1 Brief : Client : Recruitment of 5 Different Roles Gift Hair Salon Date : 8 th November 2014 Deadline : 23 rd November 2014 Introduction Gift Hair Collection is a successful online business run by Gift which offers Afro-Caribbean women the opportunity to buy high quality weaves, wigs and extensions at exceptional value for money. Important to note is that the same quality products are not easily available in UK. When purchasing from abroad, the delay in deliver is usually 5 days. Gift Hair Collection is able to deliver on the same day if ordered before midday, and within 2 hours if local. It has established a long standing client base in the area and the company provides itself in amazing customer service at exceptional value for money. Gift Hair Collection is now expanding and is opening a Hair Salon with a difference. Specialising in the highest quality hair extensions, weaves and wigs, the salon will become a specialist in all hair types by now offering European cuts and colours for both men and women alike. It will also offer manicures and pedicures. The salon will be initially opening 6 days a week Monday to Saturday. Monday to Thursday the opening times will be 9 till 6 and Friday to Saturday they will be 9 till 9. Gift is trained to cut Afro-Caribbean hair and her husband Uche is trained as a barber. It has 6 chairs in the salon which she would like eventually to be in use all the time but for now would like to start with at least the key hours covering. The most urgent areas at the moment are someone to cut European hair, a nail technician and an apprentice as the other skills can if absolutely needed be covered by Gift and her husband. The staff will be insured under Gift s PI, PL and employee insurance. This document has been prepared as Gift has requested The Bratton Group run her recruitment process for her in its entirety as she is feeling under pressure with such tight deadlines. There are 3 main areas of staff recruitment she could like to cover: 1. Apprentices: Gift would like 2 apprentices who between them will cover the hours the shop is open, serve customers and help with the general running of the business. Initial thoughts are a retail apprentice and a marketing apprentice would be the most suitable and it must be emphasised that at this time Gift is not looking for hairdressing or nail technician apprentices. Gift has met with Jacquie Smith from North Herts College and the college need a job description before they can start to advertise the position. It is likely to be a minimum of a month s lead time for an apprentice to be in place and so it is unlikely that she have an apprentice in place for the opening date. Each apprentice is required to work 4 days a week for 35 hours a week and the pay will be 3.50 an hour. Page 1 of 9

2 2. Barbers and Hairdresser: Gift would like to recruit a team of hairdressers to cut the male and female hair. She would like to have a range of specialists in European hair, Barbering and Afro-Caribbean hair. Gift has a wide range of skills and is most experienced in working with Afro- Caribbean hair, in addition she has recently trained to work on European hair as a professional hair stylist including application of hair extensions and colour which includes Hair Styling including blow dry, Hair Colour, Hair Extensions Install, Cut and Style (Fusion bonds, pre-bonded, micro rings and micro weft). Gift however is not currently to cut European hair other than the extensions. Gift has already found one other person who can do Afro-Caribbean hair and her husband can cover the barbering. Gift s biggest concern is currently that she needs someone to cut European hair as unless someone is recruited she will not be able to offer this service. Gift would rather not be doing the hairdressing full time as she would like to spend time with the customers in the shop. Gift plans to pay the hairdressers on a % of the money of the job they are doing. Current thinking is 50%. Gift will pay for the shampoo etc though she is concerned that this could be expensive. Eventually she would like to be taking staff on under fixed contract. Gift recognises that she will not need full-time staff at the point of opening but will need some hours so that she can start to book clients in, then as demand grows so can the number of staff she has in place and she can also potentially increase the hours they work. 3. Nail Technician: As an additional offering Gift would like to have a nail technician at the salon. Initially this can be just for core hours. Gift does not have the skills to cover this work herself and so unless someone is recruited she will not be able to offer this service. Gift plans to pay them a % of the money of the job they are doing. Current thinking is 50%. The technician will pay for their own consumable equipment such as nail varnish and files. The UV lamps, cure equipment, chairs, trolleys etc will be provided by Gift. Eventually she would like to be taking staff on under fixed contract. Gift recognises that she will not need full-time staff at the point of opening but will need some hours so that she can start to book clients in, then as demand grows so can the number of staff she has in place and she can also potentially increase the hours they work. The Brief The key areas that Gift would like delivering are: 1. Advertising of the positions available. 