2 Reports Overview The Virtual OneStop system includes a robust reporting module that lets users generate a wide variety of reports (as allowed by their assigned user privileges). Users can create reports that: Display information about the individuals and employers using the system and the methods they use to access information in the system Display information on services that are provided Display statistical information on job orders, job applicants, and resumes Display case management data related to goals, program applications, enrollments, skill attainment rates, program exits, and other caseload and predictive reports These reports can help staff members manage and quantify their workload, identify cases that require follow-up activities, and estimate performance in local regions before generating similar information that is required by federal reports. The system s federal reports can track participants for any federal reporting item. Similar predictive reporting abilities let users manage their performance in local regions through predictive reports that estimate performance based on wage data collected by staff, in real time. Federal reports include those on caseloads and activities, client actions, WIOA Active Enrollment, Youth Goals and other valuable data. In addition to the many standard reports, the system also may include: My Reports This selection displays reports saved by the staff member along with the saved preferences for those reports, as well as shared reports that other staff created or saved from the Ad Hoc Query tool (if the staff member has Ad Hoc Query access). Summary Reports This selection displays options to view executive summary and dashboard reports summarizing key information (e.g., the number of activities for a date range or a LWDA). These summary reports save staff the time of running multiple reports for summary line data. Detailed Reports This selection offers access to reports on detailed information in the system with a variety of parameters and filters (e.g., registered individuals, enrolled individuals, services provided, and case management predictive reports). Custom Reports This selection displays reports developed specifically for a customer/state system (e.g., a state s unique SQL query converted to standard Virtual OneStop parameters and controls). Ad-Hoc Query Wizard This selection guides data analysts with a strong understanding of query structures and the structure of the various databases (e.g., the system, ALMIS, and O*NET databases) to help them create and save custom queries. 3 Federal Reports (from Reports Menu or Navigation Bar) Quick Tip Reports are among the most frequently enhanced and improved features in Virtual OneStop; staff should regularly check the Virtual Community Forum for postings in the Reporting section under Topics for updates on reports. Staff can access the Forum from the left navigation menu by choosing Geographic Solutions Community Site under Other Staff Services. The Learning Center has extensive videos for an overview of the general reports features, as well as for each of the reports. For basic information about reports, continue reading this chapter. For more details, access the Manage Reports Video Series available in the Learning Center, or click this link to view the video Introduction to Manage Reports. Staff can access the Learning Center from the left navigation menu by going to Other Staff Services > Staff Online Courseware > Learning Center. Note: Note: The report types may vary depending on whether the user s system is a local or state deployment. They may also vary depending on the staff member s role and administrative rights. There are many report types and extensive filters for most report types. This means that before generating a report, users can choose from multiple filter options to create thousands of possible final report combinations. The report layouts are consistent for each report type, but the final results depend on the filtering options selected. (An example of multiple filters is shown in the following figure.) 4 Report Generation and Navigation Generate a Report For most Virtual OneStop reports, the basic process to generate reports is the same, regardless of the report selected. This process is outlined in the steps below. Select the Report Type/Category from Reports in the left navigation panel. A screen appears that lists the reports within that category. Select the specific report (or report section) to generate. A screen displays the filter and display options staff can select to include only the necessary data in the report. Save any report to My Reports Sample Display and Filter Controls (Detailed Reports Individual Reports - Registered Individuals Report by Race) Note: Some filter options will dynamically update subsequent options after a selection is made. For instance, selecting Type of Age will add an Age Range field, or selecting the LWDA region will update the drop-down list with the corresponding workforce sites. 5 Note: Depending on the report and the filtering chosen, the resulting reports can be quite large. Users can navigate through large reports using controls similar to those used on Search Results screens throughout the system. Display Options Reports that include charts offer quick links so that users can view the information in different ways. To view a chart in a different format, simply click any of the Chart Type links. Date Filters Chart Display Options Almost all reports let the user define a date range to cover in the report data. The date filter fields generally are located at the bottom of the filter screen. Date Filter If the filter screen includes a Date Filter drop-down list, select the type of date by which to filter. (This is often a registration date or the last date the individual or employer accessed the system.) Date Range Users can select the date range from the drop-down list. The list includes preset ranges (e.g., Last 7 Days, Year to Date, 3 rd Quarter of Last Calendar Year). Staff can use these selections, or use the From and To fields to define the date range. Where the reports related to program years, the drop-down selections will also include Current Program Year and Previous Program Year as date range selections. From & To If the Date Range field does not contain the required range, users can enter the beginning and end dates of the date range to be included in the report. Reset To reset the dates, click the Reset Dates link. A wide range of preset date ranges can be selected from this drop-down control. Sample Date Filters Some reports have slightly different Date Filters, letting staff select the quarter and year from the Date Range drop-down list. If staff choose to filter the report by a different date range, they can click the Manual radio button, which will open up the Date Range fields (as shown in the previous figure) for manual entry of the dates. 