1 BT Flexible Working Services Making Flexible Working a Reality

2 Flexible working the challenge of implementation The business case for flexible working is widely proven. Flexible working delivers multiple benefits, tangible and intangible. It can help increase productivity and employee retention, reduce costs and build a more sustainable organisation. Additionally, flexible working practices enable you to continue to operate throughout travel disruption, seasonal pandemics or other major incidents. The technology that underpins flexible working is robust and secure. Fixed and wireless networks around the world ensure almost universal connectivity for your employees and high level security solutions protect your data and applications. The economic downturn is accelerating the adoption of flexible working. The Confederation of British Industry reports that working from home has soared in popularity with two thirds (66%) of UK employers making use of it compared with 46% recorded in And according to Forrester Research, 73% of enterprise employees will be mobile by The message is very clear: flexible working is fast becoming the norm and those organisations without it will struggle to remain competitive. The hard part of introducing flexible working is not making the business case or finding the right technology. The hard part is making the cultural, behavioural and environmental changes that flexible working requires; leadership from the very top is essential. How will your people respond to the opportunity? How do you manage remote employees? What are the health and safety and duty of care implications when people work from home? How do you support employees when they are working away from your office? BT Flexible Working Services provides the answers to all these questions, helping you address the people, process, IT infrastructure and property issues that underpin successful flexible working. Our tried and tested methodology enables you to prove the idea of flexible working before you roll it out across your organisation and confidently make the leap from pilot project to full-scale implementation. Drawing on our own experience as a leading practitioner of flexible working, we will make sure that your flexible working programme is driven by the needs of your business and your people and delivers the benefits you want. BT Flexible Working Services form part of Work Anywhere, the BT portfolio of mobility solutions and services which enable your organisation to implement a flexible and mobile working strategy and help your employees to work effectively, wherever they are. Developing the right framework for your organisation BT Flexible Working Services includes four interlinked solution areas, all of which are underpinned by defined consultancy services to assist in development and deployment: BT Workstyle Managed Services to introduce the culture, process and practicalities of flexible working. BT Managed Broadband Services to provide a broadbandbased office at home for your home-based employees. BT Intelligent Buildings to intelligently manage your building infrastructure. BT Learning Solutions to introduce e-learning, so that you can provide training for your employees cost effectively. In 2009, following a competitive tender, Heinz appointed BT as its global service provider under a seven-year contract. Heinz also engaged BT to provide a fully managed flexible working solution, using the BT Managed Broadband Services portfolio. BT has removed the costs and risks of trying to manage the technology ourselves. In fact, in one particular team 17 per cent of the people resources have been freed to focus on tasks that add real value. Allan Jackson European Telecoms Manager H. J. 3 BT Workstyle Managed Services You get the most benefit from flexible working when a majority of your employees choose to work this way. But the introduction of flexible working can be a major cultural change - and challenge. BT Workstyle Managed Services brings together the expertise and systems you need to address the people, property and process issues around flexible working, including support for home-based, mobile and in-office employees. This approach can significantly reduce the time and energy you need to set up flexible working, with robust, scalable processes which eliminate much of the day-to-day administration of implementation. Our aim is to make flexible working as simple as possible by paying great attention to the details. So we help you make sure that employees working at home have a safe and secure environment, not only all the right furniture, equipment and supplies that they would have in the office but virtual phone numbers and addresses to protect their privacy. Employees might need to alert their mortgage and insurance companies and so we provide template letters for this purpose. Little things such as home stationery packs make all the difference you don t want employees coming into the office to raid the stationery cupboard and carrying heavy packs of paper home, for example. BT Workstyle Managed Services also supports the cultural, human resources, contractual and legal changes that underpin flexible working such as the introduction of management by objectives. BT Workstyle Managed Services is unique. Directly derived from the systems, expertise and support that underpin our own renowned flexible working programme, it has been used to successfully introduce flexible working for a wide range of customers and environments in both the public and private sectors. BT Flexible Working Services A Business-Led Approach BT Managed Broadband Services To introduce home working successfully, employees need a broadband connection so they can access data and applications at any time. But managing the provision of these multiple, individual broadband connections could overwhelm your IT department. BT Managed Broadband Services removes that burden by providing users with a self-service approach to ordering corporate strength broadband connections. With a high degree of user choice and support, BT Managed Broadband Services empowers your homebased employees at the same time as leaving you in overall control of costs. BT Managed Broadband Services provides much more flexibility than a regular broadband service, with specialist end-user helpdesks as well as end-user fulfilment, a range of billing models and the ability to link several elements into a single service structure. For example, it might include provision of voice lines to the home as well as broadband access, or even furniture for the home office. With a named service manager and project managed roll-out or transition, BT Managed Broadband Services provides a corporate grade service for your home-based employees. BT Intelligent Buildings BT Intelligent Buildings will help you to reduce your property management expenditure by automating and centralising your building control systems to give you more control over the operational costs of your estate. Using the same IP (Internet Protocol) network that supports your corporate communications network, BT Intelligent Buildings not only lets you manage building control systems but also integrate and manage resources such as shared desks, touchdown facilities and meeting rooms across your property portfolio from a single point. BT Learning Solutions Our approach to delivering learning helps you get the best out of your people in a cost-effective way. Everything we provide, we use ourselves and is behind some of the largest e-learning programmes in Europe. The key to a successful learning programme lies in combining different learning styles such as formal, informal and social learning. Individually, these can have limited value but in our e-learning solutions, we bring these different styles together. BT Learning Solutions can save you training costs, it can remove duplication and make sure training across your organisation is consistent; and it can speed up the rollout of training and skills development for your employees. 3