2. Production of the job descriptions. 3. Interviewing process designed. 4. Communication with the college regarding the apprentices. 5. The initial contact of all applicants. 6. Short-listing applicants based on fit to the job description, flexibility and personality. 3 7. Supporting Gift by being at the interviews. 8. Producing draft contracts for the freelance staff to sign. Proposal There are a lot of unknown quantities in this work as there is no way to predict how easily or hard it will be to get applicants and what quality they will be. Rather than put together an extremely over rated package fee we are proposing an initial package and then this can be monitored by Gift to ensure she would like the work to continue. Due to the very nature of this work we are not able to give a fixed price quote, however we recognise that Gift will need an idea on how long the work will take and therefore for your guidance we have added an estimate on how long this work will take us in hours: The key areas that Gift would like delivering are: 1. Advertising of the positions available. Continuing with working to promote the positions on facebook and some on twitter Simple posters advertising the role created and approximately 15 put up around the area in shops, café s and businesses Promoting on Linked in Contact North Herts College regarding recruiting their recent successful students Promoting on Gumtree and Indeed Identifying other online places to promote Promote in newsagents Depending on costs promote in newspapers Call on current hairdressers to see if they know of anyone who would want to join Gift Promote at hairdressing warehouses such as Gifts contact Sally's Estimated as 15 hours. 2. Production of the Job Descriptions. Production of the 5 different job descriptions with input from Gift for the following roles: Freelance hairdressers, commission based Freelance barbers, commission based Freelance Nail technicians, commission based Retail apprentice Marketing Apprentice Page 3 of 9

4 Estimated as 10 hours. Which includes 2 reviews by Gift and initial conversation with Gift to collate her requirements. 3. Interviewing process designed. A list of questions and recording sheets produced based in 3 parts and all to show that they are able to deliver to the job description, this is for all 5 roles: Part 1 General Questions based on the job descriptions Part 2 Specific questions around each candidate Part 3 Competency tests Estimated as 3 hours per role = 15 hours 4. Communication with the college regarding the apprentices. Be first point of contact with North Herts College for the apprentices for and during the recruitment process Estimated as 6 hours 5. The initial contact of all applicants. All contact will be made through The Bratton Group A separate address will need to be set up under either the Gift Hair Salon or The Bratton Group domain Estimated as 5 hours 6. Short-listing applicants based on fit to the job description, flexibility & personality. A summary of applicants showing their contact details, their perceived strengths and weaknesses will be presented to Gift on a weekly basis Estimated as 3 hours 7. Supporting Gift by being at the interviews. We will attend all interviews and support Gift in deciding who to employ Depending on the number of interviews but estimated as 1.5 hours per interview and 10 candidates which is 15 hours 8. Producing draft contracts for the freelance staff to sign. 5 Out of Scope Making the final decision on who to recruit. Costs of printing for posters and flyers etc Deciding on the content of the job descriptions and contracts. We will offer suggestions and ideas but we cannot make the final decision. Ongoing HR support though we would be delighted to offer this as an additional service. Costs of advertising for example newspapers costs, charges by shops to put up a poster etc. More than three trips between the start of the process and 23 rd November to Hatfield. Contacting Gift s personal friends and personal connections. Promotion of the roles on the websites. Assumptions Gift will be available to input and proof read all materials Gift will be part of the interviewing process Gift will sign off all materials in a timely way Gift will give our team temporary access to the Gift facebook page and other social media accounts. All contact with candidates will be made under the name of Gift Hair Salon and not The Bratton Group. Why Bratton Management The Head of HR for The Bratton Group Joanne Fabris has a long career as a Senior HR Manager and has worked for large and small companies. She is well versed in designing the recruitment process end to end. Our Managing Director Jayne Bratton has significant experience and has a successful track record in recruiting staff into the company. She has also 25 years as a line manager in large companies and so is well versed in recruiting staff. The Bratton Group is currently working with Gift on her business coaching and marketing and therefore are well versed in her needs. We are extremely focused on the time pressures for these roles. 