1 JOB DESCRIPTION FRIENDS OF QUARRY HILL NATURE CENTER; a not-for-profit 501(c)3 JOB TITLE: Visitor center receptionist and office clerical REPORTS TO: Executive Director SCHEDULE: Full-time; occasional weekends, evenings and special events (specifically, but not limited to, Fall Festival, Creatures of the Night and bi-yearly exhibits) Daily work hours are: 8:45am - 5:15pm (Sept. May); 8:15am - 4:45pm (June-August) WORK ENVIRONMENT: Quarry Hill Nature Center is a very busy and fast-paced work environment. The front office can be subject to loud noises and frequent interruptions throughout the day. This position is responsible for contact with a wide variety of audiences, and responding to a diverse range of questions including basic park information and programming, rental requests and nature inquiries. JOB OBJECTIVES: Visitor center reception and office clerical is a key facet of the Nature Center s day to day operations. Quarry Hill Nature Center is a fast-paced environment enjoying over 100,000 visitors each year. The main responsibility of this customer service position is to positively represent the Nature Center by greeting and assisting visitors, answering phones, registering participants for classes, booking rentals, invoicing clients, answering questions, responding to general s and directing callers to the appropriate person and managing the overall office organization. JOB RESPONSIBILITIES AND DUTIES: Every effort has been made to identify the essential functions of this position. Primary Duties Communicate with the public using a positive, problem-solving attitude. Answer phones, greet visitors, answer questions and respond to s Coordinate and oversee registration for all public classes and programs Manage Summer Nature Camp registrations and database Schedule all classes for ISD 535 with district secretaries and coordinate bus schedules when necessary Work with school district purchasing department to order supplies Schedule day and evening building and pavilion usage for school classes, organizations, and individuals and resolve conflicts as needed Invoice individuals/organizations for programs or building rentals Maintain daily activity calendar B. Additional Duties Balance front desk cash drawer at the end of each business day and handle daily cash transactions Open and distribute daily mail Coordinate staff meeting agendas and record minutes

2 Additional duties continued Assist in implementing all events such as Fall Festival, Creatures of the Night, Earth Day, bi-yearly exhibits and other events Maintain staff keys and order supplies Oversee gift shop items, inventory and purchasing Assist staff as necessary Perform additional duties as assigned POSITION REQUIREMENTS 3-5 years experience working in a fast-paced office, retail or related field environment Familiarity and experience with QuickBooks and Microsoft Office software including Word, Excel, Access, and Outlook. A positive, problem-solving attitude at all times Ability to perform a variety of activities simultaneously, with interruptions Maintain focus and productivity even during busy and sometimes noisy conditions Possess and utilize strong organizational and written and verbal communication skills Ability and desire to interact with youth, families and adults including large groups of children Occasional evening and weekend work as necessary. DESIRED QUALITIES Familiarity with Quarry Hill Park and Nature Center Basic knowledge of the natural sciences, plant and animals, and/or a desire and willingness to learn more SALARY & BENEFITS: This position is offered by the Friends of Quarry Hill Nature Center, a not-for-profit 501(c)3 organization. Salary commensurate with experience. Starting hourly range of $11 - $14/hr 2% of salary contributed to SIMPLE IRA plan 4 paid holidays Sick leave Paid staff development This job description is not intended to be all-inclusive. The visitor center receptionist/ office clerical position will also perform other reasonable related business duties as assigned by the Executive Director. The Executive Director reserves the right to change job responsibilities, duties and hours as needs prevail.
