1 International Institute for Environment and Development Communications Job Description Job Title: Reports to: Main purpose: Key contacts: Salary: Contract: Location: Production Manager Managing Editor To lead and manage production of printed publications and all design and production issues related to management and development of the IIED brand Internal: Communications team, Researchers and Coordinators across IIED External: Designers, printer, editors and typesetters Grade 4, 34,943-38,474 (up to 43,413 for exceptional candidates) depending on experience, plus benefits Fixed Term (maternity cover) full time (35 hours per week) Central London office Background to the post The International Institute for Environment and Development (IIED) is a policy research organisation that provides expertise and leadership in researching and achieving sustainable development at local, national, regional and global levels. In alliance with others, we are helping to tackle the biggest issues of our times - from climate change and cities to the pressures on natural resources and the forces shaping global markets. With 116 members of staff working with associates and partners around the world, IIED has been at the forefront of policy-making in sustainable development for over 40 years. The Communications Team is a busy and friendly team of 13, with an operating budget of c 800k, working with all other parts of the Institute. In providing a service to our colleagues we also act as a critical resource and centre of expertise. Our purpose is to communicate with the right people in the right way at the right time, supporting the strategy and values of IIED and our partners. Our strategy can be expressed in three main objectives:

2 1. To ensure that all our products and messages put audience first and are targeted towards stakeholders who have a role in particular change processes 2. To make sure we position IIED and our partners in relevant policy debates and policy processes that can influence change. 3. To develop ways to improve the communications skills of IIED staff, partners and those with whom we work by developing an understanding of best practice and improved methodologies, dissemination etc. and how a better understanding of all this contributes to good value for money. The Communications Team is made up of the following members of staff: Liz Carlile Director of Communications Soti Coker Database Manager Rosalind Cook Production Manager Teresa Corcoran - Communications Senior Coordinator Natalie de Pointis Brighty Communications Assistant Rosalind Goodrich Research Communications Manager Clair Grant Salmon Audience Development Manager (Deputy to the Director of Communications) Kate Green Managing Editor* Sian Lewis Staff Writer Katharine Mansell Media and External Affairs Manager David Sankar Web Services Manager Kate Wilson Publications & Marketing Manager Matt Wright Web Planning and Content Manager *Postholder s line manager Key responsibilities (1) Production of printed materials (approximately 45% of time will be dedicated to this area of responsibility) Take lead responsibility for the production of all print materials produced by the Communications team including layout, proofreading, coordinating final sign off, and organising printing Develop new designs as required, devising design briefs and working with external designers Ensure all products are produced in line with the IIED brand guidelines, and make decisions on editorial and visual style Manage the policy writing team s production timetable and ensure that products are produced to schedule Develop and manage relationships with external production contacts such as printers, designers, typesetters, proof-readers, and advise IIED staff on appropriate contacts for their needs Advise and support staff and take the role of IIED expert on production of printed products throughout the institute, including on design and production processes, use of Adobe InDesign, logos, templates and design guidelines

3 (2) Branding (approximately 40% of time will be dedicated to this area of responsibility) Advise IIED staff and external suppliers in the use of templates and design guidelines, to ensure consistency and adherence to the brand across all print products Develop and manage templates, tools, guidelines and support materials, ensuring they are up to date and fit for purpose Communicate brand values, identity and processes to all staff as part of the brand team Monitor feedback from staff on the use of templates and make amendments as appropriate or provide further training where necessary Contribute to decision making around the ongoing development of the brand strategy as part of the brand team, based on feedback, day-to-day experience and knowledge of production and design. (3) Photo library (approximately 5% of time will be dedicated to this area of responsibility) Develop and manage a strategy for the running of the photo library, and review and adapt the library to ensure it delivers against its objectives. Provide training and support on the image library software to staff as required Devise and implement internal promotion strategies to encourage the use of the image library throughout the institute Oversee new photos added to ensure that quality of content and metadata is maintained Administer the Asset Bank platform in collaboration with IT Services, the Portal Manager and the Communications Assistant. (4) Admin and finance (approximately 10% of time will be dedicated to this area of responsibility) Oversee delivery of printed publications and ensure they are properly stored Report on progress, and feed into, weekly Communications team meetings Plan and monitor production costs within the annual production budget and for oneoff projects, ensure invoices are passed to Communications officer and charged to the correct budget lines The job description defines the level of responsibility and area(s) of involvement of the post; the details of the duties may change over time and do not form part of the contract between IIED and the post holder. Person specification 1. Essential requirements Academic and professional qualifications Minimum of first degree or equivalent

4 Relevant experience Significant experience of managing a wide range of production processes including working with designers, print production, picture research and project management Experience of typesetting using Adobe InDesign, and ability to provide first line advice and guidance in using the software to other colleagues across the organisation Experience of project management including scoping, scheduling, resource allocation and monitoring Experience in proof reading and copy editing Experience in using Microsoft Office programs, particularly in developing and using Word and PowerPoint templates. Knowledge of scheduling software, Photoshop, Adobe Illustrator, databases, and web content management systems Clear understanding of the standards and regulations set for the conduct and output of the role, for example: copyright issues and environmental printing standards Key skills and knowledge Excellent knowledge of desk top publishing software (Adobe InDesign), wordprocessing (Word 7), spreadsheet (Excel), and PowerPoint. Knowledge of design software (Adobe Photoshop and Illustrator) Excellent personal organisational skills, ability to be adaptable and flexible to manage multiple projects in a fast-paced, deadline-driven environment Working knowledge of/desire to learn about the activities of other areas of IIED relevant to the department First class verbal communication and inter-personal skills and the ability to build effective working relationships and to deal with multi-cultural staff and partners at all levels, as well as external bodies Ability to work/respond independently, problem solve, and deal with unforeseen problems and circumstances on own initiative Ability to work independently and as part of a team Fluency and excellent written skills in English and attention to detail developed through drafting text, copy-editing, proof-reading and editing 2. Desirable requirements A further qualification in a communications discipline Experience of working in the charity / not-for-profit sector Good understanding of environment and sustainable development issues
