2 Manager Role in ixpand In ixpand, Leaders have the Manager role. Managers have a group of employees that they are responsible for. ixpand Managers have access to Manager-level features, in addition to all features available to the Standard User (see ixpand Job Aid for Learners). This job aid will cover: Analytics Page Users Page Reports Page How to Manage Users How to Run a Report How to Enroll Students

3 Navigation As a Manager, you have access Manager-level Analytics, Users, and Reports, all of which are not available to the Standard User. Managers will also need to use Advanced View for some tasks, such as enrolling students. Advanced View is available to all users, but the Manager is able to access more features.

4 Analytics In addition to user-level data, the Analytics page lets the Manager view the managerlevel. The Manager Dashboard is a summary of employees that you are responsible for. Toggle between User and Manager dashboards Click to view a larger version of a graph

5 Users: Users Tab The Users page has three tabs: Users, Enrollment, and Competency/Skill. The Users tab lets you access information about the employees you are responsible for. By clicking on a name, you can view the employee s profile, make edits to contact information, and review his/her transcript. Click any of these headers to sort the column alphabetically or numerically Click on any name to view their user profile

6 Users: Enrollment Tab The Enrollment tab lets you track your employees progress with their courses. Use the drop-down menu next to View Group to see employees who have the following statuses: Pending, Enrolled, Complete, Fail Complete, No Show, and Class Session Complete. From here, you can also move and replace enrollments. Move lets you move the select employee to another date/time for the same course Replace lets you enroll another employee in this course offering, in place of the select employee. Choose a type of status to view.

7 Users: Competency/Skill Tab The Competency/Skill tab will be used to track Competency Checklists. Once you have verified competency for an employee who was assigned a competency/skill, use the Competency Count column to Complete the employee. Once you have verified competency, click this link, locate the employee s name, and click Complete Objective

8 Reports The Reports page lets you run a report and track the status of a particular course or user. You are first provided with a list of available reports. Click on the name of the report you want, which will open the Report Criteria page where your report can be customized. Click on the name of any report to open up the Report Criteria page, which lets you customize your report Sometimes, View will not work without first entering report criteria

10 How to Manage Users Simple View: 1. Users can be managed from: Advanced View: Simple View Click the Users icon and go to the Users tab. Advanced View Click on User Management, and then Users.

11 How to Manage Users Click any of these headers to sort the column alphabetically or numerically Locate a specific user 2. The User List displays, in alphabetical order, all of the employees you are responsible for managing in ixpand. To view or edit an employee s information, click on that employee s name.

12 How to Manage Users 3. In User Details, you can view the employee s profile, including contact information, user type, and ixpand history (e.g. enrollments, completions, and cancellations). You can also Print Transcript and Edit select user details.

14 How to Run a Report 1. On the Reports page, click the name of the report you want. A new window will open where you can enter your Report Criteria.

15 How to Run a Report 2. In the User Info Details section, enter in the criteria for the report (e.g., Date Range). You can use the Selector section (e.g. Course or Organization). 3. Click the View Report button, shown circled.

16 How to Run a Report 4. To print the report, select the Printer icon on the Report Launcher screen. Or to export the report select the Save icon and then select the format (e.g. PDF, Excel).

19 How to Enroll Students 2. Notice each of the tabs under the Palomar Health logo: Student, User Management, Reports. The Student tab allows you to search for classes that you may want to schedule for your employees. To enroll a student, click on the Search Course selection in the Student drop-down menu.

20 How to Enroll Students 3. On the Search Courses screen, enter the Search Text and any criteria (e.g. course type, date range). 4. Click the Search box.

21 How to Enroll Students Click any of the headers to sort alphabetically 5. The search will bring up a list of possibilities called a Learning Object List. Click the View link located next to the course that you want to enroll employees.

22 How to Enroll Students The number indicates the number of students currently enrolled; click to View to see the roster Click any of the headers to sort alphabetically or to reverse the chronological order 6. In the Learning Object Instance List, add employees to the desired session using the Add link.

23 How to Enroll Students This look up feature will only search within the list of employees you are responsible for. 7. In the Search Attendees window, you will be provided a list of employees that you are responsible for. Locate the employee(s) that you want to enroll. You can also look up an employee via name or Employee ID. 8. Select the appropriate enrollees by checking the box next to their User ID. 9. Click the Add Attendees button. The employee will receive an notification to confirm their enrollment.
