL), In From Break (INB), In For Day Again (IDA). Requesting Partial Days Off Q: How do I request a partial day off, using the TimeStar requests system? A: Go to Daily Procedures Requests, and click New Request Time Off Request. In the Request Detail window, choose the supervisor you would like to send your request to. Then on the right side of the screen click the +. Type the number of hours you are requesting off and the Pay Type, then select the day or days your need partial days off. After clicking Add Dates, change each day under Scheduling from All Day to Partial Day. Lastly select the start time of your time off. For example, if on Monday you are taking 4 hours off in the morning, choose the start time to start at 8:00am or if you are taking 4 hours off on Friday afternoon, choose a start time of 12:30pm. Submit your request when done.

10 Computer Help Create a Desktop Shortcut 1. Go to 2. Click and drag the icon next to the web address to your desktop 3. Shortcut will be on your desktop Popup Blocker If you click your Timesheet and nothing appears, your popup blocker may be blocking the window. In Chrome: 1. At the end of the address bar, you will see a small box with a red X on it. 2. Click the box and choose Always allow, and click Done. 3. Click on your Timesheet again, it should now open

11 Hardware Clock Information Replacement Hardware Clock Badge When receiving a replacement badge, you may need to notify HR of the new badge number if your name does not appear when swiping at the hardware clock. This badge number is located on the back of the badge and starts with a star (*). Hardware Clock Badge - Home Department Your home function 5-digit code appears below your job title on your badge.