6 Navigate Report Results Many reports are lengthy. To help users navigate easily through large, on-screen reports, the system features powerful navigation controls (similar to the ones found on the system s Search Results screens). Some reports include scrollbars to move horizontally or vertically through the report. Below are some hints on using the navigation controls found on some of the Report Results screens. Click a line item link to drill down Click a line item to open the corresponding screen (in this example, the Accountant résumé opens) Save to My Reports Sample Report Results Screen Every report has a link, just below the Display Report button, which lets staff save the report to their My Reports area. Clicking Save to My Reports opens a dialog box to name the report. Enter a short, descriptive name for the report which will show in the My Reports list. 7 everyone else in the staff member s office or LWDA who has access to the report feature. Click Save. This saves the report with the staff member s name and with all filtering, sorting, and other options that were selected. Note: See the topic, My Reports on page , for an example of the My Reports screen, and how to view, generate, or make changes to the options from your saved My Reports selections. Save or Export a Report Staff can export most reports generated by the system to an Excel spreadsheet (and from there to Microsoft Access, if needed), or to a text file, in a CSV (Comma Separated Value) or Pipe Delimited format. Reports may also be printed or saved as PDFs, and most reports selected by a grouping other than List can also be displayed as graphs. Each report screen can be saved as an Excel spreadsheet (with a maximum of 16,500 records) and then saved to Microsoft Access, if needed. Each report screen can be saved as a CSV text file. 9 Reports can be saved as PDFs. Many reports also include formatting options at the top of the screen. To choose an export format, make a selection from the drop-down list. Sample Format Options My Reports As mentioned previously, most reports include a link at the bottom of the filters defining the report, allowing the staff member to Save to My Reports. These saved report filters/formats and criteria provide quick access to reports customized with specific report criteria and information (such as the number of résumés added to the system, the number of individuals and employers registered, or the number of WIOA exits that occurred for specific areas or time frames). 10 Delete Schedule Summary Reports These reports provide quick summaries of activity totals for a defined time period and for a selected LWDA Region or one-stop location. These reports offer quick access to information such as the number of registered individuals and employers, staff activity summary, or a monthly comparison of job openings. The Summary Reports include: Summary Reports Dashboards These reports use tables, charts, and/or graphs to display summary information about individuals, employers, job orders, and programs. Executive These reports include summary information on employment statistics, services provided, job postings and placements, training programs, etc. Master Summary These reports include statistical summaries and totals regarding activities by LWDA, by office, by staff member, etc. Trend These reports offer data on workforce trends and comparisons between various elements (e.g. comparisons of employers, job openings, etc.). Note: The data contained within these reports is extracted from cubes pulling data for all users created during the prior two years from the current calendar year to the current date for up to a period of three calendar years (Past 2 Years + YTD). With each change in the calendar year, the initial collection year increments one year to start the next two year period of extraction up to current date. Dashboards Dashboard reports are divided into three categories and offer information on some of the most frequentlyused pieces of information staff need in the course of their daily work. Registered The reports in this category offer information on registered individuals and employers. Job The reports in this category provide data on job openings, job orders, and job referrals. Grant The reports in this category display data on youth or adult dislocated worker training activity by grant, as well as enrollment counts by grant. 11 To run a Dashboard report, click the Report Name link on the Dashboard Reports screen. Set the filter criteria on the screen that opens and click the Run Report button. The filter criteria will vary, depending on the report being generated. Sample Dashboard Report Enrollment by Grant Executive Reports Executive reports offer monthly or annual statistics on industry employment, services, job postings, placements, referrals, training programs and services. 12 To open an Executive report, click the Report Name link on the Executive Reports screen. Executive Sample Reports Executive reports open immediately when the title link is clicked (on the Executive Reports screen). Users can then filter the report after it is displayed, by clicking the flyout Filters tab at the top, right of the screen. Clicking the flyout Filters tab opens a flyout Filter section where users can set the filtering parameters for the display, as shown in the following figure. 