1 Corporate Affairs Assistant Manager JOB DESCRIPTION Job Title: Corporate Affairs Assistant Manager Location: Ipswich Salary: within the range 26,052-28,453 per annum pro rata Grade: 6 Contract status: Two year fixed term (in the first instance) Hours of work: 0.6fte Pension: Optional Contributory pension scheme Annual Leave entitlement: 25 days plus Bank Holidays Staff Development: Corporate, Departmental and Personal Development Programme opportunities Responsible to: Head of Corporate Affairs The Corporate Affairs Office Corporate Affairs has been established by the Vice-Chancellor to: Maximise the benefit to the institution of key relationships and stakeholders Support the University Board, Executive and Foundation Board Support the philanthropic agenda Grow and develop the Alumni Association Corporate Affairs reports directly to the Vice-Chancellor, although it is rooted in the work of the Directorate of External Relations Purpose of the Job: The Corporate Affairs Assistant Manager will manage the day-to-day work of the Corporate Affairs Office, developing the three key areas of responsibility: Fundraising, Corporate Relations and Alumni Relations. Working alongside the Vice-Chancellor, Chair of the Foundation Board and the Head of Corporate Affairs, this post will support the institution s philanthropic agenda, helping to establish a long term and sustainable income via philanthropic sources. The role holder will facilitate the work of the Foundation Board, helping to generate new income from high networth individuals, trusts and foundations, corporations, and legacy donors. The role holder will help to identify key individuals to build relationships with, supporting the University Executive Committee in maintaining and developing work with their contacts and maximising the benefit for the institution. The role holder will deputise for the Head of Corporate Affairs by attending meetings on their behalf, responding to communication and continuing conversations as required. The role holder will help deliver the Alumni and Development strands of the External Relations strategy, helping to develop and grow the Alumni Association, maintaining regular communication with members, listening to feedback and identifying opportunities for alumni to stay connected and positively impact the University.

2 Duties of the Post: The main duties and responsibilities of the role holder will include: Development (Fundraising) Foundation Board and Major Donors Support the work of the Foundation Board, helping to maximise net income from philanthropic sources. Service the needs of the Chair of the Foundation Board, including arranging meetings with internal staff, arranging visits from potential prospects, ensuring thank you letters are produced and sent. Service the Foundation Board for its three official meetings each academic year, and help to maintain relationships with members between meetings. Work with the Head of Corporate Affairs, Vice-Chancellor and Chair of the Foundation Board to manage relationships with a select number of high value individuals. Identify members of staff with whom potential donors will share common interests, resulting in more fulfilling interactions with the institution and increasing the potential for successful fundraising. Work with Marketing and Communication colleagues to create and maintain fundraising and Foundation Board content on the website. Work with the Head of Corporate Affairs to liaise with the finance department regarding the setting up and processing of major gift donations. Trusts and Foundations Research possible Trusts and Foundations that the University could make applications for funding to. Liaise with the Foundation Board, Vice-Chancellor and Executive Committee on potential applications. Liaise with the wider University community on potential opportunities with trusts and foundations. Research, write and submit applications to trusts and foundations. Work with the Head of Corporate Affairs to develop, write, present, and deliver funding proposals whether written and/or verbal. Develop and steward relationships with trusts and foundations, talking to them regularly and meeting them in person if and when appropriate. Ensure all applications for funding are followed up and feedback is received and shared. Prospects and Stewardship Support the Head of Corporate Affairs with identifying high net worth individuals. Help to research and build profiles on prospects, sharing these with the Foundation Board and University Executive Committee. Helping to identify a compelling link between an individual s existing links with the University, their charitable interests and the opportunities available for support. Support the Head of Corporate Affairs to develop appropriate solicitation plans, make approaches to prospects and build relationships with them, all in liaison with the Foundation Board and Executive Committee. Provide full briefings to senior colleagues or volunteers as preparation for meetings. Help to devise and deliver stewardship plans for all donors ensuring they remain positively engaged with the University. Arrange visits and think creatively about other opportunities for prospects and donors to experience first-hand, learn more and become excited about the University s

3 priorities, the talent and activity available, and the impact these have within the organisation and on society. Corporate Relations Work closely with the Head of Corporate Affairs and Executive Manager to support the University of Suffolk Board, Vice-Chancellor, Executive Committee and Foundation Board to maximise potential, new and existing relationships, helping to embed high standards of stewardship across the organisation. Supporting the Head of Corporate Affairs the post holder will develop strong relationships with key stakeholders and recognise, create and seize opportunities that will deliver significant business growth. Develop an awareness of and make suggestions on opportunities that will make the most of all relationships and engagements the institution makes on a daily basis. Liaise with the Research and Enterprise team to ensure all relationships are being managed appropriately and effectively. Work closely with the Events Manager to ensure VIP lists are maintained and that any VIP engagement is maximised for the most gain. Help to develop an adequate method of recording engagements with key stakeholders. Alumni Relations Help develop and deliver proactive communication with members of the Alumni Association, linking alumni relations with work planned or taking place across the institution. Respond to communication via the Alumni Association social media platforms and to alumni@. Consider opportunities to grow and develop the Alumni Association, maximising the benefits for the University, individual members and the collective. Provide content for Alumni Association marketing communication materials and maintain the content on the Alumni Association webpages. Help to ensure contact information is maintained and updated as appropriate. Represent the Alumni Association at events as required. The role holder will work across the University to help raise awareness of the Alumni Association. The role holder will work across the organisation to ensure the Alumni and Development database is maintained and appropriately managed. Ensuring data is updated in a timely manner. The role holder will also support the development of Corporate Relations data within the database. These duties are a guide to the work that the post holder will initially be required to undertake. They may be changed from time to time to meet changing circumstances and do not form part of the contract of employment.

4 Selection Criteria Candidates will be assessed against the following essential/desirable attributes: Essential Desirable Education and Qualifications Knowledge and Experience A degree or equivalent level qualification Experience of building and maintaining relationships Experience of effectively liaising with key external stakeholders Experience of planning, organising and managing own workload with limited supervision Experience of researching, analysing and compiling data Working knowledge of office applications Experience of Alumni Relations Experience of Fundraising Skills Excellent written and presentation skills and an ability to communicate effectively Excellent organisational skills Excellent interpersonal, networking and collaborative skills Ability to work independently and as part of a team Ability to work on own initiative and to deadlines The ability to respond flexibly and positively to changing requirements Ability to interpret and communicate policy both written and verbal.