4 How it works BT Flexible Working Services delivers tried and tested systems and methodologies which tackle all of the tangible and intangible issues associated with flexible working. With a set of practical, working systems and processes that we tailor to your organisation, our approach is more cost effective and rapid than implementing a bespoke or consultancy-led solution. Having introduced flexible working into more than 30 organisations, we can create a fully working programme (which addresses all cultural, HR, IT, property and health & safety issues) in a few weeks and widespread flexible working in just a few months. Our experts will help you set up the policies, procedures and methodologies that will deliver then quantify the benefits of flexible working. They will then help with a structured rollout, both managing the process and by working closely with your department heads and teams to show how flexible working can work for them. By addressing the whole range of work styles in your organisation, we can maximise adoption of flexible working, from home enabled working through to desk sharing. This approach lets you prove flexible working and then implement across your organisation at your own pace. The introduction of flexible working changes your duty of care obligations as an employer. Of course, you need to ensure a safe home office environment for employees and maintain compliance with health and safety and other legislation. Our specialists will help you address these issues and provide a safe, efficient and pleasant working experience for all your flexible employees - mobile, home-based and office-based. Scale is key to realising the benefits of flexible working. So in addition to delivering a fully scalable flexible working model, we will work alongside you to make sure that you have the management information you need to evaluate, refine and further extend the programme across the organisation. Agile working means I spend a great deal less time travelling and have more time to work productively. It is also changing my work-life balance for the better. Patricia Strong Procurement Manager North Wales Police Tangible, measurable, deliverable Thanks to the strength of our methodology, extensive set of services and practical experience, BT Flexible Working Services will enable you to implement flexible working more quickly and effectively than tackling it yourself, or using a consultancy approach. There are six good reasons to choose BT Flexible Working Services. We will help you to: 1. Accelerate the introduction of flexible working - by tailoring our proven methodology to your organisation, we can help you to launch a company-wide programme in just a few weeks. All the accumulated benefit of our experience, methodology and expertise will help you eliminate obstacles and accelerate the adoption of flexible working. Our approach puts you in control, enabling you to roll-out flexible working in a fully scalable way. 2. Reduce the risk of implementation - the do it yourself approach to flexible working requires (a) single-minded focus that may divert you from your core business and (b) a range of specialist skills that are hard to recruit. BT Flexible Working Services provides you with a low-risk implementation model that allows you to keep your organisation operating effectively at every stage. 3. Achieve the critical mass that delivers benefits - unless a significant percentage of your people working flexibly, you will be unlikely to see the real benefits. The BT methodology not only supports and encourages home and mobile working but also flexible working within your offices. We have found that it is often this type of flexible working culture produces the greatest return. 4. Deliver consistent employee support - with our hosted services and end-user support, your remote employees enjoy the same high level of assistance and provision as their office-based colleagues. The BT Workstyle user portal provides a whole range of self-service capabilities to keep your employees happy. 5. Fully execute your duty of care to employees - our knowledge and processes will ensure that you comply with all relevant employment and health & safety legislation, and fully execute your duty of care to remote employees wherever they are working. 6. Reduce operational costs - thanks to flexible working, BT has reduced its own property portfolio by more than 40%, saving us 750 million a year on property maintenance costs. We will help you to manage and reduce your own property estate costs. Minimising face to face meetings and travel will also contribute considerable savings. 4

5 In addition, you will also benefit from the generic business improvements that flexible working delivers, including: More productive employees - you will improve productivity by giving people more opportunities to work when they want at home, on the move, outside traditional office hours - and to continue working in spite of disruptions to public transport or other uncertainty. Our experience shows that people who work at home are on average 20% more productive than their colleagues in the office. Flexible working can also open up the organisation, enabling teams to work more effectively together, sharing knowledge and best practice. Greater corporate resilience - flexible working enhances corporate resilience and business continuity. Indeed, for many organisations, the capacity to maintain operations through flu pandemics, major incidents or severe weather is the principal business driver for flexible working. Improved corporate and social responsibility - fewer buildings and fewer journeys to the office will all contribute to reducing carbon emissions. Our experience is a 50% reduction in the carbon footprint for home-based employees. In addition, flexible working will help you to widen the pool of talent available to you, increase the diversity of your workforce and comply with local employment legislation. BT s commitment to flexible working has contributed to our rating as world s top telecommunications company in the Dow Jones Sustainability Index for the last eight year. It was crucial for our clients, our people, and our reputation that we should get this right first time BT teamwork in providing the tools and processes, and sharing their experience all of which we were lacking was the key.
