1 Title: Assistant Vice President - Academic Affairs Department: Academic Affairs Reports To: Vice President - Academic Affairs Date Prepared/Revised: July 2018 Purpose, Scope & Dimension of Job: The Assistant Vice President for Academic Affairs serves as the deputy to the Vice President for Academic Affairs. He/She is a member of the Academic Affairs Executive Staff and a member of the College Leadership Team. The ASVP leads the AQIP accreditation process under the supervision of the VP for Academic Affairs. He/She works collaboratively with the Institutional Research & Decision Support Services to lead Academic Affairs research, quality initiatives, strategic planning, assessment, curriculum development, e-learning, articulation, site management and special projects (such as Achieve the Dream, second chance Pell, academic outreach projects, stem scholars). In working collaboratively with the above said office, the ASVP avoids duplicative efforts. Supervisory Responsibility: The ASVP for Academic Affairs will supervise the Manager of e-learning, University and Workplace Partnerships, Site Directors, Curriculum Systems Coordinator, Academic Outreach Coordinator, and a shared administrative assistant. Essential Duties/Major Accountabilities: A. Learning 1. Collaborate with faculty and staff to utilize institutional research and quality improvement processes to improve student learning. a. Contribute to the design of formative and summative assessments at the department, program, division and/or college level which address the questions of What are students learning? and How do we know? b. Produce reports as needed to demonstrate progress made toward the achievement of learning. 2. Collaboratively work with the Institutional Research & Decision Support Services to implement academic planning and research activities that positively impact student outcomes. 3. Ensure the integrity of academic programs by upholding professional and accreditation standards a. Collaborate with faculty on curriculum development. b. Collaborate with faculty and Academic Deans on program review. c. Investigate opportunities for and develop articulation agreements with K-12 and 4-year colleges and universities. d. Support participation in AQIP projects. e. Employ and document AQIP continuous quality improvement processes and strategies. Page 1 of 7

2 4. Lead the design, implementation, and evaluation process of an institutional system of program review that supports a learning-centered focus. 5. Work with the Information Technology Services (ITS). a. Collaborate with the Chief Technology Officer (CTO) on the coordination of college technology infrastructure tools in order to promote learning. b. Provide CTO with technology needs of department. 6. Collaborate with the Institutional Research & Decision Support Services to analyze academic data in support of decision making & policy formation. 7. Maintain currency within the areas of CQI, AQIP, National and State Institutional Research requirements, institutional effectiveness, and other related areas. 8. Participate in professional development opportunities that will further personal and professional development. a. Participate in retreats held by VPAA for executive leadership team. b. Develop an individual development plan. c. Provide information to VPAA on potential development opportunities for those within your area of supervision. B. Leadership 1. Formulate a broad range of strategies to encourage a culture of continuous improvement across the entire college. 2. Foster college-wide stakeholder involvement in the areas of accreditation and continuous quality improvement. a. Recruit, organize, and coordinate employees from all areas of the college to participate in AQIP-related processes. b. Disseminate information about AQIP to faculty and staff using a variety of sources. 3. Plan, promote, and coordinate AQIP related activities. a. Collaborate with the CTL to provide resources and training in the area of CQI to members of the college community. b. Partner with the Associate Vice President of Decision Support Services to design and implement research needed for AQIP teams. 4. Coordinate with the Associate Vice President of Institutional Research & Decision Support Services to ensure a systematic and integrated institutional planning process for Academic Affairs that is aligned with accreditation. 5. Provide consultation, support and/or technical assistance on specific research projects for divisions, department programs, committees, or individual faculty. 6. Provide access to timely, focused and accurate information from multiple data sources to be used in academic decision making. 7. Provide leadership and consultation in academic assessment and planning efforts. 8. Organize and evaluate data and Academic Affairs research projects that relate to short and long range college planning. a. Prepare narratives, statistical reports, and recommendations. b. Work with direct reports to facilitate reports on site enrollments, e-learning development and expansion, curriculum development, articulation work both at the K-12 to college level and from the community college to universities. 3 c. Make oral presentations of research findings and conclusions as requested. 9. Develop subordinates by helping them to maximize their contribution to the organization and to grow professionally. a. Take corrective action with subordinates when performance needs improvement. b. Foster effective teamwork. 10. Build and maintain partnerships among faculty, staff, administration, and community members. a. Collaborate with administration, faculty, and staff in campus and college wide planning in accordance with the Strategic Plan. b. Establish connections with other AQIP institutions for the purposes of sharing information and learning best practices. 11. Formulate strategic objectives. a. Facilitate discussions to develop strategic Academic Affairs objectives in keeping with the college strategic plan. b. Encourage innovation in the development of departmental objectives and projects 12. Participate actively in the work of the college. a. Serve as members or chairs of committees, task forces or other groups in order to advance learning. b. Maintain a visible presence within the college and community. c. Provide leadership and individual support to College-wide initiatives. d. Incorporate consideration of College wide perspectives into tasks/assignments. e. Work collaboratively with other managers across the organization. f. Advocate effectively for the needs of the department yet be able to subordinate departmental interests to the broader College interests when appropriate. g. Conduct self as spokesperson for the College and as a member of the College leadership team. 13. Serve as the institutional liaison with the Higher Learning Commission with regard to AQIP and accreditation. 