1 UNIFORM POLICY All Permanent and Substitute School Site and Central Kitchen (CK) Employees (includes any Office employee working with food at a school site or in the CK) 1. Name Tag/ID Badge a. While working at, or delivering to, a school campus or activity, employee name tag/id badge must be visible at all times while on duty or on school grounds. b. Please remove your name tag/id badge when off duty and off campus. i. If you do not have a name tag/id badge, please contact Becky Goldberg at , ext ii. The replacement cost for a lost name tag/id badge is $5. Order replacement badges from Becky. 2. Logos, Patterns, and Colors for Clothing & Hair Coverings a. While on duty for the Agency, all hair coverings and clothing (aprons*, shirts**, sweatshirts, coats, or pants, capris, or skirts) must be: i. Agency-issued (with an Agency logo); or ii. Be logo-free and in solid, muted colors (no patterns). 1. *NOTE: Apron must be black. 2. **NOTE: Permanent employees must wear an Agency uniform shirt. iii. See Exceptions below. b. Exception: You may wear clothing items that contain a CSNA or school-site (where you work) logo. c. Exception: On special event days (e.g., holidays, sports day, Hawaiian luau, lunch lady days, Kid s Cooking Days, Red or Pink days, etc.), you may dress according to theme; however, the safety and professional appearance guidelines outlined in this section apply. d. Not Permitted: Clothing or head coverings with personal advertisements, logos (other than permitted above), trademarks, or insignias. 3. Hair Coverings a. Agency employees and visitors: While working in food preparation and serving areas OR walking by food preparation areas, hair must be effectively and completely contained and covered (at all times) (e.g., secured in a hairnet, visor, hat/baseball cap, scarf, etc.) i. Long/medium length hair must be contained in a pony-tail, then bun as well as in a head covering such as a cap or visor. ii. A hairnet must be worn if hair cannot be completely contained in head covering (may be worn under a visor or cap). b. Logo and color/pattern protocol must be followed (see #2 above for allowable exceptions). c. Not permitted: hairpins, curlers, or beaded hairnets 4. Aprons a. It is required that, while preparing and serving the food, school cafeteria and CK employees (including substitutes) wear black aprons (Agency issued apron preferred) (see #2 above for allowable exceptions). i. Employees working Agency-sponsored special event (i.e., BBQ, Cruisin Café, Catering) must also wear black aprons. b. When stepping away from food preparation area (i.e., for a break or lunch), remove and store your apron in a sanitary location. c. Not permitted: Agency provided uniforms may not be altered in any way. 5. Shirts a. Permanent employees are required to wear an Agency-provided uniform shirt with an Agency logo during work shift (see #2 above for allowable exceptions). Agency uniforms are provided annually for permanent employees. b. Substitute employees must wear a solid, muted color shirt. Substitute employees may purchase an Agency shirt if they wish. 2 c. Long-sleeve shirts are permitted, provided: i. Logo and color/pattern protocol must be followed; ii. Sleeves are fitted; and iii. Sleeves must be secured so they don t make contact with the food. d. Not permitted: Midriff tops, sleeveless/tank tops, bell sleeves. e. Not permitted: Agency provided uniforms may not be altered in any way. i. Exception: You may hem or tack Agency long sleeve shirt sleeves to no shorter than ¾ arm length to avoid contact with food; sleeves may not be cut off to short sleeve length. ii. Exception: If your Agency shirt is too long, you may hem the shirt to lower hip length. f. Agency logo uniforms are to be worn only while on duty. Please do not wear during personal extracurricular activities. 6. Sweatshirts and Coats a. Sweatshirts are permitted. i. Logo and color/pattern protocol must be followed (see #2 above for allowable exceptions). b. Coats are permissible when working outside the building or in a freezer/refrigerator. i. Logo and color/pattern protocol must be followed (see #2 above for allowable exceptions). c. When preparing and serving food, sweatshirts or coats must be worn under an apron. d. If name tag/id badge must be worn, it must be visible. 7. Pants / Capris / Knee-Length Walking Shorts / Skirts a. Loose-fitting walking shorts (knee-length), capris or pants (jeans/any solid, muted color or khakis) are acceptable. i. Logo and color/pattern protocol must be followed (see #2 above for allowable exceptions). ii. If wearing a skirt, it must be knee to mid-calf in length and fitted to avoid snagging on kitchen items or equipment. b. Not permitted: Shorts (other than those indicated above), stretch pants, pajama jeans, jeggings, leggings, sweat pants/jogging suits, bike shorts, etc. i. Your pants, jeans, shorts, etc. cannot have holes or tears. 