2 Definitions Absence A period of time in which an employee performs no work for the assigned organization. Absence Types Categories of absence, such as medical leave or vacation leave, that you define for use in absence windows. Accrual The recognized amount of leave credited to an employee which is accumulated for a particular period. Accrual Band A range of values that determines how much paid time off an employee accrues. The values may be years of service, grades, hours worked, or any other factor. Accrual Period The unit of time, within an accrual term, in which PTO is accrued. In many plans, the same amount of time is accrued in each accrual period, such as two days per month. In other plans, the amount accrued varies from period to period, or the entitlement for the full accrual term is given as an up front amount at the beginning of the accrual term. Carry Over The amount of unused paid time off entitlement an employee brings forward from one accrual term to the next. It may be subject to an expiry date i.e. a date by which it must be used or lost. Net Accrual Calculation The rule that defines which element entries add to or subtract from a plan s accrual amount to give net entitlement. PTO Accrual Plan A benefit in which employees enroll to entitle them to accrue and take paid time off (PTO). The purpose of absences allowed under the plan, who can enroll, how much time accrues, when the time must be used, and other rules are defined for the plan. 1

5 Figure 2 Figure 2 shows the Find Person Window, you can choose either to query employee by Full Name, National Identifier or Number. Number field is the Staff Number field. Type in the Staff Number then click Find button. 4

6 Figure 3 Figure 3 shows Absence Detail Window. Choose the Absence Type from the list. Fill in the Actual Start Date (Figure 4) and End Date. (Figure 5) Figure 4 5

9 Figure 7 Figure 7 shows the Assignment window for the Liaison Officer to update or insert the Supervisor for their K/C/D. Click at the Calendar icon to change the effective date of the staff supervisor. Figure 8 Alter the Effective Date then click the OK button. 8

10 Figure 9 Select the supervisor name from the list then click at the OK button. Then Click Save button. 9

11 Element Entries (To Add Balance of Leave) Navigation: IIUM HR Liaison Officer Element Entries Element Entries for IIUM Liaison Officer is responsible to input the Annual Leave Earned Carried Over. Figure 10 Please click Yes button to change the effective date to 01-JAN-2008, as displayed in Figure

14 Please Click OK button when the cost centre appear as below. Figure 12 Please Click at the Entry Values button, to add in the leave of balance. 13

15 Figure 13 Please check on the details below: Entry Effective Date = 01-JAN-2008 Expiration Date = 31-DEC-2008 Plan Days = Value balance of leave carry over (the total is with the amount of golden handshake if any) If the value of Plan Days is incorrect, please update the field and click the Save button to save or press Ctrl S. 14

16 Assignment Time Info Navigation: IIUM Liaison Officer Assignment Time Info Figure 14 The Assignment Time Info function is to add the staff in the rotation plan, earning policy and to upload the absence function. Figure 14.1 You can change the effective date of the staff to the staff appointment date if you want to inset the assignment time info for the staff. If you just want to check click No button. 15
