1 POSITION DESCRIPTION Team Position Title Reports to Role Summary Purpose of the Position Te Hau Ranga Ora Haumoana Administrator Kaiārahi Your position works principally within the department or service specified above, however you may be required to undertake duties in other areas of the organisation which promote the efficient and effective operation of Whanganui District Health Board which reasonably fall within the general parameters of this position. To contribute to improved equity in health outcomes for Māori whānau by: - Providing responsive, customer focused administration services to assist Te Hau Ranga Ora to deliver high quality services Direct Reports Nil - Coordinating and administrating the Hāpai te Hoe programme and resources to support the effective delivery of the programme Delegated Authorities Financial Reconciliation of petty cash and Mauri Ora accommodation fees as per the WDHB Delegation Policy Staff Nil 1 P a g e

3 My role responsibility This role is primarily accountable for: Providing customer services working in a way that reflects the WDHB commitment to whānau centered care and upholding the WDHB values Providing effective and efficient administration systems and processes to support the smooth running of Te Hau Ranga Ora and Hāpai te Hoe Providing administration assistance to the Kaiārahi Role model the kaupapa of Whānau ora, the WDHB values and the world of Te Ao Māori Working confidently across Te Ao Māori and Te Ao Pākehā within the WDHB services A set of performance objectives will be agreed annually between your manager and yourself reflecting applicable strategic and operational ambitions. Key Performance Indicators Key Accountabilities (Key areas of your focus) Provide customer services working in a way that reflects the WDHB commitment to whānau centered care and upholding the WDHB values Work confidently across Te Ao Māori and Te Ao Pākehā within the WDHB services Provide effective and efficient administration systems and processes to support the smooth running of Te Hau Ranga Ora Tasks (How you achieve) Ensure whānau and visitors are greeted with courtesy and respect, staff are notified of their arrival and/or information or assistance requests are auctioned in a timely way. Provide a professional response to reception telephone and other enquires Maintain filing, correspondence, bring up and policy control systems with a focus on a paperless office approach Enable and support the team to self-manage their diaries and s Keep Trendcare service data accurate, up to date and produce monthly report Order office supplies and other service and whare supplies Arrange travel and accommodation Performance Indicators (How you will be measured) Feedback from visitors, whānau and staff Monthly report Mauri Ora financial reconciliation Petty Cash reconciliation record Meeting minutes Booking records Staff feedback 3 P a g e

4 Provision of effective and efficient administration systems and processes to support the smooth running of Hāpai te Hoe Team member Role model the kaupapa of Whānau ora, the WDHB values and the world of Te Ao Māori Account for the accommodation fees and koha from Mauri Ora. Reconcile petty cash related to the use of Whare Whakatau Mate Record minutes of Te Hau Ranga Ora team hui Maintain and coordinate booking system for WDHB Cultural Events and Te Piringa Whānau Order and maintain supply of Te Hau Ranga Ora service information and service specific resources Provide administration support to Kaiārahi Coordinate all WDHB Te Reo Māori translations Maintain supply of Hāpai te Hoe education resources and organize and coordinate storage Order food and set up for education sessions Produce and coordinate attendance certificates Work as part of the Te Hau Ranga Ora team to support increased cultural awareness and confidence across the whole organisation Active participation in orientation (monthly) Support Kaumātua and Kuia in cultural activities, blessings, pōwhiri and mihi whakatau Trendcare certificates Attendance at pōwhiri and cultural activities Feedback from staff and service leaders 4 P a g e

5 Work with the Kaitakitaki, Kaiārahi and Haumoana Educator, cultural support to: - audit and review Māori health policies and guidelines - support Whare Whakatau Mate services as requested Professional Accepts responsibility for ensuring that his, her practice and conduct Meet the organisational standards policies and procedures, values Te Waka values and service model and relevant legislation Audits and surveys Patient/whānau, staff feedback Practices in a way that respects Māori values and beliefs by upholding the WDHB values maintaining the mana of the organisation, service and individual Role model WDHB Speaking Up for Safety and Professional Accountability Communication style demonstrates empathy and respect of others views when working with patient/whānau and staff Wellbeing, Health and Safety Comply with all safe work procedures, policies and instructions Report all incidents hazards and injuries to supervisors in a timely manner Actively participate in the ongoing development of safe workplace practices in Whanganui District Health Board Completed the WDHB health and safety orientation course and updates Attendance at workplace safety meetings (indicated by minutes) Demonstrated by signed training records Active involvement in, and completion of, rehabilitation 5 P a g e

6 programmes as required Timely, full and accurate completion of accident and hazard forms if and when required My Capability & Personal Qualities To be effective and succeed in this role it is expected that you will have the following proven capabilities: proficiency in te reo me ōna tikanga proficiency in whakawhānaungatanga, maintain and develop effective working relationships be able to walk and work confidently in Te Ao Māori and Te Ao Pākehā commitment to the Te Tiriti o Waitangi and Whānau Ora principles experience in office administration and systems and processes computer literacy and experience working with/understanding of MS Word, Excel, Outlook, relevant tools and social media outstanding people and relationship skills commitment to the development of a customer service culture makes the best use of time available, allocating the right time to the right activities, assigning priorities to tasks based on an understanding of importance and urgency requirements takes responsibility for the consequences of own actions, decisions and behaviour and not shifting focus on blame or poor performance somewhere else or on others Māori Health sector/service understanding desirable a valid driver s license My Relationships to Nurture It is the responsibility of each WDHB employee to establish and maintain positive, healthy, collaborative and constructive partnerships with leaders, managers, clinicians, support staff and administrators and relevant external networks; stay abreast of, and contribute to local, regional and national health care activities and initiatives. Physical Attributes We will make all reasonable efforts to provide a safe and healthy work place for all, including persons with disability. Must be able to function in rapidly changing and demanding conditions when required Hearing capacity and speech should be sufficient to communicate with patients, and whānau, families enabling direct and telephone (including cell phone) communication Ability to wear face masks and rubber gloves for protection against infectious disease Absence of a health condition which could increase appointee's susceptibility if exposed to infections more frequently than usual Skin condition should allow frequent contact with water, soap/disinfectant soap, chemicals and latex rubber Skin should not be fissured, scaly, cracked on hands, forearms, face or neck The appointee must not have infection or colonization with MRSA The appointee must not have a health condition that will put others at risk Manual dexterity sufficient to drive, enter and load a motor vehicle and operate necessary equipment including pens, scissors, computer A high degree of physically capacity is required as the work is physically demanding, involving standing, walking, sitting, stretching, twisting bending and lifting/moving weights up to and above 15 kilograms frequently. (Stature extremes may increase hazard of shared activities) Ability to move about and undertake necessary duties (sometimes in restricted spaces) in wards/departments/community settings within Whanganui District Health Board Visual ability sufficient to drive a motor vehicle Successful interviewees will need to know their "Hepatitis B" status and have available recent documented MRSA clearance 7 P a g e
