1 HOW TO COMPLETE A JOB ANALYSIS QUESTIONNAIRE (JAQ)

2 Objectives To give information to post holders on how to complete a JAQ for evaluation purposes To identify where to obtain help when completing a JAQ To clarify the role of the job analysts

3 What is a JAQ? If there is no national profile for a job, then a JAQ is completed by the post holder The JAQ will contain all the information necessary to evaluate a post locally JAQ covers 16 factors under JES Information clarified in JAQ by job analysts in partnership pair Amendments agreed to JAQ and forwarded to evaluation panel

4 Role of the Jobholder in evaluation Jobholder knows more about their job than anyone else Acts as a source of comprehensive and accurate information about the demands of their job Emphasis on job not the jobholder Important to take time to complete the JAQ as fully as possible

5 Completing a JAQ Experience suggests that it is a good idea to read the Questionnaire but not to start completing it straight away Opportunity to think about the questions while carrying out the job Helpful to jot down examples as they occur

6 Completing a JAQ JAQ requires factual information and examples JAQ does not ask jobholders to assess their own jobs or put value judgements on the demands of their jobs Information should be clear and concise Bullet points or numbered statements are preferable

7 Completing a JAQ JAQ considers all the duties you are required to do Think about your typical working week If your job varies from week to week, refer to your diary when completing the JAQ to help list your duties (go back over last year) Avoid jargon and initials Explain your job as if to a visitor or new starter to your area of work

8 Supporting documentation When completing a JAQ might be useful to refer to job description and person specification for the post Organisation chart Induction materials (if they include any description of the work)

9 Completing a JAQ After post holder has drafted out the JAQ, may wish to consult their supervisor, line manager or colleagues on what to include or what would be good examples of particular job features JAQ has to be agreed between the post holder and their line manager

10 Where to get help with completing a JAQ? Recommended to talk to others who know about your job when completing the JAQ Speak to colleagues who do a different job but work closely with you Speak to colleagues who do the same or similar job to you Speak to staff representatives for your area of work Speak to your supervisor or line manager

11 Completing a JAQ If there are questions which you do not understand or cannot answer on the JAQ, these can be resolved with the job analysts during the job analysis interview JAQ does not consider how well you are performing your job but the demands of the job

12 Completing a JAQ Ensure all sections are completed (with examples where relevant) Check information is consistent from one section to another Check that there is no unexplained terms or initials Should be clear, concise, complete true picture of the role

13 Completing the first pages Purpose of first pages is to give the job analysts and evaluators an overview of the job Provides a pen portrait of the work Framework and context for the individual 16 factors Reference point for later sections Consistency check for other information

14 The role of the Job Analysts To ensure that the JAQ is produced to agreed standards To ensure that all parties are satisfied with the Job Analysis process To check and test the information provided by the jobholder to ensure accuracy and clarity

15 Purpose of the job analysis interview Ensure that full and accurate information available to job evaluation panel Provide an opportunity for the jobholder to explain their job and be asked face to face questions Increase understanding between those involved jobholder, line manager, staff side rep, job analysts and evaluators Allow information to be clarified and checked
