1 Role Description Title: Facilities Maintenance Planner Location: Toowomba Catholic Schools Office Reports to: Chief Financial Officer Classification: To be determined Directorate: Incumbent: Office of the Executive Director Vacant Tenure: Contract (initially 3 years) 1.0 Purpose The role is an administrative position within the Finance and Facilities team and contributes to the overall mission of the Diocese of Toowoomba Catholic Schools (TCS) through the completion of Asset Maintenance Condition Audits of schools and colleges and the development and oversight of costed scheduled maintenance programs for TCS. The support provided by the role holder will be guided by: Jesus Christ and his teachings as understood and passed on by the Catholic Church; Other Catholic Church teachings, principles and values; Relevant legislation, Government requirements and best practice; and Diocesan Strategic Plan, Mission, Vision, Policies, Directives, Procedures and Guidelines; The Finance and Facilities Strategy. 2.0 Experience and qualifications Essential: Completion of an Apprenticeship in a building trade in either Carpentry, Plumbing, Electrical/Mechanical (Air-conditioning) or Painting. Relevant tertiary qualification in Engineering, Asset and or Project /Construction management or a related field or a minimum of 5 years experience in a similar role; Effective relationship building and influencing skills; Demonstrated experience working with the Microsoft suite of products; Advanced interpersonal and communication skills; Empathy with the values and ethos of the Catholic faith;

2 Desirable: Use of any Asset Maintenance Management or Facility Management Software Systems such as SAP, Pinnacle etc 3.0 Key result areas 3.1 Contributes to and promotes the development, alignment, attainment and review of the strategic goals for the Diocese of Toowoomba Catholic Schools (TCS); 3.2 Responsible for the completion of 3 yearly Asset Maintenance Condition Audits of all schools and college facilities; 3.3 Responsible for the development of costed, scheduled planned maintenance programs in conjunction with School and College Principals and/or Leadership Team members; 3.4 Assists the Procurement Officer in the procurement of goods and services used in completing the delivery of planned maintenance programs, particularly in the development and administration of Service Maintenance contracts. 3.5 Collaborates and communicates with other members of the Finance and Facilities team and the members of the other directorates within TCS to ensure that high professional standards are met; 3.6 Complete other duties that are directed as needs change or grow, if the duties are consistent with the purpose of this position and any relevant legal and/or industrial obligations. 4.0 Statement of responsibility The incumbent performs the role cognisant of and in harmony with the vision and mission of TCS. The incumbent will work cooperatively with other key stakeholders both within TCS and external agencies to ensure that services are delivered in a planned, coordinated and strategic manner. The role holder will engage in performance reviews in accordance with TCS Procedure. 5.0 Authority limits Full authority is delegated from the Chief Financial Officer (CFO) to produce the desired outcomes. Authority to commit funds is restricted to approved budget items and can only be authorised by the CFO. 6.0 Reporting and other relationships The Facilities Maintenance Planner reports directly to Facilities Development Manager within the Finance and Facilities team. Other significant relationships exist with members of the Toowoomba Catholic Schools Office, the Executive Director and the members of the Executive Leadership Team (ELT).

4 Duties Statement Facilities Maintenance Planner 3.1 Contributes to and promotes the development, alignment, attainment and review of the strategic goals for the Diocese of Toowoomba Catholic Schools (TCS); Contributing as a member of the Finance and Facilities team to achieve the strategies set out in the Finance and Facilities Strategy and the TCS Strategic Plan; Attending Leadership Development as appropriate; Documents and reports on the progress of initiatives in the Finance and Facilities Strategy and the TCS Strategic Plan as required. 3.2 Responsible for the completion of 3 yearly Asset Maintenance Condition Audits of all buildings, facilities at Toowoomba Catholic Schools Office and all schools and colleges to: Establish a register of all Building Assets, Elements, Fixed Plant and Equipment for all schools and colleges Establish a condition rating of all Building Assets, Elements, Fixed Plant and Equipment between 1 (Very Poor) to 5 (New or Excellent) for all schools and colleges Establish for each school and college a Planned Maintenance Program by the use of an computerised Asset Maintenance Management Software system Provide to the School Accounting Team a Planned Maintenance Budget for any specific year which details any cost varience between forecast and required budget as per maintenance policy. 3.3 Assist the Procurement Officer with the formulation and administration of Planned Maintenance contracts by: Providing Asset Schedules, Technical Specifications and/or drawings or sketchplans for inclusion in Tender Documentation Assist in evaluation of Tender submissions with Procurement Officer and Health, Safety and Environmental Advisors Manage contractor performance and provide in detail to the Procurement Officer and/or Health, Safety and Environmental Advisors instances of poor performance or unsafe work processes Ensure school and college stakeholder satisfaction in the work completed as part of these by conducting regular meetings with Principals and College Business Managers and Maintenance Coordinators as required 3.4 Assist the Facilities Development Manager with providing to all schools and colleges, timely advice and technical assistance in respect to all Facility Management or Planned Maintenance issues and Sustainability measures (with a focus on Electrical Energy Management) as required.

5 3.5 The incumbent may be required to manage selected projects as delegated from the Facilities Development Manager. 3.6 Assist the Health, Safety and Environmental Advisors, with the ongoing review and updating of Asbestos containing materials reports and registers, including where necessary arranging for the collection of additional samples for testing by a NATA accrediated Laboratory. 3.7 Collaborates and communicates with other members of the Finance and Facilities team and the members of the other directorates within TCS to ensure that high professional standards are met Maintaining highly functional and collaborative working relationships with colleagues by interacting effectively, contributing to discussions and seeking advice; Understanding and accepting the contributions of others in a multi-disciplinary and collaborative environment to provide a highly competent and seamless service to TCS; Establishing and maintaining effective communication networks with stakeholders; Working collaboratively with stakeholders; 3.8 Complete other duties that are directed as needs change or grow, if the duties are consistent with the purpose of this position and any relevant legal and/or industrial obligations Duties may include the completion of project work that presents itself during the course of the operational and strategic review of the actions associated with the Finance and Facilities Strategy or other directorate strategies.