14 Sample Executive Report Employment Statistics Some Executive reports include information in tables and some offer links (e.g., the Job Placements report shown below). On the Job Placements report, expanding the link (by clicking the + ) displays the Region data. Expanding the Region link displays the Office data. (Simply clicking on the link in the Year column lets the user toggle between annual and monthly job placements data.) Job Placements Reports Screen Table Links Project Management Sample Reports Reports like the WIOA Participant Summary report let staff identify specific levels of participants that help identify programs participants for specific exceptions, age ranges, or In-School versus Out-Of-School definitions. 16 Executive - Program Management - WIOA Services Summary Report Master Summary The Master Summary reports include statistical summaries and totals regarding activities by LWIA, by office, by staff member, etc. The Staff Activity Summary shows activity by staff and can be sorted by federal program. It shows the number of individuals staff assisted, job orders they created, and referrals they made. The Detailed Master Summary reports, as expected, show more information than the other Master Summary reports. To open a Master Summary report, click the Report Name link on the Master Summary Reports screen. Master Summary Reports Set the filter criteria on the screen that opens and click the Run Report button. The filter criteria will vary, depending on the report being generated. 18 Trend Trend reports let staff analyze trends in individual and employer registrations, compare individuals or employers registered within certain time frames, and evaluate job opening trends and comparisons. The reports are divided into three categories Monthly, Quarterly, and Yearly. Monthly These reports compare the selected item (e.g., individuals, employers, etc.) monthover-month and display trend data by month. Quarterly These reports compare the selected item (e.g., individuals, employers, etc.) quarterover-quarter and display trend data by quarter. Yearly These reports display compare the selected item (e.g., individuals, employers, etc.) year-over-year and display annual trend data. The three subcategories of Trend reports are: Registered These Trend reports display trends or comparisons of registered employers Job These Trend reports display trends or comparisons of job openings, job orders, and referrals. 19 WIOA Activity is included in recent Trend report types. Trend Reports To open a Trend report, click the Report Name link on the Trend Reports screen. 20 Sample Registered Individual Trend Forecast Report (Monthly) For more detailed information, access the Learning Center or click this link to view the video Summary Reports. Detailed Reports The Virtual OneStop system includes an extensive number of Detailed Reports, which include reports on individual, employers, case management, labor exchange, security, WARN, and financial reports. These are not the state and federally required reports; however, they include numerous reports that are very useful to staff members for case management, assessing performance data, or for analyzing specific data on individuals, employers, résumés, activities, and other information available within the system. The Case Management reports option includes many subcategories of reports, as indicated in the figure below. The following sections briefly describe the various types of Detailed Report. 22 Case Management Reports The system includes case management reports that allow staff members to manage and quantify their workload. These reports track participants for any federal reporting item. Local regions can manage their performance through the use of predictive reports that estimate performance based on wage data collected by staff, in real time. This report section also includes reports on caseloads and activities, client actions, WIOA active enrollments, youth goals and other valuable reports. The case management reports are organized into the following categories: Case Load Reports These reports are essentially preventative reports. The reports can give a snapshot of various key one-stop case management indicators prior to federal reporting. Some of the subjects include identifying individuals who are soon to be soft exited, youth who have no listed goals, individuals currently enrolled without case assignment, etc. Case Load Non-WIOA These reports, organized by a specific federal or local program, detail information unique to that program. For example, a category within this group, for Trade, is the TAA Waiver Review by Calendar report, which provides information on a displayed calendar for required waiver review dates. Case Load WIOA These reports, organized by the specific federal WIOA program groups, detail date unique to WIOA programs. For example, a category within this group, WIOA Youth, includes a 5% Enrollment Exceptions report. Another example is the Customer Group report, which provides information on customer groups specific to WIOA. Documentation These reports include case notes and document management reports. For example the Case Notes group provides staff the ability to retrieve an actual case note in the system, or several case notes that share a common phrase or word for a specific user type (Employer, Individuals, or Provider). The Report Type field and Case Note Subject field work in conjunction with one another to locate and show entire case notes. 23 Note: Most of the Case Management reports include the ability to filter by the specific Case Manager or by a Case Manager Group. Staff can select themselves by simply clicking the Select Me link. Payment These reports include OJT, Trade, and WIOA-related payment reports for training. For example, the Case Notes group provides staff the ability to retrieve an actual case note in the system, or several case notes that share a common phrase or word for a specific user type (Employer, Individuals, or Provider). The Report Type field and Case Note Subject field work in conjunction with one another to locate and show entire case notes. Predictive Reports These reports help local staff predict the reporting results and outcomes of data in a manner that parallels WIOA quarterly and annual reports. Staff Referral Reports These reports describe various types of referrals that staff members have made for individual clients. Some reports contain active links, as shown in the example above, where clicking the Company Name link opens the Employer s General Information Tab. Sample Case Management- Payment - WIOA Training Report Case Load Reports Case Load reports provide a snapshot of various key one-stop case management indicators prior to federal reporting. 