Synopsis The donor relations coordinator position is part of the communications and donor relations (CDR) team that includes community engagement, material resources, fundraising and communications. This position is responsible for coordinating and implementing the various aspects of the donor lifecycle experience (acquisition, retention, stewardship) for multiple segments of the donor database, as well as implementing strategies to engage alumni, volunteers, Hutterite colonies, and short and long-term service workers. Assignment Narrative The donor relations coordinator is a full-time term position (3-year term) focusing on the coordination of various components of the donor lifecycle experience and the implementation of relationship development strategies and initiatives for key audiences. MCC Manitoba s CDR department consists of a vibrant team of 6-8 people committed to strategic engagement with donors and volunteers through impactful communication and the building of relationships to support the mission of the organization. This position involves approximately 5-10 long days, some travel within Manitoba, and some (4-5) weekend commitments per year.

2 This is a full-time salaried position for a 3-year term (benefits apply). Qualifications College diploma/university degree in a related field (i.e., communications, humanities, international development). Other combination of education and experience will be considered. One or more years of experience with donor relations strategies and administration required Experience with annual giving best practices, strategies and content development for direct mail and stewardship tactics required Understanding of donor moves management process desired Familiarity with donor information management systems and comfort with databases required Proven proficiency in Microsoft Office Suite, internet research, and keyboarding skills required Proven administrative and organizational skills required to track processes and large amounts of data Proven oral communication skills required, including ease and comfort with phone conversations, one-to-one in-person visits and presenting to groups of supporters Excellent interpersonal skills with the ability to relate to people in a positive and collaborative manner and reach out in building relationships Excellent written communication skills required Strong ability to multi-task and assess/manage priorities and deadlines appropriately Ability to work independently and take initiative, as well as to collaborate as part of a team Familiarity with Mennonite (multiple conferences) constituency in MB strongly desired General work hours apply with flexibility to be available for occasional evenings or a weekend. Valid MB driver's license Satisfactory criminal record check clearance required upon hire Contact/Relationships This position reports to the assistant director of donor relations and works in collaboration with various members of the CDR team and members of the MCC Canada donor relations team, as well as various segments of the constituency. Supervision The incumbent in this position does not have supervisory responsibilities. Complexity/Competencies Awareness and experience of donor relations practices to assist in developing and implementing donor relations strategies, as well as a maturity and keen perceptiveness in understanding and building strong relationships with constituents from a wide variety of contexts and experiences with the organization.

3 Independent Action In this role there is an expectation to be able to work with minimal supervision in implementing the donor relations strategies and activities after they have been developed and determined. Initiative and Ingenuity The successful candidate is expected to be comfortable relating to various donor segments and through this process, contributing creative ideas to internal discussions regarding relationship building tactics and activities that could be implemented. Communication/Interpersonal Skills Collaboration with various colleagues on the provincial CDR team and members of the MCC Canada donor relations team to implement strategies. As well, strong interpersonal skills and maturity are required to build relationships with service workers, alumni, volunteers and a wide range of donors to assist in deepening their understanding of the importance and impact of their commitment to the organization. Challenges Working in a busy department with an integrated approach to supporter engagement requires flexibility and diligence as timelines, daily priorities and the schedules and priorities of colleagues may shift frequently. There are times when the CDR department is extremely busy and times when due to opportunities presenting themselves, the workload is not evenly distributed. End Result This position will contribute toward the implementation and execution of donor experience best practice strategies and activities and the development of relationships with constituents. The resulting increased engagement of various segments of the constituency will strengthen constituency commitment and understanding of the importance of all types of support. Major Responsibilities 45% - Coordination/implementation of donor lifecycle experience for supporters 40% - Coordination/implementation of relationship development strategies 15% - Administrative tasks Donor Experience Tasks (45%) Coordinate the cultivation and stewardship components for a large donor base, ensuring timely solicitation, thanking, reporting and engagement for donor segments including new, mass, middle, disaster, loyal, monthly, seniors, tribute and legacy. This includes liaising closely with provincial colleagues and MCCC staff to coordinate efficient and effective breakdown of centralized and provincial execution.

4 Execute appeal preparation and mailings for all donor segments, including vetting of relevant reports and lists in conjunction with MCCC staff. Working with MCCC, determine the impact reporting priorities for various segments of donors and coordinate the process for the timely distribution of centralized reports. Thank donors through a stewardship process involving phone calls, note cards and personalized s, as well as supervise volunteers involved in this executing this process. Run reports and pull/import data segment lists from donor database as required. Evaluate results of existing procedures and assist in making recommendations and developing new strategies that ensure the strong ongoing stewardship of donors. Assist in coordinating and planning of donor impact presentations and participate in small events with various groups of supporters, including alumni, young adults, families and seniors. Utilizing available internal resources, assist in the creation and customization of donor proposals, reports and presentations. Provide support for the cultivation and stewardship of major donors as necessary. Relationship Development Tasks (40%) Coordinate the implementation and reporting of results for a strategy to engage Hutterite colonies in the work and mission of MCC, including participating in some presentations and visits as required. Assist in developing and implementing a strategy to engage alumni in the work and support of MCC in a variety of ways including opportunities for their involvement such as giving presentations, liaising with donors, volunteering for centennial campaign and celebrations, and promoting MCC initiatives in churches. Coordinate the implementation and reporting of a strategy focused on stewarding supporters involved with Canadian Foodgrains Bank projects and work closely with key colleagues involved in execution. Assist in developing and implementing a process of recruiting, engagement, stewardship and training of volunteers in various roles in material resources and donor relations (administration and constituency outreach). Implement a stewardship process of relationship-building and engagement with MCC international workers from various programs. Administrative Tasks (15%) data entry, tracking and reporting of quantifiable results

5 scheduling meetings writing summary/debrief reports responding to requests from donors and providing support on the donation phone line Team Participate as a member of the CDR team in regular department meetings, offering input, feedback, suggestions and ideas to help achieve department goals and occasionally lead devotionals. Participate in quarterly CDR network meetings, annual meetings and ad hoc working group meetings as required.
