2 Contract Employment Package This is a full-time, permanent contract, working 35 hours per week, Monday Friday, This is a multi-site, 7-day operation and therefore there may be some requirement to work flexibly to meet the needs of the Charity. Salary The salary for this role is circa 55k per annum. Holiday 31 days holiday per year, inclusive of the 8 statutory public holidays. This increases by one day each year until a maximum of 34 days (pro rata for part time employees) is reached. Probationary Period and Review Your probationary period will be 6 months. During this period, should either you or the Charity wish to terminate your employment, your notice period shall be 1 month. After 6 months of employment the notice period is 3 months. Performance Reviews Employees have the opportunity of a probationary review meeting with their Manager at the end of their probationary period. Pension Scheme The Charity values its employees and believes that pension contributions are an important part of the benefit package offered. The Donkey Sanctuary exceeds the government recommended rate amounts as shown in the table below: Band Employer Contribution Employee Contribution % of annual salary 2.5% minimum % of annual salary 3.5% minimum Executives 10.5% of annual salary 4.5% minimum The scheme is administered following government set auto enrolment rules. New members of staff will receive an information sheet from Human Resources as part of their starter pack which explains the scheme and the postponement rules. A mandatory postponement letter will be generated by payroll and distributed with your first month s payslip, this will also provide details on eligibility and early opt-in instructions. After three months of employment you will be assessed, following current government auto enrolment criteria, and, if eligible, will be auto-enrolled into The Donkey Sanctuary Group Personal pension scheme. Overall Purpose The purpose of this role is to provide professional guidance and support to Executives and Senior Managers in all matters concerning procurement, ensuring the Charity achieves the best value for money in sourcing its goods and services (amounting to circa 10m annual spend) across all categories of operational and capital expenditure within the Charity and its subsidiaries. To be accountable for procurement policies and processes across the Charity and train others ensuring consistent and cohesive procurement practice across all departments, encouraging and developing strategic supplier relationships to reduce costs, mitigate risks and add value. Main Duties and Responsibilities Responsible for all procurement related policies and procedures and to provide advice and guidance to all parts of the charity, promoting procurement best practice; Contribute to the development of the procurement strategy for the charity promoting equal, fair and transparent procurement practices, placing value in sustainable, and ethical supplier selection; Work closely with all stakeholders to safeguard the integrity and accuracy of information made available external to the organisations (i.e. tender documentation); Develop supplier management processes to monitor and manage performance. Where required undertake supplier audits and implement supplier improvement plans throughout existing suppliers if performance is unsatisfactory and cannot be improved within the agreed timescales; To effectively manage all categories of spend, working closely with the Executive Team, SMT and Subject Matter Experts providing advice and guidance on procurement best practice, coaching and sharing knowledge and skills; Develop a cost management plan to realise cost savings and value add services into the charity; Responsible for managing procurement system administration and support, managing user profiles, authority levels, fielding end user queries and identifying ongoing training needs. Responsible for the continuing development of the P2P process and system improvements with support of the P2P user group; Prepare and analyse reports, to share information and use as a basis for decision making. Provide appropriate reports to meet varying stakeholder needs (E.g. Executive Team, SMT, Subject Matter Experts); Work to promote positive relationships across the charity and support the Executive and Senior Management Team in achieving their aims and objectives; 3

4 Work as part of the senior management team to inform, develop and implement the strategic aims and operational objectives of the charity; Performance manage, develop and support the Procurement team, setting objectives in line with the charity s strategic aims and objectives, ensuring the team understand their contribution to the organisation s strategic objectives, coaching and developing the team to fulfil their potential; To co-operate with management and colleagues to promote good communications through sharing appropriate information and building positive working relationships; Demonstrate a commitment to continuing personal development; To carry out any other reasonable duty as may be required Responsibilities of all Donkey Sanctuary Employees Act as an effective Ambassador for the Charity, demonstrating behaviour which supports the Charity s strategy and values and work in a way which promotes the standards described in the Competency & Standards Framework; To work within the Charities guidelines with regard to conduct, recognising its policies with regard to equality, and showing respect and co-operation towards fellow colleagues; Under Health & Safety legislation, all staff must work in the safest possible way in order to ensure their Health & Safety and that of all others who may be affected by their actions; Demonstrate a commitment to continuing personal development; To co-operate with management and colleagues to promote good communications through sharing appropriate information and building positive working relationships. Communication Links Internal: The role will involve significant internal communication with Executives, Senior Management Team, Budget Managers, IT and Accounts dept, and other members of staff involved in the Procurement and P2P cycle therefore excellent communication skills with both technically and non technically minded individuals will form a key part of this role. External: The role will involve extensive communication with suppliers negotiating terms, agreeing procurement best practice, providing feedback regarding their performance and advocate of The Donkey Sanctuary brand and the Charity s external profile with regard to purchasing and supply. Hours 35 hours per week. Due to the seniority and nature of this position there is an expectation that you will work any additional hours deemed necessary in order to fulfil the duties of your role. Location Based at our headquarters in Sidmouth, there may be occasions when the post holder may be requested to work at another location considered reasonable by the Charity. 4

5 Person Specification Essential MCIPS Professional Diploma in Procurement and Supply or equivalent; Able to demonstrate a proven track record in managing expenditure of circa 10m across diverse categories in a multi site organisation, working closely with subject matter experts and budget holders within a continual improvement culture; An experienced self starter who will come from a professional procurement background, understanding and championing best practice in procurement and have experience in all aspects of the procurement cycle; Able to show experience in all aspects of leadership, staff management and development; Able to demonstrate strong analytical skills to prepare and analyse reports which include KPI s, category spend reports and any other report as required by the Charity; Excellent communication skills and ability to promote ideas or benefits to high level stakeholders and build persuasive arguments based on data, logic and objective merits of solutions; Previous experience as a user and management of procurement aspects of ERP software incorporating P2P systems; Able to demonstrate a proven track record in negotiation and influencing; Able to demonstrate excellent organisational skills with experience of managing a variety of projects, as well as, systems and procedures; Advanced knowledge of Microsoft applications including Excel and Word; Full and valid driving licence. Desirable Experience of working in international organisations; Knowledge of international purchasing and supply chain management; Specific experience managing cost reduction programmes wider than procurement. Personal Attributes Excellent interpersonal skills, along with the ability to develop strong working relationships with internal departments and external suppliers; Ability to work as part of a team; Attention to detail; Adaptable to the demands of working in an area of rapid change and development; Able to present a positive image of The Donkey Sanctuary at all times.
