3 Driving strategic value from the HR organization Arshiya International Ltd. is a Unified Supply Chain Infrastructure and Solutions Group headquartered in India. The group currently envisages the phased investment of approximately US$1.6 billion toward creating pioneering, state-of-the-art unified supply chain infrastructure across strategic locations in India. The group employs over 1,300 employees across 52 locations in India including Free Trade and Warehousing Zones (FTWZs); Domestic Distriparks; rail and rail infrastructure; forwarding, transport, and handling; and supply chain technology and management. With the scale and diversity of its 24x7 operations, Arshiya had developed robust HR management processes around each of its business unit s needs. As a result, the HR organization was managing multiple HR systems and running semiautomated processes that required significant manual effort and resources and could not scale or deliver company-wide reporting. Working with Arshiya s internal IT team, the HR organization identified the need to increase productivity and scale across its services by standardizing and automating all HR functions. It decided to partner with SAP to develop a scalable technology platform to end duplicate processes and dependency on individual employees to complete transactional HR requests. To achieve these efficiencies, the IT team opted to integrate its SAP ERP application backbone with SAP ERP HCM as well as a warehouse management solution from SAP, enabling Arshiya to leverage one integrated technology platform. With fully automated HR requests, self-service delivery, and real-time reporting, Arshiya s HR organization could increase its strategic value and support the firm s vision to transform logistics in India. 3

4 Delivering world-class HR services with an SAP solution Supported by Arshiya s executives, the internal IT team set about centralizing the organization s HR management processes by implementing SAP ERP HCM across its group of companies. The team fully standardized employee administration, organizational management, onboarding, time management, payroll, performance management, and reporting. Major goals for the HR transformation were to insource payroll services and improve the company s arduous onboarding process. With SAP ERP HCM, the IT team streamlined these processes to provide 24x7 access to payroll and the employee self-service (ESS) portal. This helped new employees settle in and become more productive from their first day on the job. New processes were also set up to optimize the company s performance management and support Arshiya s people during every phase of their employment. Employee reviews and appraisal processes were standardized. ESS functionality was configured to provide employees with on-demand access to transactional HR services without the need for HR support. Other ESS functionality now allows Arshiya s employees to readily access and update personal data, such as home address and bank accounts, as well as submit leave requests and get payroll information. With numerous business units and support divisions, the IT team had to manage a number of localization issues. Specific, though minimal, customization was required for onboarding processes before the model could be replicated across the country. For instance, particular changes were required for India s first FTWZ at Panvel, Mumbai, and the country s largest unified logistics hub at Khurja (near Delhi) comprising an FTWZ, a Domestic Distripark, and India s largest rail terminal. 4
