1 KNOWLEDGE Builder WORKDAY: Nursing Workflow Use this process to complete a performance appraisal for employees who are RNs or LPNs, and who do not require an additional clinical reviewer. On-screen instructions are also available. Try It Out Follow the steps below to complete a Performance Appraisal for your employees: 1. In Workday, click the Cloud in the upper right corner of your screen. A red number indicates the number of actions awaiting your attention in your inbox. 2. From the drop down menu, click Inbox

2 3. The left-hand side of the screen lists all actions assigned to you in your inbox. Click on an action. The corresponding information for the chosen action displays on the right-hand side of the screen. An action displays for each employee who requires a performance appraisal. Note: If you have both licensed and non-licensed employees you will see two types of inbox items: 2015 Rochester Regional Employee Review: (Employee Name) this type of review will indicate that it is for a licensed clinical employee and that a peer reviewer will have to first be chosen before you can complete the review. Manager Evaluation: 2015 Rochester Regional Employee Review: (Employee Name) this type of review will indicate that it is for a non-licensed employee. No peer reviewer is required and you can begin the appraisal immediately (Use the Appraising Performance General Workflow Knowledge Builder). 4. Click on a Performance Appraisal. Corresponding information will display on the right-hand side of the screen. 5. For all 2015 Rochester Regional Employee Review actions in your inbox, select a peer reviewer: a. In the Search field, the name of the peer reviewer then press the Enter key on your keyboard. b. Click Submit. Note: When you assign a peer reviewer in Workday, three actions will occur: The peer reviewer will receive an action in their Workday inbox to complete the peer review. The employee will receive an action in their Workday inbox to complete their Self- Assessment. You will receive an action in your Workday inbox to complete your evaluation of the employee s performance. After you click submit, you will have new inbox items. 2

3 6. To refresh your inbox, click You have new inbox items in the orange bar. Note: When you refresh your inbox you will have a new Manager Evaluation: 2015 Rochester Regional Employee Review action for the employee you assigned a peer review for. Though systematically you can fill out the performance appraisal at any time, we suggest that you wait until both the peer review and the self-assessment have been completed. Communicate to employees and peer reviewers when you expect for them to complete their assessments in Workday. The following instructions assume the peer and self-assessment are complete. 7. Click the Cloud in the upper right corner of your screen. A red number indicates the number of actions awaiting your attention in your inbox. 8. From the drop down menu, click Inbox. 3

4 9. From the left-hand side of the screen, click on a performance appraisal that you are ready to complete. 10. Click Go to Guided Editor. Note: The Guided Editor will walk you through the PA process step by step while the Summary Editor will show all steps on one page. The Guided Editor is HIGHLY recommended for ease of use. 11. Comment on the employee s performance against their job responsibilities. (Required) a. Review the list of responsibilities (pulled directly from the employee s job description). b. Click the pencil icon to the right of the list of responsibilities. A comment field will appear below the text Manager Evaluation (You may have to scroll down to view the Comments field). Note: DO NOT click the Add button as this will add a responsibility instead of adding a comment. c. Enter comments in the comment field under Manager Evaluation. d. Click Next. 4

5 12. Rate and Comment on the employee s demonstration of Skills and Competencies (Required). This section will include a list of skills and competencies based on the employee s Job Profile. All competencies require both a rating and a comment from the manager. a. Click the pencil icon next to the first Competency. b. Click the Manager Rating prompt. c. Choose proficiency rating from the list provided. The rating should reflect the employee s demonstration of the competency throughout d. Enter a comment to support your rating. Your comment should provide specific details and examples. e. Click the checkmark next to the competency to save your work before moving on to the next competency. Repeat steps 12a-e for ALL competencies in this section. Note: DO NOT click the Next button until you have scrolled all the way down the page and verified that you have rated and provided comments for each competency. 5

6 If the Employee Evaluation and the Peer Evaluation have been completed, the employee and peer input for each competency can be viewed by the manager from this section: f. Employee Evaluation Section - How the employee has rated themselves for this competency as well as the comment they have entered for this competency. g. Peer Evaluation Section Click on the number under Feedback to review how the peer has evaluated the employee in regards to this competency h. Once all competencies have been rated and commented on, click Next. 6

7 13. Document an overall rating and comment for the employee s 2015 performance. (Required) a. Click the pencil icon to the right of the Manager Evaluation text. b. Click the arrow at the end of the Rating section. c. Choose the appropriate rating from the provided list. d. Enter a comment related to the overall performance of the employee. e. Click Next. 7

8 14. Review the performance evaluation in Summary view. This section provides you with a chance to review all content and edit as needed. Note: The Guide Me button in this section will take you back to the Guided Editor view. 15. Choose to SUBMIT or to SAVE for LATER. After you have reviewed all information on the summary screen you have the option to SUBMIT or to SAVE FOR LATER: SAVE FOR LATER saves your changes without making them available for the employee to view. Save for later is recommended until you are sure you want the employee to view and are sure there will be no changes to your review. SUBMIT makes the appraisal immediately available for the employee to view (via an action in their Workday inbox). No changes can be made to your appraisal after it has been submitted. Note: Based on the situation, you may want to print and discuss the performance appraisal with the employee prior to submitting it. 16. Success! Event Submitted message displays. Click Done. At this point the employee will receive an action in their Workday inbox to review and acknowledge the performance appraisal. 8

9 17. Review employee comments and perform final acknowledgement. When the employee has acknowledged the evaluation, you (as the manager) will receive an action in your Workday inbox to perform the final acknowledgement. a. Review the employee comments (when applicable) b. To acknowledge as the manager click the pencil icon. c. Click the Status prompt. d. Choose the appropriate action. e. If you would like to add a comment, enter it in the comments field. f. Click Submit. 9

10 18. Once you have submitted the acknowledgement, you will see following screen. Click Done. 10