24 Case Load reports include the following: Case Load Reports Active Cases This report lists the total counts of Active cases, Closed with no exits and Exited cases during the selected report period. User is able to see individual details for each report count. Active Cases Summary This report provides a list of individuals, organized by region, office and case manager, who are still active cases in the system. Active Enrollment This report lists individuals in a selected federal program who are actively enrolled. Application This report lists the individuals in a federal program by the status of their program application. Assigned Case Load This report provides a list of clients organized by assigned case manager. Much of this report deals with caseloads that are closed or in a follow-up status. Case Closure Employment This report lists individuals in a federal program whose cases were closed due to a positive performance indicator of employment. Case Closure Reportable Performance Indicators This report lists individuals in a federal program by reportable performance indicators. The report shows performance indicator information for any credentials that may have been received, school status and diploma, and employment placement information. Much of this data is derived from the Case Closure form in the individuals profiles. Co-Enrollment Summary This report lists display the total counts of Wagner-Peyser, WIOA and TAA participants for the selected reporting period, and how many of them are co-enrolled in other programs. Staff is able to see individual details for each report count. Enrollment Summary by LWIA This report lists the total counts of the new and carry over enrollments by program for each LWIA/Region and Office for the selected reporting period. Staff is able to see the detailed list for each report count. Exited Cases This report lists the individuals who have exited (or are about to be soft exited) out of a specific federal program, such as WIOA, Wagner-Peyser, or TRADE. It also includes those who are exempted from soft exit by a global exclusion. Obtained Employment This report lists individuals who have obtained employment. 25 Projected Begin Dates This report lists clients in federal programs by their projected begin dates for activities or services. This report assists staff with tracking projected begin dates that are approaching, much like the Projected End Date Report. Projected End Dates This report lists the individuals in federal programs by their projected end dates on activities or services. This report assists staff members with tracking projected end dates that are approaching. Summary This report lists the Current Case load summary and details per office and/or staff - total counts of the currently Active cases; cases that are currently closed, but not exited; cases that are in the current quarter Follow Up and number of cases that require 1st Qtr. Follow up, 2nd Qtr. Follow up, 3rd Qtr. Follow up and 4th Qtr. Follow up. User is able to see individual details for each report count. Soon to Exit Cases This report lists individuals enrolled in federal programs who are getting ready to soft exit from the system. For more detailed information, access the Learning Center, or click this link to view the video Case Load Reports. To open a Case Load report, click the Report Name link on the Case load Reports screen. Set the filter criteria on the screen that opens and click the Run Report button. The filter criteria will vary, depending on the report being generated. Many Case Load reports include active links that will take staff to specific screens within the system. For instance, the Exited Cases Report (shown below) has links that will open the Staff s Profile > Summary Tab for the selected individual. 26 Case Load Non-WIOA Reports These reports, organized by federal program type for non-wioa programs, provide program-specific information for each major program type. For example, staff can view Wagner-Peyser Ineligible Applications. Case Load Non-WIOA Program Reports Menu The types of reports shown in each section may vary depending on the modules your state purchased. The Case Load Non-WIOA Program-Specific Only reports are organized as follows: Generic Generic Soon to Exit Cases This report lists participants in one of the system's Generic Programs scheduled to exit the program within a specified period of time. Trade By TAA Decision Date By TAA Petition Number By TAA Employer TAA List By TAA Follow-Up Details and Summary This report lists the follow-up types, required dates, and status, as well as details on the related Case Manager, location, and totals for TAA applications. 27 TAA Waiver Review by Calendar This report assists staff members in tracking when their clients 28-day waiver reviews are due. The report displays a calendar with links on the days that there are individuals with waiver reviews due. This report is a good example of how some of the Case Load reports, such as this one, show data on a calendar with active links that staff can use to drill down to more information as shown in the example below. Some reports contain additional information in collapsed rows. To expand the rows and view the information, click the + plus sign to expand the first row. 28 TAA Incumbent Worker Report This report allows staff to review workers enrolled in the Trade program who are currently employed by a company with a Trade petition, but who are threatened with layoff at some point in the future. TAA Enrolled Individuals with Expired Work Authorizations This report lists participants in the Trade program with registration visas and their expiration dates. If no information is provided with the initial report filter (Alien Registration Expiration Days to Expire), it will show everyone with a visa and the expiration dates. Wagner-Peyser Ineligible Applications This report tracks participants in the Wagner-Peyser Program with ineligible applications. Entered Employment Self Service vs. Staff Assisted This report differentiates individuals who entered employment through their own efforts in comparison to those who entered employment through staff intervention. Registration by Layoff Date This report tracks participants in the Wagner-Peyser program with an identified layoff date, by various filters including unemployment status. Registration by Layoff Date Reports Menu Case Load WIOA Specific Reports These reports, organized by federal program, provide program-specific information. For example, staff can view WIOA caseload details categorized by dislocated worker layoff date, youth goals, and follow-up details, etc. These are divided into WIOA and WIOA Youth specific reports. 