1 Palos Verdes Peninsula Unified School District Human Resources Department 375 Via Almar Palos Verdes Estates, CA (310) Classified Employee Account Clerk, Supervising JOB DESCRIPTION Supervisor Director of Kids Corner or Designee Work Year 12 Months Salary Range 26 DEFINITION Under general supervision, to perform general accounting clerical work in keeping or checking accounts payable, technical level specialized payroll, and/or other accounting records; and to perform related work as required. Training & Experience Any combination of training, education, and experience which demonstrates possession of the knowledge and abilities stated on this job description and the ability to perform the duties of this position. A typical qualifying entrance background is advanced journey-level experience performing complex payroll/accounts payable processing in a data processing environment and preferably in a public education setting. Qualifications Demonstrated knowledge of: Policies, procedures, and practices of assigned specialization of position, such as payroll preparation, verification and record keeping work or accounts payable processing and payment; Applicable laws, rules, regulations, and principles affecting preparation of assigned accounting records and documents; Computer terminal operating methods; English usage; Modern office equipment, programs, and procedures; Data processing as it relates to payroll and accounts payable preparation and record keeping; Statistical record keeping procedures; Business mathematics; Basic principles of leadership and training; Page 1 of 5

2 Major Duties and Responsibilities Organize and manage the flow of work and communication assuring efficiency of assigned accounting operations; assign, train, and check the work of accounting clerks. Review District and County accounting reports on a scheduled basis; analyze and prepare financial data for reports. Understand, interpret, and explain accounting-related procedures, program guidelines, mandates, and options to staff, vendors, community members, and parents; research and resolve problems. Enter data in computer terminal/microcomputer; create spreadsheets and databases; use standard and specialized software and programs. Answer telephone, take messages, and transfer calls; answer a variety of questions regarding accounting matters. Communicate in person and by telephone with site staff, students, faculties, public, and vendors; interact with other departments. Research, review, and explain account activity and balances; reconcile accounts. Research and reconcile reimbursable accounts, book deposits, invoice statements, and bank accounts; balance accounts to control figures. Compile reports from records maintained. Keyboard reports, forms, checks, correspondence, lists, labels, statements, envelopes, and similar materials. Make calculations, such as sales tax, delivery fees, sick leave, payroll taxes, payroll deductions, receipts, account balances, and payables; prepare reports and make tax deposits. Prepare and maintain employee payroll-related time, leave, absence, data summaries, and reports; research records to comply with court orders (some positions). Record and count money received; prepare receipts, income and sales reports, and deposits (some positions). Prepare schedules, summaries, recaps, and reports for auditors. Match purchase orders, invoices, contract, receiving documents and other documents necessary to process payments on B warrants. Open and sort mail. Open and maintain organization and security of safe. Make photocopies of documents; transmit FAX; stuff envelopes and prepare for mailing. Operate office equipment such as photocopies, calculator, computer, typewriter, check signature machine, money counter, and related equipment. Set up account numbers; create and maintain files. Compose routine correspondence. Perform related work as assigned by supervisor. Ability to: Perform complex account record keeping in the assigned accounting programs(s) with a high degree of independence; Assign, monitor, guide, correct, and train an assigned account clerical staff; Prepare and file in a timely manner accurate payroll summaries and reports; Work under the pressure of recurrent deadlines with frequent interruptions; Page 2 of 5

3 Compare numbers and detect errors; Read, understand, interpret, and apply laws, rules, regulations, policies, and contracts. Make arithmetical calculations with speed and accuracy; Explain complex laws, rules, regulations, and procedures concisely; Deal tactfully and calmly with members of administration, faculty, staff, and vendors under frequently stressful circumstances; Operate a typewriter keyboard with accuracy; Operate a computer terminal and highly specialized software applications with speed and accuracy; Operate a calculator by touch method quickly and accurately; Understand and carry out oral and written instructions; Speak English at a conversational level; Demonstrate fluency and literacy in English; Participate in employer mandated training and re-training programs; Establish and maintain effective relationships with those contacted in the course of work; Comply with rules and regulations of the Classified Service, Policies/Regulations of the Palos Verdes Peninsula Unified School District, and provisions of collective bargaining agreements.