14. Participate in the development of strategies for recruitment, retention, and completion within Academic Affairs. a. Work with site directors to determine strategies to grow enrollment at the sites as well as strategies for retaining students. b. Collaborate with Academic Deans on effective scheduling to meet needs at sites. c. Develop on-going outreach activities for K-12 students to expose them to academic departments and divisions at the college. d. Lead special initiatives designed to reach new student populations. C. Administration 1. Develop and maintain timelines for institutional quality improvement processes and program reviews consistent with the College s strategic plan. 2. Provide all AQIP-related reporting to the Higher Learning Commission including annual Action Project updates, Systems Portfolio, and other reports as needed. 3. Maintain MCC s AQIP Systems Portfolio. 4. Direct the design and ongoing maintenance of databases to support MCC s accreditation and continuous quality improvement. Page 3 of 7

4 5. Provide reports as needed or requested to the VPAA or other members of the Executive Cabinet. 6. Provide annual evaluations of employees reporting to ASVP in accordance with the terms of CBAs. 7. Administer appropriate budgets. a. Collaborate with institutional research to determine funding needs and priorities. b. Develop an appropriate budget to support AQIP projects. c. Present the budget requests to the VPAA by deadlines specified in annual budget process. d. Manage and transfer funds within the budget to support projects. e. Maintain fiscal integrity of the budgets. 8. Ensure that the College is in compliance with the legal, regulatory, contractual, collectively bargained, and procedural requirements (including preparation of recurring reports) related to assigned operations. D. Other 1. Other duties as assigned. Minimum Required Knowledge, Skills, and Abilities: 1. Masters degree. 2. A minimum of 3 years of teaching experience at the college level. 3. A minimum of 3 years of demonstrated academic leadership experience. 4. Leadership in college accreditation processes. 5. Experience writing and managing grants, meeting timelines, and demonstrating knowledge of compliance issues. 6. Experience in analytical systems, assessment, institutional research or decision support planning 7. Budget experience that encompasses the management of resources and the reconciliation of competing needs in excess of available resources. 8. Experience in managing /supervising staff. 9. Demonstrated ability in facilitating groups as well as planning, organizing, and conducting meetings. 10. Knowledge of and experience in interpreting state and federal regulations as well as pending legislation impacting research, accreditation, and overall assessment. 11. High energy level, sense of humor, diplomatic/tactful, and passionate about the dimensions of this position. 12. Excellent organizational and problem solving skills including the ability to anticipate needs and concerns of stakeholders. 13. History of being open-minded, supportive, trustworthy, and fair 14. Demonstrated project planning and management, time management, and priority setting skills. Ability to work successfully in a high stress environment, handling multiple tasks and projects simultaneously. Demonstrated history of on-time delivery of projects; project coordination; and anticipation of issues. 15. 5 16. Excellent interpersonal skills, including listening, with demonstrated ability to work with diverse groups of people. Must have the ability to work as a team member, foster a cooperative work environment and maintain effective relationships. 17. Ability to appropriately use and demonstrate proficiency with standard office productivity software and tools. Additional Preferred Qualifications: 1. Doctorate. 2. Teaching and/or administrative experience in a community college environment. 3. Experience working in a unionized environment. 4. Budget experience encompassing grant development and management experience. Physical Requirements: 1. With or without accommodation, the employee in this position needs to move about and position him/herself to access files and operate office productivity machines. The employee must be able to work at a desk for long periods of time and operate a computer workstation and telephone. It is necessary to communicate both in person, over the telephone, and computer with a large variety of people each day. It is also essential to occasionally transport up to 10 pounds. The employee must, with or without accommodation, have the ability to detect information on a computer screen, for example checking or creating spreadsheets. 2. The minimum reasoning skills necessary for this position include the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. 3. The minimum language skills necessary for this position include the ability to read, interpret and research documents such as technical and business reports and procedure manuals. The person must also have the ability to write complex reports and correspondence and be able to communicate effectively before groups of customers or employees of the organization. 4. The minimum mathematical skills necessary for this position include the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. The person must also have the ability to apply concepts of algebra. 5. Must be able to remain in a stationary position frequently (approximately (20-30%) of the time. Hours/Schedule: Willingness and ability to work the hours necessary to meet the needs of our customers and achieve departmental goals, including work outside of the standard office hours and weekends Additional hours may be required to accommodate presentations, deadlines, meeting schedules, etc. Managers at Mott Community College are accountable for 8 key results as follows: Planning and Execution: Managers are paid to get results through others.
