Pay Bill Register Pay Bill Register; Do you want to check out information of paid amount which you have already done to employee? This window helps you to see paid amount of your employee in month wise on the basis of financial year. It means here you can find out details of employee salary which you have paid.though by default you will have current month and current fiscal year yet you can check the details of preferred month and year also. One facility is also here to see the pay bill according to division wise. When you click on the tag View>Paybill, a window will come to you comprising information of salary of all employees what has been paid to employee. You can also search such details of any particular month or division. If you require its Printing copy, click on Print option. 2 What Is Append Mode? This mode of attendance feeding facility provides you to make any kind of special change regarding attendance for any particular employee. As you click on this you need to follow similar process as you do for Tabular Mode. Basically it helps you to mark special; attendance in case if you miss or forget to mark accurate attendance. Yet, for your better convenience there are certain requirements that you will have to follow. As you click on this tag File>Append Mode a above shown window will come to you in which you need to come up with given process; Select Division. Name of employee. Mark Attendance by pressing Enter Key. Select Date, Time In & Time Out Write any remark if you have. Press Save button. What is Tabular Form of Attendance What Is Tabular Mode? Basically it is in a form of table where you mark attendance of all employee by division wise. Simple process to mark attendance is being given below; Select Division Name, Month & Year otherwise by default current month & year will be there. Click on before the date as you do so you need to select Present, Absent, Half Day, Leave, LWP & Sunday. After making selection press ENTER key. What button you select it will be applied for every employee. And finally press on Save Button. To Make Change in Attendance Feeding: Suppose you commit towards wrong mistake in feeding attendance in such case you can make an easy change on any marked attendance of your employee. For changing just click on your preferred attendance box and mark correct attendance and finally press enter key. Bulk Mode for Attendance Feeding Bulk Mode for attendance feeding form is an easy medium to mark attendance for all employee on division basis without pressing ENTER key regularly. To get benefit of this option just click on File>Bulk Attendance. After clicking on the tag a simple window will open to you as given below in which you need to fill certain information also: Select divisions of your employee as per your need. Select status of employee's attendance. (means select Present, Half Day, Leave Without Pay, etc.) Just click on save button. This is basically prepared for marking attendance in a general way by selecting only division of all employees. It means you don't require to mark attendance again and again by selecting division. Once you mark the division under bulk attendance in Attendance Sheet automatically attendance of the whole month will be upgraded or marked as a present. If you want to make any changes in attendance you need to click on Tabular Mode of attendance sheet. In brief, Bulk attendance provides you facility for marking attendance as PRESENT of all employee whose division you select under this tag. How to change marked attendance? Sometimes you may need to modify marked attendance sheet due to certain reason. If you want to change or modify existing attendance sheet of employee you need to take help from Tabular mode of attendance. You can come up to this window by clicking this tag; File>Tabular Mode. A simple window exists there in which you need to select division and name of employee including that date and click on there. After clicking choose status of attendance(present/ Absent/Half Day etc.). After following preceded process you can successfully change or modify existing attendance of employee. Payroll for Windows - An Overview Salary Making Process This option enables you information in relation to Salary Details of your all employees including displaying all divisions. It also generates information attendance of employee and also facility for checking out back salary details. From this window you make salary of your employee. In this we have included a lot of important options which indeed help you lot in Page 2 of 8

3 preparing salary. Let s know all these one by one; To reach this window first requirement is to click on this path; File>Salary Details. A window will open that brings out following significant characteristics which are five in number; Month & Year. Name, Divison & Address. Attendance Sheet. Salary Information Employee EMPLOYEE; In this option you get names of all your employees under the tag of division. As you click on each division seperately you will find the names also. Here is one facility also added to you that a tick mark will appear infront of the name of employee if salary has been made of that employee. To make salary of employee you click on the name of that employee whom you want to prepare salary. MONTH & YEAR; By default in both boxes you will get there current month & Year of which you would like to make salary slip. If you need to find out details of salary slip of past month & Year just insert there desired month & year. NAME, DIVISION & ADDRESS: Simple personal information of the employee about name, division & address have been included here. ATTENDANCE SHEET; In this option you can see attendance sheet of your employee along with Presence, Absence, Half Day, Leave, Leave Without Pay, Tour, Sunday & Total attendance. This window generates you information of attendance. It is not editable means you can't change recorded attendance of employee. This facility has been given to you to notice whether your employee finished attendance or not. In case if attendance is