4 Equal Employment Opportunity (EEO) Equal Employment Opportunity information is maintained under the Company EE Info section in the Company/Organization group.

5 Equal Employment Opportunity (EEO) Section A: Company Number is a 7 digit number provided by the EEOC Unit Number is also Supplied by the EEOC Classifications require an additional code table setup. Your code can be found at Section C Employers who are required to file: This refers to the following questions on the EEO-1 form. 1 Does company have 100+ employees? 2 Does entire organization have 100+ Employees? 3 Does company have 5+ employees and is not exempt? Check those that apply. If 3 is checked you will supply the Dun and Bradstreet ID number (DUNS). Section D: This refers to the questions on the EEO 1 form: Does this establishment employee apprentices?

6 Equal Employment Opportunity (EEO) Section E: Supply information about the company. Major activity, specific type of product or service provided, as well as principal business or industrial activity. Section G Employers who are required to file: Enter the certifying Office and Title. You can add a signature file if desired. Then enter the contact information. EEO Reporting: Check which EEO reports

7 Equal Employment Opportunity (EEO) In section A of the Company EEO Information setup, you will need to add your code in the NAICS/SIC Classification Code table. You can find your code at

8 Equal Employment Opportunity (EEO) If your company has multiple EEO units per Federal ID, you will need to set up the additional units. Note: If you only have one EEO unit number for your company, DO NOT set up this code. The system will use the Unit number on the Company EEO Info screen.

9 Equal Employment Opportunity (EEO) The EEO Unit is assigned on the Employee s Organization screen under the Miscellaneous section.

10 Equal Employment Opportunity (EEO) For each job class, use the dropdown on the EEO Class ID to select the applicable classification to the position. Note: Depending on which report type (EEO-1 or EEO-4) was checked on the Company EEO Info Screen, either only 1 or 4 type classifications will display on this list.

12 Equal Employment Opportunity (EEO) There are several report options under the Reports > EEO and Citizenship Reports. Below is a sample of the EEO 1 Detail report.

15 OSHA There are several code tables required for setup prior to processing OSHA reporting features. Some of the code tables are predefined, but can be changed or added to by the User. Add to or Edit the OSHA Body Part and Injury Type code tables in Code Tables - All.

16 OSHA Next, set up the Hospital and Physicians Code table as needed. This may be an ongoing process for you as incidents happen. Differentiating between physician and hospital is determined by the selection made in Hospital or Physician TYPE Field.

17 OSHA Next, set up the locations where an injury has or can happen. Then set up the People preparing the reports.

18 OSHA When an injury happens to an employee you will go to the Employee Record and add a new safety incident. You will Add New and fill in the forms accordingly. You will fill out the Incident form and all other subsequent forms that you wish to populate.

19 OSHA Next, you need to outline the injury and make any additional comments on the two injury description screens. It allows you to document the injury in detail.

20 OSHA On the Organization screen you will select the job class and the organization level the employee was working when the injury happen.

21 OSHA Additionally, you can assign the physician and their notes, along with the hospital should it be necessary.

22 OSHA There is a Narrative section that will allow you to key a full report of what happened during the incident. You will also need to populate who filed the reports.

23 OSHA If a Worker s compensation claim is filed, you will proceed to the Workers Comp Claim screen and populate the form appropriately. The last screen in the Safety section of the Employee record allows for document uploads. You can scan and attach Documents that you d like to reference in regards to each employee and their safety incidents.

24 OHSA To run the OSHA reports, from the Suite Navigation bar select Reports then OSHA reports. The You will select the OSHA Report you need to run. I ve provided an Example of the OSHA s form 301 report.

25 OHSA Note: OSHA is requiring specific employees to file the forms 300 electronically as of You can learn more about this at the links below. Optimum is currently working on the programming to add this capability to the software.

27 Property The property reporting allows you to track Employees that are using company property. Examples would include, but are not limited to, company vehicles, computers, cell phones, keys, and credit cards. To utilize this feature, there are a couple of code table setup requirements. First, you will set up the Property Category in Code Tables All.

28 Property Next, you will setup the actual properties that can be assigned to Employees. This screen of the Code table allows you to define the specific property.

29 Property Continue to the next tab of the Property Code Table if you wish to enter comments.

30 Property The last tab of this Code Table allows you to view, at a glance, the employees to whom it has been assigned. You can even send an to these employees by selecting an employee and clicking send at the bottom of the screen.

31 Property Once the Code Tables are setup, you can then go to the Property section on the Employee record and assign the property to this employee. You also have the option to add documents should a property require a release or liability signature.

32 Property At this point, you can run reports on the Property to see what properties are active, assigned, due for return, available, out for repair, or retired. The report above is an example of the All Active Property report. You find these reports by navigating to Misc Reports under the Report section of Suite Navigation.

34 Tips & Tricks of Reporting Exporting Reports Recently exporting features have been enhanced for some reports. While you could export most all reports to excel, the export wasn t always in an aesthetically pleasing or easily manipulated arrangement. Now, on some reports, when you check the box Export directly to Excel it is in a much more agreeable format.

35 Tips & Tricks of Reporting Annotations on Reports When you print a report to screen you have the option to make notes as you wish. You can change the color, size, font, etc. When you print this report the notes will print also, but will not be saved when you leave the screen.

36 Tips & Tricks of Reporting Did you know: Did you know that there s a searchable report document available to search for key words? It helps you find and narrow down what report has desired information. The direct link is included below. Did you know that the red R - - indicates that a choice is required on that particular selection, but if it isn t present you don t have to select anything and the system assumes all? Did you know that you can Sort or Page break by different options including Company Id, Organization Levels, etc.?
