6 Mentoring Guidelines Eligibility for ParXcipaXon in Mentor Program Mentors: - WINiT member (women and men) with a minimum 10 years in the Travel, Mee6ngs and Event Management industries - ALendance to Mentor/Mentee training session Mentees: - WINiT member (women) with a minimum 2 years in the Travel, Mee6ngs and Event Management industries - ALendance at Mentor/Mentee training session Time Commitment Six month commitment Monthly mee6ngs for Mentor/Mentees (1-2 hours per month) Monthly open group mee6ng opportuni6es for all par6cipants to share resources, facilitated by Dawn Repoli, Program Facilitator on our web site resources/calendar Mentors and Mentees who are not in the same loca6on are encouraged to proac6vely u6lize technology of audio and video conferencing. 6

7 Defining Mentoring Mentoring is a developmental partnership through which one person (Mentor) shares knowledge, skills, informaxon and perspecxve to foster the personal and professional growth of another (Mentee). Mentoring is the personal and professional development of an individual (Mentee) enabled by a more senior, skilled or experienced person (Mentor). It is based upon encouragement, construc6ve feedback, openness, mutual trust, respect and a willingness to learn. Mentoring is about the desire for further development, being commiled to the process, se[ng goals and accep6ng challenges. Mentoring is about sharing knowledge, understanding and experience. Mentoring is not about being managed, being told what to do, receiving favors or preferen6al treatment. 7

9 Barriers to Success Time and Support Commitments Unrealis6c expecta6ons of Mentor s 6me, availability and support role MeeXngs that are frequently cancelled Mee6ngs should be a priority and are always held even if other pressures surface Overdependence Mentee should not rely too heavily on their Mentor for guidance on each career development decision IneffecXve CommunicaXon Important that both par6es are commiled to the rela6onship and are open to addressing issues 9

11 Roles and ResponsibiliXes Mentoring is designed to complement the exisxng support that a Mentee already has access to (i.e., Manager, HR, company, etc.) Role Mentee Mentor Responsibility Take ini6a6ve to drive the rela6onship with your Mentor and be responsible for your own growth and career development Take the lead in scheduling mee6ngs, establishing agendas and outlining next steps aber each discussion Be recep6ve to feedback and sugges6ons and be willing to try new things Challenge and self- reflect Set goals and commit to an ac6on plan with Mentor Respect confiden6ality Assist Mentee in professional career development by sharing knowledge and experience what has helped you in your career Provide the Mentee with growth experiences, including exposure to new leaders and subject maler experts, strategic ini6a6ves and ideas Provide candid feedback and encourage candid self- reflec6on Ask ques6ons to help Mentee think through situa6ons; do not just give answers Share personal experiences relevant to the needs of the Mentee Respect confiden6ality 11

12 Mentor/Mentee MeeXng Guidelines IniXal MeeXng Regular meexngs Suggested topics for discussion Share background informa6on and career history Clarify objec6ves and goals and confirm your contract Agree how you will measure the success of your rela6onship Establish frequency and method of communica6on Set agenda for the following mee6ng Note: accountability for mee2ngs and agenda se6ng is with the Mentee. Prepare for each mee6ng and think about how you want to focus the conversa6on Set ac6on points for Mentee to complete between mee6ngs Con6nue to share informa6on/experiences Consider using tools such as SWOT analysis to explore blind spots/ hidden poten6al areas Set ac6ons at end of mee6ng and report progress at next mee6ng Addi6onal ac6vi6es you are involved in at your company (e.g. diversity commilees or projects or women leadership councils) Interests outside of work (can oben reveal strengths and aspira6ons) Benefits and challenges of current role Medium and long- term career plans Discussion of feedback (both technical and behavioral) that has been received to date from manager/peers/direct reports Note: Mentor Program Steering Commi>ee will distribute ar2cles and templates via SharePoint to help facilitate discussions. 12

15 Next Steps Schedule an Introductory meexng with your Mentor within the next week: Discussion topics should include: Mentor / Mentee introduc6on Review desired outcomes of the interac6on What are the specific skills, knowledge or perspec6ve that the Mentee wants to gain Mee6ng frequency, format, loca6on All inixal meexngs should take place aeer January 28 Schedule ongoing meexngs with your Mentor: Create and distribute a thougheul agenda in advance of the mee6ng Meet once or twice a month Stay Tuned For CommunicaXon Tips Watch for communica6ons from the WINiT Mentor and Coaching CommiLee regarding: Monthly touch points around program feedback and recommenda6ons Monthly discussion topics and ideas scheduled monthly calls on website calendar Progress/feedback surveys Mark your calendar ALend the WINiT Pilot Mentor Program Cer6fica6on Ceremony on July 25, 2015 in Orlando, FL from 8:00 am to 4:00 pm. 15

17 Program Governance and AddiXonal Resources Mentor and Coaching Commifee: A central WINiT commilee has been formed to provide global coordina6on with the Mentors, Mentees and Higher Logic, the Mentor/ Mentee matching sobware provider.
