This role is instrumental in our ability to deliver on our charitable activities For further information regarding YMCA Victoria, please visit Departmental Overview The YMCA Victoria Finance Department currently looks after an organisation wide turnover of over $190m. Its strategic goals are aligned with goal 4 of the organisations overall Vision 2020 which is to Build a thriving, prosperous, safe and sustainable Y. The vision of YMCA Victoria Finance is to become a trusted and respected strategic business advisor and their purpose is through leadership and expertise to build a financially sustainable and independent YMCA Victoria. Description Payroll is a component of the transaction processing finance function. This process looks after over 6000 employees and is responsible for ensuring employees are paid on time and in an accurate manner. It is also responsible for ensuring organisation wide policies with regard to safeguarding of children etc. are followed through.

2 Position Summary Classification / Grade: SS 6 Employment Status: Full Time 12 month contract Minimum Qualifications: Minimum of 3 years payroll experience in a similar role Main purpose of this role is to ensure employees are paid accurately every fortnight and to assist in the development of sound payroll processes. Key Relationships Position reports to: Payroll Supervisor Key internal relationships: Liaising with payroll directors/administrators within the centres Working with the rest of the payroll team Liaising with Chief Finance Officer, Treasurer, Financial Controller, Finance Services Manager and their respective teams Liaising with the People and Culture team Liaising when the need arises with other areas of the organisation including Marketing, OH&S, Learning and Development and Governance Key external relationships: Liaising with super funds (Host plus superannuation and quick super clearing house) Liaising with salary packaging providers Liaising with legislative authorities, NCHRC, ATO and other government agencies Liaising with payroll software providers

3 Key Deliverables and Accountabilities 1. Ability to understand and correctly interpret awards that govern YMCA Victoria employees within the different industries that we operate in 2. Keep abreast of relevant legislation changes e.g.; employee vs contractor, superannuation, tax legislations 3. Assist in the development and maintenance of policies and procedures and ensure its adherence on a consistent basis 4. Provide leadership and guidance to centres filling in payment summaries and letter of offer to ensure that information entered is accurate and in a timely manner 5. Ensure accuracy and complete attention to detail in the entry of the fortnightly payroll process 6. Accuracy in calculating and reconciling all leave and termination payments 7. Assist and co-ordinate the end to end payroll process of all the YMCA entities including generating reports, audit check, workers compensation payments and end of month superannuation submission 8. Management of rejected wages and retransmission including log administration 9. Ensure accurate transmission of payroll through EFT, pay as you go tax through EPS, superannuation through the relevant funds. This should be carried out accurately and in a timely manner 10. Maintain administration of ADP and ensure records are kept up to date 11. Co-ordinate and maintain manager package calculators and implement changes to the remuneration packages accurately 12. Processing of fortnightly, monthly and ad hoc reports 13. Dealing with queries from staff and managers in a timely and professional manner. This should be within 24 hours. If unable to do so in 24 hours communicate the more applicable time frame 14. All filing relating to monthly and fortnightly reports including maintenance of all report folders for administration 15. Conduct national criminal history record checks in accordance to the guidelines in the YMCA Human resources manual 16. Complete other duties as required

4 Key Challenges This will be to ensure all employees in YMCA Victoria receive their remuneration on time and in an accurate manner in line with the award they are employed under with either no or minimum missed pays and overpayments. Cooperate with the YMCA with regard to caring for the environment, by acting in a sustainable way and minimising YMCA s environmental impact by adhering to the organisations policies, procedures and work practices. 5 Knowledge and Experience Strong communication skills Strong knowledge of ADP payroll software Excellent knowledge of MS Excel Minimum of 3 years payroll experience Conditions of Employment The successful applicant will be subject to a Police Records Check.
