1 1 The National Convention Planning Team consists of the following positions which will be filled by alumni volunteers, with the exception of the Convention Chair, who will be a student member. Executive Team: National Executive Director National President National Vice President Convention Chair Convention Advisor Convention Leadership Team (CLT): Logistics Education and Training Main Events Marketing, Communications, and Souvenirs Legislation Volunteer Management Entertainment & Fellowship Audio Visual Alumni Day Service Receptions and Exhibits Host City Liaison In addition to the alumni positions listed above, student members are being recruited to serve as student team leaders for each of the 12 Convention Leadership Teams. These student leaders will work with their respective alumni advisors in the execution of the responsibilities assigned to that team, as well as lead and facilitate the work of any students serving on the team. This mix of alumni and student leaders will offer students a unique leadership development experience that will provide them training in event planning and project management, and the opportunity to work alongside alumni from myriad professional trades and experiences. In turn, student team leaders will offer the collegiate attendees perspective and provide insight into how the Fraternity can better maximize the collegiate experience at the Convention. Convention Chair Job Description: The role of the National Convention Chair is to serve as a member of the Executive Team, as well as to support the leadership teams throughout the planning, performance and follow-up phases of the National Convention. Specific responsibilities include: Helping the leadership teams implement the Convention theme and objectives approved by the Alpha Phi Omega Board of Directors

2 2 Leading occasional National Planning Team conference calls and meetings Managing the tasks performed by the leadership teams and helping them stay on task both before and during the Convention Providing assistance to the leadership teams in the execution of all events at the Convention Speaking at the Convention during key events Logistics Team Student Leader Job Description: The role of Logistics Team Student Leader is to serve alongside the alumni advisor to lead the Logistics Leadership Team while helping coordinate convention space and room usage. Specific responsibilities include: Coordinating room usage at the Convention with other leadership teams Helping the alumni advisor communicate and manage the overall convention schedule Working with the alumni advisor to coordinate room set ups required for convention meeting and events During the Convention, work with the alumni advisor to accommodate any last minute changes to the rooms and schedule During the Convention, ensure each meeting room is setup correctly prior to its use During the Convention, provide assistance to the leadership teams in the execution of all events Education and Training Team Student Leader Job Description: The role of the Education and Training Team Student Leader is to serve alongside the alumni advisor to lead the Education and Training Leadership Team while helping coordinate the topics and presenters for the workshops and seminars offered at the convention. Assisting the alumni advisor in the planning, scheduling and execution of workshops and seminars including recruiting and securing commitment of presenters Work with the Audio Visual Leadership Team to ensure the required workshops and seminars have the necessary AV support Main Events Team Student Leader Job Description: The role of the Main Events Team Student Leader is to serve alongside the alumni advisor to lead the Main Events Leadership Team while helping oversee the planning and onsite execution of main events.

3 3 Assisting the alumni advisor with the planning and execution of the Kickoff Event and the final banquet Oversee the setup of the banquet including decorations, menus and giveaways, if being used Marketing, Communications and Souvenirs Team Student Leader Job Description: The role of the Marketing, Communications and Souvenirs Student Leader is to serve alongside the alumni advisor to lead the Marketing, Communications and Souvenirs Leadership Team. Additionally, this team leader is to work with the Director of Communications at the National Office to assist with content for the Fraternity s website and social media in advertising and promoting the National Convention, as well as to provide suggestions to the Executive Director for giveaways during convention. Helping develop a communications calendar to promote the Convention Submitting content to the Director of Communications for approval and editing to promote the Convention, including on the Fraternities website and social media Support the onsite posting to social media during the Convention Make suggestions of specific souvenirs to the Executive Director to be given away during the Convention that support the theme of the Convention. Legislation Team Student Leader Job Description: The role of the Legislation Team Student Leader is to serve alongside the alumni advisor to lead the Legislative Leadership Team while helping to ensure the proper support is provided for an effective and efficient legislative process. Coordinating collection and assignment (numbering) of legislative proposals to the appropriate reference committees Developing and facilitate training for voting delegates and reference committees Manage the processing and movement of legislation between committees and the legislative floor, including dissemination of legislation to the voting delegates Work with the alumni advisor and Sergeant-at-Arms to properly set up the legislative floor Assist in the oversight of floor services during the legislative session Volunteer Management Team Student Leader Job Description: The role of the Volunteer Management Team Student Leader is to serve alongside the alumni advisor to lead the Volunteer Management Leadership Team while helping identify, recruit, and educate volunteers who support the operations of the Convention.

4 4 Soliciting the volunteer roles needed by each of the leadership teams Recruiting members before and during the Convention to fill the needed volunteer roles Assisting with the recruitment and training of a volunteer to oversee Safety & Security Assisting with the recruitment of chapters to volunteer for registration, printing and publications, and the major service event Entertainment and Fellowship Team Student Leader Job Description: The role of the Entertainment and Fellowship Team Student Leader is to serve alongside the alumni advisor to lead the Entertainment and Fellowship Leadership Team while helping plan and implement convention-wide entertainment and fellowship opportunities. Suggest entertainment and fellowship activities Plan and arrange for all approved entertainment and fellowship activities Oversee the entertainment and fellowship onsite activities. Audio Visual Team Student Leader Job Description: The role of the AV Team Student Leader is to serve alongside the alumni advisor to lead the Audio Visual Leadership Team while helping oversee all AV needs from planning through execution of the event. Assist the alumni advisor in developing the Request for Proposals (RFPs) for AV Assist the alumni advisor in reviewing and selecting received proposals Serve as AV support for all main events during the Convention Alumni Day Team Student Leader Job Description: The role of the Alumni Day Team Student Leader is to serve alongside the alumni advisor to lead the Alumni Day Leadership Team while helping plan and oversee the Alumni Day events. Work with the Education & Training Leadership Team to plan workshops and seminars for Alumni Day Plan the program for the Alumni Day reception Work with the Marketing, Communications & Souvenirs Leadership Team to promote and recruit alumni to participate in Alumni Day

5 5 Service Team Student Leader Job Description: The role of the Service Team Student Leader is to serve alongside the alumni advisor to lead the Service Leadership Team while helping plan and oversee the implementation of the service projects at the Convention. Working with the alumni advisor and Executive Director on the scope of the service events Helping plan the large scale service event for all National Convention participants Oversee the implementation of the large scale service event Plan and implement smaller service events during the Convention. Receptions and Exhibits Team Student Leader Job Description: The role of the Reception and Exhibits Team Advisor Leader is to serve alongside the alumni advisor to lead the Receptions and Exhibits Leadership Team while helping coordinate and oversee the implementation of these areas. Serve as the liaison to outside organizations that want to exhibit at the Convention Greet and oversee the setup of the exhibitors outside of the registration area Work with the Marketing, Communications and Souvenirs Team Leader to promote the receptions and various award ceremonies Host City Liaison Team Student Leader Job Description: The role of the Host City Liaison Team Student Leader is to serve alongside the alumni advisor to lead the Host City Liaison Leadership Team while helping with the coordination of local city connections. Work with individual leadership team members to connect them with local assets Help the Service Leadership Team connect with local agencies Help Entertainment & Fellowship Leadership Team connect with local entertainment providers Recruit members to serve on the Hosting & Information Team Coordinate the acquiring of materials for Hosting & Information Work with the local airport to have Welcome APO signs displayed