8. Shoes a. School Site and CK Production Employees: i. Employees are required to wear firm, structured/supportive shoes that are closed toe, liquid-repellant/resistant, flat with a non-skid (rubber type) sole and worn with clean stockings or socks (at all times). ii. Not permitted: Canvas shoes, sandals, slip-ons, open-toe or open-back shoes, shoes with mesh or perforations. b. CK Operations Employees (Warehouse, Transportation/Delivery, Maintenance, and Custodial): i. Due to the nature of the work environment, employees are required to wear only steeltoe work shoes. These work shoes must be liquid-repellant/resistant, flat with a nonskid (rubber type) sole and worn with clean stockings or socks (at all times). ii. Exception: Custodial employees, while performing custodial duties, have the option of wearing reinforced-toe shoes rather than steel-toe shoes. 9. Proper Attire Required a. If you arrive at work without the proper work attire as outlined above, you may be sent home without pay (permanent employees may use vacation pay). 3 10. Uniforms No Longer Needed (UPDATED SECTION) a. At such time you no longer have use for Agency logo uniform(s), it is requested they be returned to the Agency (i.e., items you no longer need while an active employee or upon termination of employment). i. Please do not donate any item with our Agency logo (e.g., to a charity). b. If the item is no longer wearable: i. You may wear the shirt around your house but not out in public. ii. OR cut the logo off and throw it away. 11. Present a professional appearance! a. You are a representative of the Santa Clarita Valley School Food Services Agency be a positive reflection of the professional services we provide! b. Clothing Condition i. Clothing must be in good condition (e.g., without holes or excessive fading) and appropriate to a school work environment. Clothing that is low-cut, too short or too tight is not professional or permitted. c. Laundering Responsibilities i. All clothing (including undergarments) must be clean at the start of each work day. All employees are responsible for laundering their work clothing. Clean clothing includes, but is not limited to: Shirt, pants, apron, sweatshirt, hats/hair coverings, etc. ii. Exception: CK employees may launder Agency-provided aprons daily using the Agency washer and dryer if desired. Designated and Other Office Employees 1. When visiting a school site, it is recommended that, in addition to the required name tag/id badge, when possible, the following staff wear a garment with the Agency s logo: a. CEO, Director of FS, Area Supervisors, Nutritionist, IT Staff, and Substitute Coordinator b. If working with food, an apron and proper shoes are to be worn. 2. The Certified Chef will wear a chef s jacket or apron while working with food or while representing the Agency in a professional capacity. 3. CK Production and Operations Supervisors will dress in conservative professional attire appropriate to their position in the Agency. 4. Work attire must be either logo-free or have an Agency or CSNA logo. Office & Administration Employees 1. Office & Administration employees will dress in conservative professional office attire, appropriate to their position at the Agency. 2. 5 Permanent Employees UNIFORM POLICY AND PRICING 1. It is strongly recommended that each employee submit their annual Uniform Order Form by the requested due date to ensure receiving the desired sizes and quantities. Normally, only one order is made annually by the Office. Employees will not be paid for their time or mileage. 2. All school site cafeteria employees may use up to 40 points per year to purchase uniform item(s) if uniforms are needed. 3. All CK production employees may use up to 26 points to purchase uniform item(s) if uniforms are needed. Aprons are provided for CK production employees. 4. All CK operations employees (Warehouse, Transportation/Delivery, Maintenance, and Custodial) may choose from the following: a. A receipted reimbursement stipend for reinforced/steel toe work shoes (up to $35.00); b. Up to 35 points to purchase uniform item(s); OR c. A combination of points for uniforms and receipted reimbursement stipend for steel toe shoes, not to exceed a total of 35 equivalent points (1 point = $1.00). 5. Newly-employed permanent school site and CK employees will receive uniform points at time of hire as follows. a. Once uniforms are issued, employees are required to wear daily (as appropriate) Agency issued uniform shirts and aprons (Agency issued apron preferred). b. Hired between 7/1 and 1/31 -- current school year: i. 55 points (School Site employees) ii. 34 points (CK employees Production); aprons provided iii. 41 points (CK employees Operations: Warehouse, Transportation/Delivery, Maintenance, Custodial) 1. Employee must receive a minimum of 3 uniform shirts. 2. Uniform shirt allotment with points will not exceed 5 shirts unless purchased. 3. If desired, part of the allotted points, not to exceed 20 equivalent uniform points (1 point = $1.00), may be used towards a reimbursement stipend for steel-toe shoes. 