International Medical Corps UK works alongside International Medical Corps Worldwide, responding to humanitarian emergencies and communities afflicted by conflict, poverty and natural disaster in more than 20 countries around the world. International Medical Corps and International Medical Corps United Kingdom with headquarters in the United States and the United Kingdom respectively, work collaborate to maximize resources for the delivery of appropriate relief and development activities. Purpose of the role To support Finance Manager and Finance Director in ensuring appropriate finance management, accounting, control and reporting. International Medical Corps UK finance function provides overall financial management, oversight for risk and governance of IMC UK. UK finance team work in close collaboration with the finance team of our affiliate International Medical Corps based in LA and Split. The role will also contribute towards grants and contracts management activities of the organisation as required by the Executive Director of the organisation. As part of a small team, the candidate will demonstrate flexibility. Occasional overtime may be required. Essential deliverables (Duties and responsibilities) 1. Treasury Support donor receivable management by flagging unpaid grants income Ensuring bank compliance of all transactions to external parties including sanctions countries; Coordinate payments with Bank and other HQs; Support with corporate cash management; Initiate foreign exchange transfers from Euro and pound sterling s accounts; 1 of 5

2 Trace foreign exchange settlements and flag outstanding settlements; Ensure corporate operations account has sufficient funds; Revalue bank balances at the end of every month and post revaluation adjustments to ledgers; Perform regular bank reconciliations; 2. Accounts payable Guide and train staff on finance and procurement processes to ensure compliance with International Medical Corps UK s procurement policies and donor guidelines; Managing transactions on the company credit cards. Review and process staff expense authorization, expense report for travel advances and travel reimbursement Review vendor invoices or payment requests for accuracy, appropriate authorization and supporting documentation; Track and ensure proper coding and authorization of all advances and payments; Accurately record accounts payable transactions into ledger; Any other duty to ensure that IMC UK liabilities are settled in a timely manner at accurate level; Update IMC UK related changes to donors in a timely manner; 3. Payroll Perform monthly payroll reconciliation between ledgers and payroll report; Ensure employee benefits accounts are settled in a timely manner 4. Grants and contract management Ensure that Executive Director is on track in authorising and signing the agreements from the donors; Liaise with the programmes unit to ensure that ECHO and DFID agreement payments are on track; In conjunction with Finance manager prepare cash inflow projection of IMC UK grants; Prepare list of grants where payments from donors are not on track; Familiarise with donor payment terms; Maintain details of IMC UK s donor portal logons; Additional Grants and contracts related duties as and when required by the Director of Finance. Contribute towards donor due diligence; 5. Pensions Upload IMC Pension liability and staff details to Scottish Widow s portal; Ensure that changes in employee details are updated with Scottish Widows in a timely manner; 2 of 5

3 6. Reports Assist in the preparation of monthly Board reports; Prepare detailed corporate expense report 7. Statutory audit Assist in the preparation of balance sheet control account schedules for the statutory audit; Note: The duties and responsibilities listed above are representative of the nature and level of work assigned and are not necessarily all inclusive. PERSON SPECIFICATION REQUIRMENTS ESSENTIAL DESIRABLE Means of Verification A recognized accountancy qualification ACCA, CIMA Certificate Relevant University degree Finance, Accounting Copy of degree Advanced skills in excel Excellent communication Proficient in using data analysis tools in excel for reports etc. The ability to communicate clearly and concisely, and formulate messages in an engaging way Written test Interview & written Test 3 of 5
