1 PORTERVILLE UNIFIED SCHOOL DISTRICT AFTER SCHOOL PROGRAMS COORDINATOR YES (YOUTH EXPERIENCING SUCCESS) JOB DESCRIPTION DEFINITION: The job of After School Programs Coordinator is a position which ensures high-quality programs that align with district goals, improve academic performance and attendance, strengthen social relationships, and provide meaningful opportunities for children participating in the programs. Under the direct supervision of the District Coordinator of After School Safety, the After School Programs Coordinator will assist by monitoring After School Programs on a daily basis; observe program staff: Site Supervisors, Recreation Leaders, tutors, teachers and volunteers to ensure program compliance and student safety. The After School Programs Coordinator assists in planning and facilitating staff development and in-service training for program staff; basic training on program components and coordinate the demonstration of classroom techniques and instructional strategies for program staff as needed. Must promote the Y.E.S program throughout the district; provide leadership, proper record keeping and program marketing. DUTIES: Assists in general program planning and conducting After School Program staff training for the purpose of operating safe and effective programs, and ensuring compliance with district guidelines and grant regulations. Gather/organize/maintain data on staff and students, including but not limited to: reports, records, budgets, time claims, supply ordering, vital attendance accounting records, student progress for the purpose of meeting program evaluation requirements, monitoring state grant compliance, overseeing funding sources and filling out all attendance forms, and overseeing marketing materials. Organize and calendar enrichment activities while coordinating schedules with principals and academic instructors at each school site. Coordinate campus services: facilities, nutrition requirements (snacks or meals), classroom use and maintain inventory records of shared and non-shared equipment. Communicate program guidelines and activities through published posters, brochures, written memos, phone conversations and other approved marketing strategies. Personal interactions are held with parents, teachers, community organizations, and agency representatives for conflict resolution and general inquiries. Handle all Page 1 of 5

2 complaints and conflicts to bring positive resolution, if possible, between staff members, parents, and students in a professional and positive manner. Monitors/reports problems in the After School setting using proper communication methods, goal setting, conflict resolution, and time management skills for the purpose of maintaining safe and effective After School Programs. Establish and maintain record systems to demonstrate effectiveness of program and assist with reports as requested by district officials and the California Department of Education (CDE); ensure deadlines are met. Ensure that all bulletins, announcements, notices, correspondence, and related documents are assembled, mailed, posted, and distributed in an appropriate and timely manner. Relay general information, answer routine questions and make appropriate referrals in accordance with identified policies, procedures, and regulations. Prepare, organize and conduct staff in-service training sessions, to provide staff with working knowledge of program guidelines, student safety practices and proper reporting. Provide staff members with a variety of innovative activities, materials, and ideas that generate a high level of student interest and participation. Track program enrollment to ensure that program attendance goals are met; disenroll students that fail to meet program standards of attendance and or behavior. Effectively communicate in a professional, positive manner with program staff, district staff, parents, students, community organizations and agency representatives. Ensure that adherence of all the programs' policies, procedures, district and state requirements are met and maintained. Observe staff members work performance, make recommendations for improved work methods when necessary, and make referrals of recommendations to the supervisor. Attend workshops, conferences and meetings with county, state leads and educational leaders to obtain new resources, request technical assistance and to stay abreast of afterschool and educational developments. 3 QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. EDUCATION and/or EXPERIENCE: Minimum AA Degree in a related field is required. Job related experience is required: organizing and sustaining learning environments, enrichment and recreational activities, project, program and budget management. Ability to work flexible hours as assigned; evenings, weekends and school intercessions may be required to meet supplemental program requirements. Bilingual in Spanish is preferred. SKILLS AND KNOWLEDGE: Proficiency in keyboarding and office computer skills. General knowledge of basic computer skills and willingness to learn new computer procedures and updated technology. General knowledge of office methods and procedures including filing systems, record keeping, telephone, and reception techniques. Writing skill sufficient to prepare letters, memoranda, and brochures using proper English grammar. Ability to develop effective working relationships with students, staff, and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies. Judgment skill sufficient to correctly apply identified rules, policies and practices in a variety of procedural situations. Interpersonal skills sufficient enough to maintain cooperative working relationships with students, parents, staff members, community, business representatives and others from a variety of educational, cultural and socio-economic backgrounds. Must have own dependable transportation to monitor all sites. Page 3 of 5

4 LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write effective correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Organizational skills sufficient to maintain workload priorities and follow oral and written instructions without close supervision. Proofreading skills sufficient to find and correct spelling punctuation and grammatical errors in text. Reading skills sufficient to read and understand a variety of documents. MATHEMATICAL SKILLS: Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions, and decimals. Sufficient knowledge of the operation of electronic calculators to tally numerical data, compute percentages and averages, add, subtract, multiply, and divide whole and fractional numbers. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. MINIMUM REQUIREMENTS: Must be willing to travel locally in order to make school site visits and run business errands on a regular basis. Must possess and maintain a valid California Driver's License. Driving record must satisfy school insurance requirements as well as district, state, and other requirements for driver safety. DESIRABLE QUALIFICATIONS: Working knowledge and understanding of record keeping, including budgetary process. Knowledge of state testing requirements. Page 4 of 5