4. Example: 3 shirts=21 points + $20 reimbursement stipend = $41 uniform points c. Hired between 2/1 and 5/15 -- current school year: i. 40 points (School Site employees) ii. 26 points (CK employees Production); aprons provided iii. 35 points (CK employees Operations: Warehouse, Transportation/Delivery, Maintenance, Custodial) 1. Employee must receive a minimum of 2 uniform shirts. 2. Uniform shirt allotment with points will not exceed 5 shirts unless purchased. 3. If desired, part of the allotted points, not to exceed 20 equivalent uniform points (1 point = $1.00), may be used towards a reimbursement stipend for steel-toe shoes. 4. Example: 2 shirts=14 points + $20 reimbursement stipend = $34 uniform points d. Hired after 5/15 -- current school year: Employees will not receive uniform points for the school year hired. However, uniform points will be provided at the beginning of the following school year based on b above 6. Requesting Reimbursement Stipend for Steel-Toe Shoes a. Limited to CK Operations employees (Warehouse, Transportation/Delivery, Maintenance, Custodial) permanent employees. b. Complete Request for Uniform Stipend (obtain form from your supervisor). c. Have your supervisor sign the form. d. Make appointment with Susan Weiss, Director-Finance and Administration. e. Take signed form, original receipt, shoes, and shoe box to meeting for approval and processing. f. Your stipend will be issued up to 10 business days after receipt. 6 7. Designated Office Management Employees: a. Designated office management employees are: CEO, Food Service Director, Area Supervisors, Chef, CK Production Supervisor, CK Operations Supervisor, Nutritionist, and IT Staff. b. (UPDATED SECTION) May use up to 30 points to purchase Agency uniforms or have their personally purchased, non-agency provided professional work items embroidered (i.e., shirts, totes, work jackets). i. Personally purchased professional shirt(s) must be in solid, muted colors. c. UPDATED SECTION) Due to the nature of the position, the Chef will be provided, upon request and at Agency expense, with up to 2 embroidered Chef s Jackets annually, cost not to exceed $50.00 (requires prior approval of the Director-Finance & Administration). The receipt of the Chef s Jackets will be in lieu of uniform points for that school year. 8. Hourly Office Employees and Salaried Office/Admin Employees: (UPDATED SECTION) a. Certain Hourly Office Employees: i. The Substitute Coordinator will receive the same points as the CK Production Staff to purchase uniform t-shirts and aprons. ii. Designated Hourly Office employees (Cash Control Clerk, Receptionist, Site Orders Clerk, and Free/Reduced Application Clerk) may use up to 8 points to purchase an Agency uniform every other school year (beginning the school year). b. All other Hourly Office and Salaried Office/Admin employees do not receive points for uniforms. If desired: i. Hourly Office and Salaried Office/Admin employees may purchase Agency t-shirts or aprons. c. Embroidery of Personally Purchased Professional Work Items i. Salaried Office/Admin employees may have their personally purchased, non-agency provided professional work items (i.e., shirts, totes, work jackets), embroidered with the Agency logo for a nominal fee. 1. Personally purchased professional shirt(s) must be in solid, muted colors. 9. Additional Uniforms: If employees request additional uniforms after the annual order has been submitted, uniforms will need to be obtained at the Agency office and will be limited to stock on hand. a. Employees will not be paid for their time or mileage. 10. Uniform Distribution: Annual Order: Uniforms will be sent to each school site for distribution to their staff (sites will be notified on procedure to be followed). New Permanent Employees: Uniforms will be picked up at the Agency office. Employees will not be paid for their time or mileage. Substitute Employees 1. Substitutes do not receive points for uniforms. However, each substitute will receive black aprons as follows. a. One short apron at time of hire (a long apron is available at a nominal cost). b. One the following school year after hire. c. Thereafter, one additional apron every other school year upon request. 2. Substitute employees are welcome to purchase a t-shirt from the Agency office. a. Employees will not be paid for their time or mileage. 3. Substitutes are responsible for bringing a clean, laundered black apron (Agency apron preferred) to each assignment and then taking it home for laundering at the end of each day. Buying Additional Uniform Items 1. Additional items may be purchased from the Agency at the Office. 2. Any SCVSFSA uniform point(s) remaining for the current school year may be applied toward additional uniform purchase(s). 3. To purchase uniforms above allotted annual uniform points: 1 point = $1.00. Exchanges 1. Exchanges must be made in person at the Office within 30 days of receipt of uniforms. 2. Do not return uniform(s) in the green bags to the Office for exchange(s). 3.
