1 Role Profile Job Description Ref no: Job Title Exams Coordinator Directorate or Region Americas Department/Country Exams Mexico Location of post Mexico Pay Band 4 / H Reports to Exams Operations Manager Duration of job 18 months (renewable by mutual consent) Purpose of job: To coordinate the administrative and logistics activities for the compliant delivery of exams products and services in line with British Council quality standards and exam board requirements, ensuring this meets or exceeds customer expectations. In general the role will be expected to follow predefined processes and procedures and work relatively independently within these. The role is likely to provide support from their own expertise to Exams Assistants and other Exams Officers with different expertise. It directly line manages one or more exams assistants and is expected to manage the performance of venue staff where required. Accountabilities, responsibilities and main duties: (including people management and finance) You will play an important role in the Mexico Exams team to manage the distribution line of products in the portfolio of British Council Mexico Exams. You will manage, implement and supervise exam delivery in line with British Council and Examination board service and compliance policies. You will work closely with the Exams management team to ensure that exams are administered compliantly, making sure all clients receive effective customer care, support and information regarding the sitting of exams. The post requires an individual with strong organisational skills, excellent interpersonal skills and an eye for detail. Managing exams processes To manage exams registrations, sessions, venues for exams To supervise receipt, dispatch and security of exam materials for exams and others as required. 2 efficient processing of online registrations and CBT tests as required. Administration control To ensure that information about income is recorded accurately for income reconciliations to be completed on time and meet audit standards To ensure that business transformation actions happen in line with the needs of the business. Marketing and customer service To ensure that detailed information about examinations and sessions is made available to customer service, marketing and sales colleagues for them to help customers make purchase decisions. To ensure that customer feedback is collected in line with corporate standards. To perform relationship management with stakeholders for quality customer service follow up. To liaise with marketing teams to fully understand brand guidelines. Quality assurance and Compliance To ensure exam British Council standards, QCA, and Examination Board exams inspections are met. To recruit, organise training for, supervise and timetable exams venue staff. To recruit, organise training for, supervise and timetable oral examinations. Qualifications Ability to operate in Spanish (both written and spoken) at B2. -Ability to operate in English at B2. -University degree in Administration, Industrial Engineering, Modern Languages or related career. -Ability to work with common systems such as Excel, Word and Outlook, and to learn more complex systems.