not finished and you proceed to make salary a message will come to you regarding finishing attendance. But if you think the process is complicated and want to update or finish recorded attendance from here you can do it easily. For this you need to choose an option from this tag; Option>Attendance. When you click on this tag an option opens here named General in which a box of Required attendance will appear to you. If you want to edit attendance from salary detail window, put a tick mark on this otherwise left it blank in case of not editing. In this attendance sheet also amount has been shown. Suppose if you pay amount on Sunday you can check payable amount of this in the form of total sum. SALARY INFORMATION; This displays all kinds salary related information regarding basic pay, PF, LIC, and other information of employee in particular. In all above options you can change information also if you want to modify the details. Dear User, if you want to make salary sheet in easier way follow the given process; Click on FILE>SALARY DETAIL. Select Division and Name of Employee. Match Name of Month and Year. See Attendance (if it is incomplete at first complete it. Completion process is given to you on preceded paragraph) If any modification you want to make on Salary Head, click on option and put details. In case you have no need to fill because automatically employee's salary description will be prepared. Save the Information. Various format of attendance feeding form This provides you facility for marking attendance of your employees. How to Mark Attendance? To mark attendance you need to access its interface by going through this tag; File> Attendance. In this head there are two kinds of mode for marking attendance. Both are known as; Tabular Mode. Append Mode. Bulk Mode. Facility of Master Menu MASTER: Under this tag you have facility to add certain important information from your side. Here you can add following things; Division of Employee. 4 Printing of Reports Print; This option helps you in printing out useful information and reports. You can get printing of following information; Employee Information Sheet: Employee information Sheet is basically a blank sheet containing all related employee's information in prescribed format will be printed. In it employee fills up own information which helps you in feeding such information easily. Employee Register: Under this head you can take print out of certain general information like name, address, Mobile/phone no. and joining date of employee in a division wise. PAN No.List: You can take print out of such employee those have submitted you PAN no. in division wise format by giving you Name, Address, Mob/Phone no. and PAN NO of employee. P.F A/c List: Similarly printing of PAN No. you can also print P.F. no of employee by using this option. Monthly Pay Bill: You have facility to print out of monthly pay bill whatsoever amount you have paid to your employee. Yearly Pay Bill: Like monthly Pay Bill you can also know paid amount in yearly basis of all employee. Bank Letter: You may require to write Bank Letter in relation to pay salary of employee and you want to take print out this option can be used. Salary Certificate: Salary certificate facility is also added here and to get print out of this you can click on its printing option. Print Pay Slip: To print pay slip of employee you need to click this head in which you select name of employee, month and financial year. How many names of employee you have selected, their pay slip bill will be individually generated. Yearly Earning Report; Like Pay slip you can also find out earning report of each employee by selecting employee names of preferred financial year. Those employee names need to be selected by you which will be printed out individually. Yearly Leave Register: To those employee you have allotted yearly leave you can take print out of register of such leaves till the current month or date. It also shows yearly leave balance of employees. While you go for printing out any one of the above shown things you need to fill some required fields which will be asked by its related message window. How to write Bank Letter? Bank letter; This facility is to be given for using bank instruction because sometimes you need to pay salary of your employee in a group in such cases it helps you lot. We have made this very convenient and easy. A letter format has been given to you only certain information related to you employee s salary is essential. How to write Bank Letter? To write bank letter you need to click on the tag Tools>Paint Document>Bank Letter. A prescribed format of bank letter will open in which you can modify and write certain important information but one thing should be kept in mind that you have no authority to make any changes on those lines or word which have been in bracket because it is very significant. You can take print out of your bank letter by filling up some information which has been also given to you below of this window Know About Salary Certificate Salary Certificate; Like bank letter you have also facility for salary certificate which actually help you in providing such kinds of certificate to your employee. In it you will also find out prescribed format of salary certificate and wherever you need to edit you can do so. To access this window you are asked to come with this tag; Tools>Paint Doucument>Bank Letter. To set up Company Profile. Page 4 of 8

