1 UEA CAREERS SERVICE Placement and Internship Administrator (Three Posts) Ref: SC3161 The Post UEA Careers Service is looking to recruit three highly motivated individuals to join a busy and friendly team to facilitate and support increasing numbers of students into placements and internships. The successful candidates will provide customer-facing and administrative support to students, graduates and employers across a wide range of placement and internship activities. The precise duties will be agreed in discussion with the Manager. Person Specification The person specification for this post is attached as Appendix B. GENERAL Salary Salary will be 21,585 to 24,983 per annum on Grade 5 on the single salary spine. The normal expectation is that starting salary will be at the minimum of the advertised salary scale. Starting Date The posts are available from 4 October 2017 or as soon as possible thereafter on a full-time, indefinite basis. Terms and Conditions of Appointment Full details of terms and conditions of employment for Secretarial & Clerical staff will be made available to the candidate to whom the appointment is offered.

2 Annual Leave Entitlement There is an annual holiday entitlement of 20 days plus statutory (8 days) and customary (6 days) holidays. Superannuation The post is superannuable under the Universities Superannuation Scheme. JOB DESCRIPTION Job Title: Placement & Internship Administrator Grade: 5 Service: Reporting to: UEA Careers Service Placement & Internship Officer Purpose of the Job To support activities for students and graduates to develop career understanding and professional experience. To provide administrative support in the recruitment and co-ordination of placements and internships. To support the business facing activities of the Careers Service through the development of opportunities to engage with students. Main Responsibilities: Pre-placement Support Receive and process company and Alumni enquiries and if appropriate, arrange company visits. Provide administrative support for recruitment and training events, and to help develop necessary marketing and training materials. Drafting opportunity adverts for approval by programme manager and initiate promotional activity. Receive and process student / graduate enquiries liaising with Placement staff and other Careers staff as appropriate. Administration of programme database. Support general marketing / event activity.

5 Placement / Internship Support Regularly monitor advertised opportunities and update Placement staff. Review applications and as appropriate refer to other Careers staff. Receive and collate all student / graduate applications and liaise with Placement staff and Careers Team as appropriate. Send all eligible applications to potential host organisation for review and shortlisting. Ongoing liaison with potential host organisation during recruitment process. Liaison with selected student / graduate. Co-deliver briefings and training sessions. Responsible for preparation of paperwork for production of contract and invoice, includes liaison with Contract Manager and Finance, if appropriate. Maintenance of programme database. Post-placement Support Provide administrative support for post-placement return events and activities. Provide administrative support for post-placement evaluation for host organisation and student / graduate. Provide administrative support for the development of case studies to inform marketing activity. Update programme database. General Support Support the work of Placement and Internship staff in undertaking research to inform placement and internship development and assisting with preparation of reports and development of online resources. Post-holder may be asked to undertake a range of varying tasks as required by the Line Manager. This may involve organising special events, minute taking, liaising with marketing, maintaining databases. Post-holder may additionally be asked to support other related activities across the Careers Service. Occasional out of hours work will be required. August 2017

6 PERSON SPECIFICATION REF: SC3161 APPENDIX B Post: Placement & Internship Administrator School/Division: CCEN Criteria Essential Desirable Education, Experience and Achievements Two A-levels at grades A-E and five GCSE at grades A- Work experience in a higher education office environment C (including Mathematics Experience of training others and English), or equivalent qualifications or experience Familiarity with contract and tender documents Proven recent experience of working in a busy administrative role Well-developed organisational skills Experience of manipulating financial data Skills and Knowledge Ability to establish rapport, form good working Familiarity with employment rules and regulations relationships and communicate effectively with people at all levels both internally and externally Competent use of MS Office packages Demonstrable numeracy and financial processing skills and the aptitude to learn more Has familiarity with and demonstrates use of finance systems and databases Demonstrable communication skills in English including the ability to produce grammatically accurate s, letters and other documents Personal Attributes Accuracy and attention to detail Special Circumstances Occasional out of hours work will be required August 2017