7 Costs Due to the very nature of this work we are not able to give a fixed price quote, however we recognise that Gift will need an idea on how long the work will take and therefore for your guidance we have calculated some estimates. We will you each week with an update of our progress and hours used so that you can decide if you wish to continue. We estimate that this work is likely to take around 75 hours and is very dependant on the ease of getting people to apply and quality of the candidates who apply. We may be able to get this work approved through your Leadership and Management Package element of Growth Accelerator and this would mean half of all costs can be refunded by Pera. As we know how tight the financials for Gift are at the moment, for this assignment alone we have decided to give a 42% discount on our normal charge for this work which will mean an hourly rate of 35. Please note that this discount expires after 30 days and is a non-repeatable one off. This offer reflects The Bratton Group s commitment to Gift, their understanding of her current financial pressures and their desire to help her open with staff in place. Assuming that the work does take 75 hours then the total cost will be 2625 (we will not be adding VAT). If Gift does get the Leadership and Management funding approval then, after claiming back half the payment, this will be Please note: As you are flat rate VAT we will invoice you under our Bratton Training Limited company so that we do not need to add VAT which based on 75 hours will save you 525 We cannot guarantee that staff will be successfully recruited The prices are valid for 30 days from the date of this proposal Additional HR deliverables will be at the day rate of 420 Payment Terms are 14 days from date of invoice, we will invoice you monthly at the end of the month These costs include the services of an experienced and qualified HR Manager who will be supported by her Management Team, Social Media Specialist and Marketing Manager If at anytime you would like to stop the HR recruitment support. We will require a one week notice of the termination of this work to enable us to hand over what we have done to you in a cohesive and meaningful way. Possible Funding As this will include elements of training Gift in how to recruit we will attempt to get this work approved through the Growth Accelerator funding which will allow Gift to get a refund of half of the costs. As already discussed we will include this in a large package which Gift can pull down on to cover a number of areas for her business should she wish to without needing to apply for approval on multiple occasions. 8 Timescales The urgency of this recruitment is clearly understood and indeed was identified during our coaching programme. We will do all we realistically can to get staff in place for the friends and family opening on 23 rd November. If this timescale cannot be achieved then we will continue to work with you until staff are in place. Recommendations Work should commence immediately to give the best chance of successful recruitment by the targeted date. Our team are on standby to start on this as their priority as soon as we get the approval to start work. Other support for Gift We have lots of additional services we can offer, with the advantage being that you can use as many or few hours of each as you would like. We also have the option to pay a retainer to the company which you can then draw down from as you need the support. Other areas in which The Bratton Group could support Gift include: 1. Marketing and PR: Promoting the opening of the salon in various ways including through social media. We can help with marketing campaigns, networking, event management and clarifying the messages to your various audiences. 2. Ongoing HR support: We can be held on a retainer to be there to support you with your staff queries and support. We can also offer a full range of HR services should you wish to have support with areas such as staff disciplinaries, appraisals, personal development plans, managing absence etc. 3. Staff Handbook: A highly valuable point of reference for all staff for information such as how to report you are sick, standards of dress, culture of the company etc. 4. Company Processes: Companies need processes defined and a number of these are legal requirements. We are experienced in writing processes and policies. The key ones which may be of interest to Gift are HR, recruitment, Health and Safety, Environmental, Disciplinary, Customer Complaints etc. 5. IT: We have our own IT support team for our clients. We are well versed in small business IT needs and can offer support in most areas of hardware and software. Page 8 of 9

9 6. Sales Training: We have much experience in delivering sales training and much experience in retail. 7. Administration and PA services: We have a dedicated team of administrators who can run all areas of your back office.