5 For printing or for other purposes you have facility for adding company profile including snap or logo of organization or company. To take benefit of this facility you are advised to folllow this track; Tools>Company Profile. As you open this window a window will come to you as; How to use Compact Repair Database. Compact Repair Database; In order to protect your database you can use this facility by using this tag; Tools>Compact Repair Database. After clicking on this tag simply a message window will come to you in which you need to press OK button. When to Use Month Close? Month Close; Once you make complete salary of employee and further you don t want to make any changes in salary sheet you can choose this facility. To find this option just click on; Tools>Month Close. A window will come to you in which by default month & year will be given you only need to put you signature and finally push on month close now option. To add/change User Account User Account; This option brings facility of safe using of this software which includes basically three option Add User Change Password, and Authority Add User; By taking help from this you can add new user for operating it successfully by one or more than one. For adding name of user click this tag; Tools>User Account>Add User. A small window then appears in which put name and user password only. Change Password; Because of any reason you may need to change password and this process will be implemented via Tools>User Account>>Change Password. What is User Authority? User Authority is essentially one of most important option which guarantee for secure using of this software.this particularly refers to administrator who defines certain criterion for users. If administrator wants to give specific authority or prerogative to user for operating it successfully, you need to follow this tag; Tools>User Account>> Authority A window will come to you in which you need to follow few process for giving authority to user; As you examines in the window of left side you need to select user name, just in the right side an optional window will come to you. While you select option, a small box will be there for your desired approval in that you need to tick or click it for giving authority to your user later user can use these privileges. When you fill all the boxes properly, you should click on Ok or Apply button for operating successfully. A window will just come to you on that time Facility of Master Menu Create Division of your Employee In any organization employee works at various designations and you need to define all the designations in Division. So you can define your division as per requirement. To create any division you come up by this tag; File>Master>Division. A window will come to you as; For adding division name just put name of divison and for making any changes or deleting any existing division you need to click on preferred row How To Add New Employee This tag has been prepared for adding new employee of your organization. There is very simple process to add new employee which are being given follow; Page 5 of 8

6 Click on File>Master>Employee 1. Put personal detail of employee.( Name & Date of birth is mandatory) 2. Write account detail of employee if payment will be done through bank transfer or Bank instruction. 3. Write official information like division name, designation, Joining date, Basic pay, paying mode. If you want to provide fixed salary to your employee, click on its box. You can also fill exit date of employee and also name of reffered person. 4. In addition to basic pay if any more amounts you want to add in employee s salary, write amount or amount in percentage in its addition box. Similarly if you avail some facility for empolyee and want to take charge of this from empolyee s salary, select deduction and write amount either in percentage or in rupees / currency. 5. Apart from this you can also browse photo of your employee by clicking on Browse option. In addition you can define leave for your employee either for month or for year. Dear user, you can add all employee names and detail by following preceded process. Some technical terms are being described here to understand process easier. Division Name; In your organization a number of employee work under various designation which can be categorized in division. That is why this option is given to you. Designation; Obviously in your office your employee ascertain certain designation and under this you register name of employee in various designation. Fixed Salary; Suppose you want to provide fixed salary which means if your employee does not fulfill attendance criterion, in such circumstances no deduction will be made on his/her salary. Exit Date; In that case your employee works with you for fourteen days and after that leaves office you can insert exit date there which will help you to make salary of that employee properly. This window also gives you facility to find out the detail previous financial year also and for it only insert preferred year in its box. Yearly Leave balance This option assists you to find out alloted leaves, Used Leaves & Balance of leave of each employee of a financial year. 8 How to create Salary Head for your Employee? This helps you to make salary head for your employee that means you can add TA/ DA, H.R.A, P.F. LIC etc. on salary by defining its type. To access this facility you need to come by this tag; Files>Master> Salary Head. A window will appear to you in which you are expected to fill up following information; Name of salary head. Short Description of salary head maens write PA for performance appraisal. Type of salary head means whether salary will be added on employee's salary or deducted from salary. Select option on which you would like to calculate on e.g basic pay, Net pay, Grand Pay etc. Write amount in percentage or rupees/currency. Finally click on save option. How to change or delete existing salary Head? If you want to make any changing or deleting existing salary head, click on the desired row given there and apply button of New or Delete as per need. Dear User, one thing should be kept in mind that you can't define basic salary in the option of salary head. This option has been prepared for giving to add salary head in employee's salary. Basic pay will always define from Employee option only. Use of Calculator In your organization you may need to Use Calculator for calculating purposes. So we have added here facility for calculator. You can access here by clicking Tools>Calculator. As you click this tag a calculator appear to you which can be used for calculating purposes.
