1 Job Description Job Title: Team: Group: Responsible to: Churches Liaison Officer Supporter Services Church & Supporter Relations Head of Supporter Services Purpose of the Team: The purpose of the Church and UK regions team is to enable Tearfund to achieve its ten year vision by developing churches understanding and engagement with integral mission in the UK & Ireland (Key 1) and by raising resources income, campaigning and prayer (Key 6). The team delivers this objective through developing relationships with the churches and individuals in the UK who are part of the global network of 100,000 churches working towards this vision. Generic Purpose of the Role: To take responsibility for a designated area of the team s overall task or specific projects. Share in responsibility for the overall team task and be responsible for carrying out work packages Liaise with internal and external contacts Responsible for reviewing own personal development, and overall team tasks Provide excellent service to Tearfund supporters and volunteers Main purpose of the Job To maintain relationships with existing supportive churches, primarily through church based volunteers in order to encourage them to raise support for Tearfund within their churches and communities To develop contact with other individuals within churches where a relationship with Tearfund would be beneficial To pass on information and leads about churches and volunteers to the Church and UK Regions Team, in order to aid them in achieving their targets To ensure that information about churches and volunteers is up to date on Affinis To represent the views and interests of volunteers and church leaders within the organisation Participation in the spiritual life of Tearfund To attend meetings to hear of Tearfund s work and to spend time in prayer and worship together To lead or participate in spiritual sessions of prayer and biblical reflection within the Team / Group To be committed to Tearfund s Missions, Values and Beliefs statement To be committed to actively working and living in accordance with Tearfund s evangelical Christian beliefs Responsible for maintaining your own spiritual development Position in Organisation: Reports to Head of Supporter Services Works to a Church Communications Strategy agreed with the UK Churches Director Liaises with members of the Supporter Enquiries team, to share information Liaises with members of the Church and UK regions team, both to understand the key products and services which should be promoted to volunteers and also to pass on information and leads which would aid the team to better perform their roles Liaises with Campaigns team with regards to communication to Campaigns Promoters Liaises with staff across the organisation, and externally, in obtaining and sharing information, including International Group administrators and Country Reps and external suppliers (e.g. resource fulfilment house) Scope of Job: Ensure Tearfund-related activity targets are met within current supportive churches by maintaining relationships with current volunteers and church representatives through all non-

2 face to face communication telephone, , mailings as defined by current church communication plans Recruit and develop new church relationships through leads coming from inbound enquiries and also proactive outbound calling Create regionalised news letters in order to encourage retention and promote activity within existing supportive churches Create and update briefing documents, including the Tearfund website and develop strategies to encourage the use of these resources Responsible for keeping up to date with the work of Tearfund and issues relating to the developing world Maintain integrity of information held on the supporter database Dimensions and Limits of Authority: Responsible for accurate communication of information on Tearfund s work, including matters of policy, and resource materials available, both internally and externally Main point of contact for all verbal and written enquiries from a defined caseload of volunteers Collaborate with staff across the organisation to obtain information Jointly responsible for maintaining the accuracy of the database Duties and Key Responsibilities: Ensure Tearfund-related activity targets are met within current supportive churches by maintaining relationships with current volunteers and church representatives through all non-face to face communication telephone, , mailings as defined by current church communication plans. To be a named contact for a caseload of volunteers and to answer any queries raised on the telephone, by or in written correspondence, professionally and within set service levels. To proactively contact these volunteers regularly by telephone or , as appropriate, to encourage them in their relationship with Tearfund. To promote Tearfund related activities to these volunteers and develop strategies to increase the take up of these. Through these relationships, to ensure the retention of volunteers and church representatives. Promoting the speaker programme in order to encourage church retention and development Develop and recruit new church relationships through leads coming from inbound enquiries and also proactive outbound calling. Identifying opportunities to encourage an individual to become more involved in the promotion of Tearfund within their church Supporting them with information, resources and advice In consultation with Head of Supporter Services, proactively calling existing supporters to gather information about their church and/or to promote volunteer activity Create regionalised news letters in order to encourage retention and promote activity with existing supportive churches. With High Impact Individual Team, compile stories and information to be used in regionalised mailings Liaise with writers/creative team to produce regular mailings to volunteers Ensure distribution of newsletters by post and/or Create and update briefing documents, including the Tearfund website and develop strategies to encourage the use of these resources. Liaising closely with teams throughout the organisation to gather up-to-date information on disaster situations, new products or changes in Tearfund s work or policies Creating and regularly maintaining briefing documents, outlining commonly asked questions about any aspect of Tearfund s work or policies Maintaining the campaigns spreadsheet in efficient and effective format Maintaining Supporter Services F & T drive content in a logical manner Create and update information on Tearfund s Enquiry Zone where a need for further information or resources is perceived to be useful With the new media team, encourage the use of the website as tool for volunteers

3 Responsible for keeping up to date with the work of Tearfund and issues relating to the developing world Acquiring and absorbing information on all aspects of Tearfund s work and current world situations in order to answer related enquiries Ensuring awareness of all Tearfund resource materials available and all mailings sent out Ensuring detailed familiarity with all major Tearfund products, particularly Tear Times and Church Resources Ensuring clarity about what products or services are to be promoted and to which church audiences Liaising with staff across the organisation, in order to ensure that we have access to any information necessary to respond to enquiries Keeping up to date with what is on our website Ensuring all new processes or changes to current processes, within the team are documented Maintaining integrity of information held on the supporter database. Ensuring all volunteer requests are dealt with on Affinis Logging all enquiries on Affinis Updating information about volunteer preferences. Updating any information about churches, gathered through general communication with volunteers Processing volunteer applications and logging all information on Affinis Signature: Date:

4 Person Specification Job Title: Churches Liaison Officer Team: Supporter Services ATTRIBUTE/SKILL ESSENTIAL DESIRABLE EDUCATION/ QUALIFICATIONS A Levels (or Equivalent) English A Level Degree PROVEN ABILITIES Proven ability of working in a customer facing environment Experience of sales, campaigning, fundraising or outcome focused volunteer management SKILLS/ABILITIES Excellent verbal and written communication skills Ability to influence and encourage Accuracy and attention to detail Good organisational skills, with the ability to juggle several tasks at once Ability to work under pressure Ability to retain large volumes of information Word processing skills and fast and accurate keyboard skills PERSONAL QUALITIES Committed Christian Team Player Tactful/diplomatic Strong interpersonal skills Flexible approach to work Professional Self starter ability to work on own initiative to achieve targets Database experience Understanding of the evangelical church Knowledge of the developing world and Tearfund s ministry Understanding of principles of volunteer management