29 WIOA Case Load WIOA Program Specific Only Reports Menu Customer Group This report categorizes individuals in WIOA, based on their associated customer group. (There is also a Customer Group report located in the Custom Reports section of the system.) Dislocated Worker Projected Layoff Date This report lists individuals in the WIOA Program by their dislocated worker layoff date. WIOA Follow Up Details & Summary This report lists individuals in WIOA, with quarterly follow-up information that is required once a participant has soft-exited from the system. WIOA Follow Up Employment This report displays the individual s WIOA exit date, employer information, and follow up data. WIOA On-Line Characteristics This report allows staff to search by fields found on nearly every form associated with the WIOA program, including the WIOA Application, Participation, Enrollment, Case Closure, Case Outcome, and Follow-Up forms. WIOA Outcomes by Highest Service Level This report displays the number of individuals with an exit date, with service a different service levels. Selective Service Candidacy This report displays selective service registration data that could be used for candidacy specific to certain programs. 30 Summary of First Services This report displays the individual s WIOA exit date, employer information, and follow up data. (A sample of this report is shown below.) This report allows staff to monitor specific contracted providers who are required to provide a combination of services, letting them monitor the Contracted Providers Level of Service and mixture of Services by seeing report of the first services. Staff can run this report on a monthly basis, or other time period, to track actual service levels, and know how many participants received services such as: First staff assisted core service, First intensive service, First training service, Various types of training services, First supportive service, First Needs Based Payment, First Youth Service. First Service numbers are dynamic links to details of each service. Summary of First Services Report Screens Training This report lists full details of Training Activities for an individual in the WIOA Program by the selected LWIA region and date range. 31 This report has many columns of detailed ITA data, so the report is very wide, left-to-right, and uses a scroll bar. WIOA Training Screens WIOA Youth WIOA Youth 5% Exception Enrollments This report documents youth in WIOA that are eligible under the 5% Exception eligibility policy. This is initially tracked through their completion of the WIOA youth application. Youth Goal This report lists individuals with youth goals about to expire and/or those who are enrolled with no youth goals set. Documentation Reports The Documentation reports groups includes Case Notes, Document Management, and Last Case Note reports. The most common example (below) is for Case Note reports for different user types. Case Notes Reports Case Notes reports provide staff members the ability to retrieve case notes created for the individual, employer, or provider in the system. Staff can search for specific case notes in a variety of ways, including a popular keyword search that locates case notes based on a word or phrase in the subject field or the narrative field. The report displays the date the case note was created, the subject, and the text in the case note. 34 Last Case Note for Participant Report Predictive Reports Predictive reports can be run in advance of the formal reporting periods to allow staff and management the opportunity to take actions required to improve performance during each reporting period. These reports help local staff predict the reporting results and outcomes of data in a manner that parallels WIOA quarterly and annual reports. The reports are provided to let staff generate unofficial reports related to the WIOA program rather than waiting for the quarterly or annual reports to be generated. These reports are an opportunity for staff to see how they are doing at a set point in time (e.g., the number of people they are serving, the number of people who have exited, etc.). This is in preparation for reporting for common measures that are carried out on at a federal level. Employment and Credential Rate This report lists participants in the WIOA program and tracks their success at achieving a credential or employment. Total Exiters This report lists participants in the WIOA program and when they exit from the system (soft exit or global exclusion). Youth Attainment of Degree or Certificate This report tracks youth participants in the WIOA program who attained a degree or certification during their involvement in the program. Youth Placement in Employment or Education This report lists youth participants in the WIOA program where employment or education placement information was recorded. Entered Employment Rate This report lists participants in the WIOA program and their entered employment status in the system. Six Month Earning Increase This report tracks participants in the WIOA program who gained employment and maintained employment over a six month period and their wage increases. Skill Attainment Rate This report tracks participants in the WIOA program who attained an IEP goal, and all pertinent details related to the goal. Total Participant Indicators This report lists participants in the WIOA program based on the time period selected. Youth Diploma/Equivalent Rate This report tracks youth participants in the WIOA program who attained a degree or equivalency