Position Rationale As VolkerWessels North America ( VWNA ) grew to 7 organizations in Alberta, BC and Washington, USA, the opportunity to leverage not only the economies of scale or a larger and more complex group of companies, but also to optimize efficiencies, meet compliance while remaining successful, the new role of Business Process Advisor is being created to provide a dedicated needed resource for a company-wide efficiency review and implementation. As a stand-alone role, under the direction of the Chief Financial Officer, the Business Process Advisor partners with the different businesses and assesses, recommends and plans the implementation of process improvements or new business processes to optimize VWNA s performance through heightened efficiencies, operational relevance, compliance and governance with a built-in framework of continuous improvement. *** While this new position may impact processes that involve Information Technology, it is NOT an IT role.*** Business Process Advisor Page 1 of 5

2 Position Accountabilities Strategy & Planning: Meet with decisions makers, systems owners and relevant team members to define business, financial and operational requirements related to the improvement, implementation and maintenance of Business Processes. As a collaborative Business Partner with a clear mandate to implement business processes efficiencies throughout the organization, achieve desired results by influencing and executing. Through interviewing and observation, chart existing business processes in order to identify current business activities that by being improved, will provide measurable value to the organization. Identify project requirements as they relate to existing business processes, including the difference of same processes for different companies. Prepare and deliver reports, recommendations/alternatives for aligning requirements to improved or new processes Collaborate with stakeholders and sponsors on complex issues/conflicts that impact time, cost, scope, quality and risk of projects. Identify and establish scope and parameters of process analysis in order to define impact, outcome criteria and measure taking action. Develop budgets, resource, workforce preparedness (training) and timeframe requirements to implement process improvements/alignment. Partners with internal Change Management experts to create an overarching implementation and maintenance plan, including a feedback loop for continuous improvement. Meet with decision makers, IT team, HR group to plan an all-encompassing implementation strategy. Compliance Assurance: Familiarize with compliance standards for VWNA and apply knowledge to business processes analysis as it relates to policies, legislation, common-law, standards and guidelines, considering a diverse geographical area. Maintain existing compliance benchmarks when reviewing and developing business processes. Partnering with the different companies lead the development, maintenance and update practices as they relate to VWNA compliance requirements with our parent company in Holland, Actively ensure appropriate administrative, physical and technical safeguards are in place to protect VWNA s business processes as related to information assets from internal and external threats. Once relevant business processes are mapped, Identify, introduce and implement appropriate procedures, including checks and balances, to ensure cyclical tests and safeguards are in place. For relevant Business Processes - assess and implement a system for annual reviews and audits engaging both internal business partners and external resources, as relevant. Identify and partner with resources available for the ongoing compliance of improved and new business processes. Business Process Advisor Page 2 of 5

3 Contingency and Recovery: Ensure improved/new processes include vulnerability management activities from design to implementation to maintenance ongoing. Ensure Contingency and Recovery procedures are incorporated into improved/new processes and that practices are fail proof from a business process stand point. Educate senior leadership on critical steps within the Contingency and Recovery processes. Articulate and communicate the Contingency and Recovery risks & accountabilities associated with every day workforce behavior so that performance expectations are captured as part of position profiles, training and education process for all supervisors and individual contributors. Monitoring & Reporting: On relevant Business Processes and partnering with business units, recommend and implement a criteria/process to perform on-going monitoring of business processes missed efficiencies including assessing risk through qualitative risk analysis Conduct and report functional and gap analyses to determine the extent to which key business areas and infrastructure comply with statutory and regulatory requirements. Working with SME s in evaluating and recommending new technologies as relevant to Business Processes improvement and/or new implementation, incorporate an implementation plan for new technology. Provide monthly reporting on milestones during initial implementation, including the itemization of internal and external road blocks (for each initiative) Partner with relevant stakeholders to assess training requirements and to ensure relevant workforce is fully competent on improved or new processes. Leadership: (No Direct Reports) Advise senior leadership on the measurable risks of current business processes and their relationship to non-compliant practices. Act as the designee representing VWNA on business process optimization matters, also serving as the company point of contact for relevant internal and external customers. Establish and maintain open and result focused business relationships throughout the businesses. Translate identified project implementation roadblocks to senior leadership with actionable recommendations. Work collaboratively with the IT, HR, etc. on the dissemination of Business Processes requirements and continuous improvement to overall interdependent business processes and new hires. Partner with HR/L&D to establish effective workforce training programs to increase business processes and compliance awareness across VWNA Formally report, communicate and recognize early adoption of improved or new business processes. Keep abreast of latest industry practices, legislation, advisories, alerts and vulnerabilities pertaining to relevant VWNA business processes. Business Process Advisor Page 3 of 5

4 Change Management: Incorporate change management concept for all new initiatives of optimizing/implementing business processes. Lead the Change Management planning and execution for the implementation of improved or new business processes for VWNA. Clearly identify stakeholders and impact for the business processes relevant to each implementation. Understand and mitigate geographic, cultural and historical information that may have a slowing down effect on the change being adopted. Identify activities required from the management team on how they must contribute to each initiative. Create feedback and monitoring mechanism to detect where more focused change management efforts need to take place so that change is embraced at the same speed as possible throughout VWNA. Ensure resource assessment and recommendation is included in the Change Management Planning. Ensure there are mechanisms in place to reinforce new behaviors as a sustainable part of VWNA business processes optimization hand off. Customer Service: Communicate with relevant level of transparency to educate workforce on the advantages of each improved/new process. Identify and communicate with all stakeholders to the process of Change Management, implementation and maintenance. Advise management on how to overcome barriers to the new processes being adopted. Implement a customer centric information service to respond to needs during implementation and adoption phases with clear hand off expectations. Complete ad-hoc analysis on simultaneous initiatives, proactively anticipating and addressing the needs of senior management. Safety: Actively engage in Volker Stevin Canada s safety culture. Engage sr. management on an ongoing basis regarding safety activities and successes. 5 Position Requirements Qualifications & Experience: Undergraduate degree in Business, or similar discipline 3 years of hands on business requirements analysis, business process modeling/mapping in a matrix business/operational environment 2 years of project management demonstrable experience to present a Project Plan from Discovery to Maintenance, addressing milestones, risk assessment, and hand off as relevant (Agile methodology, an asset) Process Improvement framework certification or in progress, an asset. Strong consultative abilities, demonstrating diplomacy, flexibility and interest based interactions. Experience in prioritizing, exercise independent judgement and take-action while still in a collaborative and interdependent work environment, Decisiveness as an aptitude demonstrable as comfort in moving forward under ambiguity. Ability to move comfortably from high level thinking to executing details. Ability to capture and map processes that may not well defined, to initiate re-design and development where no processes exist and to make improvements and refinements where efficiencies are opportunities. Proven critical thinking for on the go problem solving Strong verbal and written communication skills (English a must) Proven strong influencing and negotiation skills.
