2 Capacity Management Features The correct bed is assigned based on the patient's clinical condition and needs. Rooms are turned around quickly and efficiently to maximize the use of that location Synced to orders in PowerChart and FirstNet Bed Board Management See room availability, room status, patient and location attributes Patient transfers - Request a room clean Discharging a patient - Clean room on discharge Ad hoc clean room or linen requests EVS Manager Task Overview Before a Shift Check zone assignments for next shift Pull and assign iphones to techs (St P phones pulled and put on the tech s cart; MPS phones assigned to techs, as carts may be on the units) - not a Capacity Management function During Shift Re-assign Stat jobs to EVS associates or in other zones as needed Monitor job loads in zones and assign excess jobs in one zone to EVS associates in another zone as needed End of Shift Verify that EVS associates have logged out of phones - Change Custodian Status and re-assign jobs as needed Collect phones from EVS associates. Report any lost phones to Children s Help Desk immediately 2

3 Assign or Re-Assign Zones (Custodian Status Tab) When no zones are assigned, an Available associate could be assigned jobs in any zone, on any Children s campus. To prevent this, all Available associates should be assigned to one or more zones. 1 Click to open the Custodian Status tab. 2 On the Custodian Status tab, under Provider Name, hover your cursor over the associate you want to assign. Their status is displayed at your cursor (Available or Unavailable) and the icon is displayed. 3 Click the icon and click Assign Zone. 4 In the Assign Zones window, check at the top of the window to be sure that the correct associate is selected. Any zones already assigned to the associate are also displayed in the Selected Zone pane. Click an Available Zone in the top pane and then click Add to assign it and move it to the bottom pane. Click a Selected Zone in the bottom pane and then click Remove to take the assignment from the associate. You can assign EVS (Lead Request) to the lead working a zone You can assign EVS (Linen Request) to the associate who will handle the linen requests for the zone You can assign EVS (Manual) to a person who has an iphone and will help out if necessary with, for example, STAT jobs 5 When the Selected Zones pane shows the assignment(s) that you want for this associate, click OK. 3

4 Re-Assign Jobs (Custodial Services List Tab) Jobs are assigned automatically based on priority and zone. 1 Click the Custodial Services List tab to open it. 2 Click to highlight the job that you want to re-assign. 3 In the Custodian column, click the associate s name. The Select button is displayed. 4 Click the Select button to open the Assign Personnel window. 5 To remove the currently assigned associate, click to highlight the name in the Selected Personnel pane on the right, then click the Arrows to move it. 4

5 6 To re-assign the job to another associate, click to highlight the name in the Available Personnel pane on the left, then click the Arrows to move it to the Selected Personnel pane. 7 Click OK. Set Job Priority (Custodial Services List Tab) The Hospital Nursing Supervisor (HNS) has the primary responsibility for determining when a room qualifies as a STAT clean. However, the HNS may call you to update the priority of a cleaning job, if they are not able to reach a computer in a timely manner. Next status is set by the unit to indicate their highest priority cleaning job. 1 Click the Custodial Services List tab to open it. 2 Click to highlight the job that you want to prioritize. 3 Click the Priority for the job to display the dropdown list of priorities. 4 Click STAT, Next or Routine as necessary. The priority changes immediately, in real-time. 5

6 Create or Schedule an Ad hoc Cleaning Job (Custodial Services List Tab) 1 Click the Custodial Services List tab to open it. 2 Right-click the room and select Request AdHoc Clean. 8 In the Create Adhoc Custodial Services Request window, complete the details, enter a description of the request and click OK. The Broom icon displays on the room hover to see the details and the requestor. The job automatically goes to the associate assigned to the zone. 6

7 Using the Bed Board Tab Click Summary to see more in the Bed Board pane. Filter the rooms using the buttons at the top of the pane. 7

11 Miscellaneous Training Points Complete all First-Time Setup steps Always choose Will Wait when delaying a STAT job Accept a job o Click Start if at the door and going in Can delay if circumstances require (family still present), and Will Wait Exception to STAT - If already completing a Discharge clean, call manager/lead before delaying current job to go to the STAT. They may give STAT to another associate. Is the handheld device unresponsive? - Out of wi-fi range, move to an area in range 11 October 2015 Questions or problems?