during their involvement in the program. Referrals can be made for WIOA, Wagner-Peyser, or generic programs. Staff Referral reports let staff track the data regarding these referrals, which is pulled directly from the Staff Referrals option of the Activities tab within the Case Management profile for each individual. Staff Referral reports include: List This report presents summary information entered into Staff Referrals to Providers, which is a category on the Activities Tab in the individual's General Profile (Staff s Profile > General Profile > Activities). By Staff This report shows referral information organized by the staff member who created it. By Provider This report displays referral information organized by the provider of the referral. By Job Created by ARRA This report lists jobs that employers indicated were funded by ARRA and has links to view the job orders. By Required Education Achievement This report lists jobs by minimum educational requirements. By Employer This report lists job orders by the employer that created them. Interview Questions This report lists job orders that have interview question sets attached to them, and shows the questions provided. This helps staff members monitor the questions that employers ask for security purposes and to ensure that employers are not asking any questions that might be deemed inappropriate. Executive Internal Job Order Reports The two subcategories in this section document pending referral requests and suppressed job order data. Pending Referral Requests to Suppressed Jobs by LWIA/Region This report lists referrals for suppressed job orders waiting for review and potential transfer by a staff member to the appropriate employer. 51 Financial Reports Financial reports return information such as budget data, obligation data, and expenditure data. These reports also include Individual Fund Tracking (IFT) management information and fund stream information. Access to the financial or fund management reports is normally only enabled for select staff members who are involved with managing the Advanced IFT components of Virtual OneStop. In other words, the staff members who not only monitor and manage limitations on obligations, payments and refunds related to individual services for programs, but who also manage related budgets and budget or program limits, are usually given additional permissions to generate this set of reports. These reports are covered in the Advanced IFT-related documentation. Financial Reports are divided into the following categories: Summary This category includes reports on IFT and Budget Management, Obligations and WIOA Voucher Approvals. Individual These reports display information on individuals enrolled in funded services and budget fund stream information. Case Manager These reports display information on the case managers whose clients are enrolled in fundable services. Trade Expenditure These reports provide information on participants involved in Trade program services. Summary Summary reports include the following: IFT Basic Management This report provides information on individuals participating in funded enrollments, as well as the voucher and payment information associated with it. 56 Individual Reports Individual reports provide statistical or account information about all individuals registered in the system or a selected group of individuals. Reports can be filtered by a number of criteria, including age, desired salary, driver s license type and endorsement, education level and occupational experience. Note: These reports are not related to whether the individuals are engaged in federal programs, or using the system; they simply indicate individuals who have registered at one-stop locations. The Individual Reports include: Background Information Reports These reports provide data gathered when the registered individual enters information into the system through the Background Wizard. Registered Individual Reports These reports display information entered into the system during individuals system registration, such as age, gender, education, employment status, etc. Enrolled Individual Reports These reports combine information from an individual's registration form with basic case management fields. It is one of the primary reports that staff members can initially run when documenting case management program information on a group of individuals. Résumé Reports These reports document information concerning individuals and the résumés they create in the system. Background Information Reports Background Information reports provide information gathered in an individual's Background Wizard. The reports include information such as driver s license type and endorsement, desired salary, education, work experience, and desired work location. 65 Resumé Reports Resumé reports list individuals who have resumés in the system and track the results of those resumés. These reports indicate which resumes are generating responses and which individuals may need additional help with their resumes. The resumé reports offer a variety of sorting and filtering choices. Resumé Reports The system divides the Resumé reports into two categories Resumé (General Resumé Reports) and Worker. Resumé These reports document information about individuals resumes and the results those resumés generate. Worker These reports list individuals resumés by the individual s occupation, experience, or education. Resume List This report provides a list of individuals who have resumes in the system. The report includes the resumé title, the desired occupation, and whether the resumé is available online. Clicking the User Name link opens the individual s Profile screen. 