2 What is Management? Management is the act of getting people together to accomplish desired goals and objectives using available resources efficiently and effectively. Management today combines creative, business, organizational, analytical and other skills to produce effective goal-oriented results Management is considered an art and a science as well.

3 Management Functions Management comprises planning, organizing, staffing, leading or directing, and controlling an organization or effort for the purpose of accomplishing a goal.

4 Managing is Resourcing Resourcing (making use of resources) encompasses the deployment and manipulation of human, financial, technological, information, and natural resources.

5 What is Effective Manager? A manager who effectively accomplish the desired organization s goal using available resources

6 Management Skills Technical: used for specialized knowledge required for work. Political: used to build a power base and establish connections. Conceptual: used to analyze complex situations. Interpersonal: used to communicate, motivate, mentor and delegate. Diagnostic: the ability to visualize most appropriate response to a situation.

7 Why and How to Be an Effective Manager An effective manager can help improve the quality and productivity of an organization by means of: 1. Delegation 2. Feedback 3. Listening

8 Purpose of Delegation Share the burden of tasks Reinforce the role of leaders through promoting team members involvement Develop skills in team members

9 Rules of Delegation The manager must be confident that the employee understands the task The employee and manager must both be confident that the employees has the skills and resources necessary The manager must provide feedback to the employee

10 Delegation of Goals Management By Objective (MBO) Managers following this method delegate goals rather than tasks (Drucker, 1950) Employes are set a target to meet, but are free to choose the tactics and strategies that they will use to accomplish it

11 Advantages of MBO Managers avoid becoming so engrossed in day-today events that they lose sight of the organization s objectives All employees participate in the strategic planning process The organization s performance can be readily measured against defined objectives

12 Feedback The process whereby elements of the output of the system are returned to its input so as to regulate further output The feedback that a manager provides to an employee influences the performance of that employee

13 Good Feedback Provided only on specific, observable (measurable) behaviors Provided nonconfrontationally (if it is an erratic behavior)

14 How To Give Good Feedback: 1. Give feedback the time it deserves. 2. Be Honest. 11 Simple Rules 3. Use the compliment sandwich (offer a compliment followed by a constructive point, and closed with a further positive feedback point). 4. Be specific in giving feedback 5. Feedback doesn t always require a constructive element. 6. Sculpt feedback to suit the receiver. 7. Be as direct as possible in talking about how the feedback should be received. 8. Focus on the behaviour, not the impression (or intention) you had of it. 9. Only provide constructive feedback on something the employee can change. 10. Avoid sounding patronising by stopping short of giving advice. 11. Ensure feedback is timely (Good feedback is provided within hours or days of the behaviour being performed, and is discussed in person if possible)

15 Listening The success of an organization is reflected by the speed with which bad news travels upwards through the management hierarchy (Iles, 2005) Use the technique of management by wandering around (MBWA): managers set aside time each week to walk through their departments and engange in impromptu discussion

16 What to Do in MBWA In MBWA, do: 1. Listen to what employees are saying 2. Explain organizational policy vis a vis with employees 3. Offer on-the-spot assistance to employees