68 Security These reports are designed to assist staff in locating potentially fraudulent employers and other customer groups by analyzing information such as the number of individuals viewed or the number of messages sent or received. Tracking These reports track information important for system performance measures. The reports can inform staff of the parts of the system being used the most. For example, the reports may show the total number of times that users logged into the system or accessed educational services. Contact These reports list contact information to assist staff members in contacting individuals or employers. Messages The Message report displays messages sent during the selected date range. The report can be filtered by Case Manager, Region/LWIA, and Subject Match (exact or contains). Survey The Survey report displays the answers to customer satisfaction surveys submitted by system users. Suspicious Employer Activity This report provides a list of employers and the number of resumés and individuals viewed versus the number of job orders posted and messages sent. Employer Lookup Report This report provides contact information, such as the primary address and phone number, of employers based on the selected search criteria. Note: The employer criteria includes the ability to select Security Question Response. This lets staff find employers who have questionable or consistently the same security responses (which can help staff identify problems, such as finding more employers who are scam accounts and routinely use the same response). Suspicious Message Activity This report displays the number of messages sent and read by staff, employers, and individuals. IP Location The IP Location reports help staff to identify employers that may not be legitimate. The reports show employers with IP locations that are a certain number (defined by the staff member running the report) from the employer s primary location. The reports will also show employers whose IP locations or Primary locations cannot be identified. The IP Location reports include: Suspicious Employer IP Distance This report lists employers whose IP location, entered into the system during registration, is a certain number of miles away from the employer s primary location address. For example, the reports may show the total number of times that users logged into the system and accessed educational services. By Service This report lists the total number of users who logged into the system during the selected date range and the number of users who visited specific locations within Virtual OneStop during that time. By Location This report lists the method used to access the site (i.e., internet) during the selected date range. 83 Scan Card Scan card reports display information about individuals using the system through the scan card method. These reports are only available in systems for customers who have purchased the VOScan module and utilize scan cards to track services and events. Note: Scan card reports may not be included in the system if the deployment does not use scan card equipment. The Event category of reports is only used in relation to the special terminals that are pre-programmable. The Scan Card reports include: Events This report tracks events set up through Scan Card. Events are created through Manage Activities > Manage Events. The Terminal Location link displays all individuals who scanned for that event and includes the User Name, Date-Time Scanned In, Date-Time Scanned Out, and Total Time Attended. Uncompleted Events This report tracks individuals who scanned into events but did not scan out, which could indicate they did not complete the event. The Terminal Location link displays all individuals who scanned in for the event(s) and includes the User Name, Date-Time Scanned In, Date-Time Scanned Out, and Total Time Attended. Event Activity Tracking This report tracks individuals scheduled for events through Scan Card. The Terminal Location link displays all individuals who scanned in for the event(s). Services Recorded by Scan Card This report tracks associated services and the individuals who swiped their scan card and attended the event(s). The Activity link displays all individuals who scanned for the event(s) and includes the User Name, and Actual Date Activity Recorded. Scan Card Time Tracking This report tracks the time elapsed between an initial scan and a scan out. Scan Card Service Wait Time This report tracks when individuals first scanned in for an activity, when they scanned out and the amount of time between the two scans. The purpose of this report is to derive an average time per service for staff-related assistance. Provides the knowledgeable, experienced analyst (who will understand writing reports from databases and the system data tables) with a wider ability to create custom reports using the system, ALMIS, and O*NET databases. Provides experienced analysts the ability to create ad hoc reports and save them for their individual use or for shared use by others. Provides a full ad hoc report tool that eliminates the need for data writing tools and/or separate report writing software, such as Crystal Reports. This is especially useful when the customer is hosted by Geographic Solutions and, therefore, has no need for data extracts or data downloads. Although no direct query language abilities are necessary to use the ad hoc query wizard, this tool is only intended for analysts with a working knowledge of the database structure and the concepts behind organizing an effective structured query. 95 Federal Reports The Federal Reports let appropriate state staff members generate and review the information provided in the Employment and Training Administration (ETA)-required reports related to the WIOA and/or Wagner- Peyser programs and services. The Federal Reports are categorized as follows: ETA 9090 WIOA Quarterly The ETA 9090 WIOA Quarterly Reports calculate common performance measures and let the staff choose the quarter and year on which to report. ETA 9091 WIOA Annual These reports provide the same information as the Quarterly WIOA reports, but the information is reported by year. ETA 9002/VETS200 Quarterly These reports contain information on Wagner-Peyser services and the outcomes of registered job seekers and employers receiving those services through the public labor exchange as part of state one-stop systems. Trade Adjustment Act The ETA-563 report provides TAA participant information on a quarterly basis. MIC The MIC report counts and tracks various levels of services provided to individuals designated as Migrant and Seasonal Farm Workers (MSFW). ETA 9048 Profile The ETA-9048 Profile Report provides quarterly information on the Worker Profiling and Reemployment Service activities of claimants who are profiled to assess their likelihood of exhausting benefits. Recovery Act (ARRA) The Recovery Act reports (ETA 9147, ETA 9148, and ETA 9149), monitor participant statistics for the ARRA Program (America s Recovery and Reinvestment Act). EEO These reports provide valuable Equal Employment Opportunity Act (EEO) data, including gender and ethnicity information on claimants. Veteran Priority of Service Survey The Veteran Priority of Service Survey reports provide information about the state and local agency implementation of Priority Services for Veterans. Federal Reports The following sections briefly describe the purpose of the different federal reports, and indicate the possible options and formats for each report. 96 ETA 9090 WIOA Quarterly Reports The ETA 9090 WIOA Quarterly Common Measures Reports calculate the common performance measures and let the staff choose the quarter and year on which to report. The following ETA WIOA 9090 Quarterly reports are available: Total Participants This report displays all new individuals registered in WIOA (those who have at least one activity service in their WIOA service plan) based on service date range. Total participants are listed by program, provider, and region. Total Exiters This report lists program participants and when they intend to soft exit the system. Placement in Employment or Education This report lists program participants with placement results in employment or education. Entered Employment Rates This report lists program participants and their entered employment status. Retention Rate Displays individuals who have exited WIOA and are still employed at a defined time (e.g., 2nd quarter after exit). Literacy and Numeracy Gains This report lists participants and tracks their literacy/numeracy gains while in WIOA. Employment and Credential Rates This report lists participants and tracks their credential record or rate in the WIOA program. Average Earnings This report lists program participants and their average earnings. Attainment of Degree or Certificate This report tracks individuals attainment of training degree or certificate in WIOA. Youth Diploma/Equivalent Rate This report displays youth who started the program without a high-school diploma or GED, and information on who has earned a diploma or GED during enrollment in the program. Skill Attainment Rate This report tracks attainment of goals by participants through the WIOA program. Quarterly Summary This report displays a summary of all of the ETA 9090 WIOA Quarterly Common Measures reports. Based on the quarter selected, it will provide data on Total New Registrants, Total Exiters, Skill Attainment, Diploma Rate, Entered Employment, Retention Rate, etc., broken down by Customer Program Group (e.g., Adult, Dislocated Worker, and Youth). Staff can filter the results by quarter and year, LWIA, and by one-stop office status and location. Annual Summary This report displays a summary of all of the ETA 9090 WIOA Annual Common Measures reports and is otherwise similar to the Quarterly Summary report described in the previous section. Non-Traditional Employment This report displays individuals non-traditional employment information, including wages, office location, and exit date. Staff can click the links in the Grand Totals row at the bottom of the report to view a detailed report related to the selected column heading (Exit Reason, Wages, Follow Up, etc.). Training-Related Employment This report displays individuals training-related employment data and is otherwise similar to the Non-Traditional Employment report described above. 99 ETA WP 9002/VETS200 Quarterly Reports These reports contain information on Wagner-Peyser services and the outcomes of registered job seekers and employers receiving those services through the public labor exchange as part of state onestop systems. The ETQ WP 9002/VETS200 Quarterly Reports include: ETA 9002A - This report records information on services for all participants. The data is displays totals for participants by employment status and by race. ETA 9002B - This report records information for participants who are veterans, eligible persons, or transitioning service members. ETA 9002C - This report records information on employment outcomes resulting from the provision of employment services for all individuals who exit from Wagner-Peyser. ETA 9002D - This report records information on employment outcomes for veterans, eligible persons, or transitioning service members who exit from Wagner-Peyser. ETA 9002E - This report records information on job openings received. ETA 9002EUC - This report records information on services to participants and performance outcomes for exiters. The report displays the data for all claimants and for veterans, eligible persons, or transitioning service members, as well. ETA 9002 F This report displays Priority of Service information for both the current (selected) quarter and the cumulative totals for 4 quarters. VETS-200 (A)-DVOP This report records information regarding the Veterans Employment and Training Service, which is a subset of the 9002 data. The data contains similar elements to the 9002 data, but only applies to the activity of participants who received one or more services from Disabled Veteran Outreach Program staff (DVOPs). VETS-200 (B)-LVER This report records information regarding the Veterans Employment and Training Service, which is a subset of the 9002 data. The data contains similar elements to the 9002 data, but only applies to the activity of participants who received one or more services from Local Veterans Employment Representatives (LVER). VETS-200 (C)-LVER This report records information regarding the Veterans Employment and Training Service, which is a subset of the 9002 data. TAA information is submitted electronically from states on a quarterly basis in a comma delimited file format. Trade Adjustment Act Report TAA provides TAA participant information on a quarterly basis in a format compatible with comma delimited files (Excel Spreadsheet). Staff can filter by quarter and click the Export Report button to download the information into an Excel spreadsheet and save it to a file location as a spreadsheet, comma delimited file, or in another format.
