1 POSITION DESCRIPTION Team Position Title Reports to Project Office Project / Change Manager Manager, Project Office Role Summary Purpose of the Position Your position works principally within the department or service specified above, however you may be required to undertake duties in other areas of the organisation which promote the efficient and effective operation of Whanganui District Health Board which reasonably fall within the general parameters of this position. Primarily the implementation of : Regional Clinical Portal Phase 2 Clinical Portal Forms webpas Phase 2 within WDHB using effective project and change management processes. Supporting the Manger, Project office with the delivery of key regional and local projects. 3 My role responsibility This role is primarily accountable for the project and change management for the implementation of the following regional applications within WDHB : Regional Clinical Portal Phase 2 Clinical Portal Forms webpas Phase 2 Supporting the Manger, Project office with the delivery of other key regional and local projects. Key Performance Indicators Key Accountabilities Tasks (Key areas of your focus) (How you achieve) Delivery of Projects Successful project completion on time, within budget within agreed variances and specifications; with no major unresolved issues outstanding Responsible for the coordination and direction of resources assigned to the project Chair meetings specific to the delivery of the project artifacts Initiates relevant working groups to support regional working group in the development of requirements for identified functionality. Lead regional application functionality assigned to WDHB Manage the implementation off the new functionality. Performance Indicators (How you will be measured) Compliance with WDHB project management methodologies Timely and accurate status reporting which defines progress, identifies risks and issues with strategies for their mitigation/resolution. Project documentation is complete and of a high standard Project resources utilization results in project being delivered on time Project progress against schedule and budget is on time with proven actions initiated when required Issues are identified, managed and escalated appropriately Project is delivered within timelines Working groups agenda s, minutes and decisions recorded. Management of key stakeholder relationships Undertake a detailed stakeholder analysis to understand all levels of stakeholders Develop a communications plan using all forms of communication to reach all stakeholders Demonstrates a sound understanding of the customers, their business and requirements Evidence of strong working relationships with key business and ICT staff to achieve project outcomes requirements Project / Change Manager Page 3 of 7

4 Develop an understanding of the business requirements Develop a strong working relationship with key stakeholders. Change Management Integrate change management functions into the project plans Work with clinicians to facilitate clinical pathways and protocols where applicable Identify key business and system processes within the organisation and identify how they will change Ensure process, tools and techniques are in place to assist the adoption of the new functionality Conduct organizational readiness assessments Continually assess progression of change readiness by stakeholder groups and refine or supplement the change management plans as required. Reporting Provide weekly status update on project and change management to Manager, Project Office for inclusion in steering group report Fortnightly reporting on issues Wellbeing, Health and Safety and risks. Comply with all safe work procedures, policies and instructions Report all incidents hazards and injuries to Manager, Project Office in a timely manner. User and key stakeholder feedback indicates satisfaction with project development, progress, completion, and associated communication. Change management plan is aligned to project plan Relevant processes are mapped, gap analysis documented, singed off and implementation plan completed Organizational readiness assessments completed and acted on Positive acceptance of new functionality by users Communication plan includes change management functions and plans. Reports are provided on time and in the format requested Completed the WDHB Health and Safety Orientation Timely, full and accurate completion of accident and hazard forms if and when required. 5 My Capability & Personal Qualities To be effective and succeed in this role it is expected that you will have the following proven capabilities: Project management experience in a leadership role IT related project management experience understanding of Lean or other service improvement methodology will be advantageous experience of managing teams of staff with varying experience and knowledge. sound knowledge of the principles of people management with an understanding of the importance of encouraging team work and motivating others. good general computer skills (Microsoft Project, Microsoft Office, etc.) experience of health sector ability to manage Project risks, issues and implement subsequent changes including the change process and costing of the changes. pragmatic sound judgement, and curious nature ability to build rapport quickly; networking to maintain and develop effective working relationships commitment to the development of a customer service culture uses verbal and written communication skills effectively, listens actively and shares relevant information builds a logical approach to address problems or opportunities or manage the situation at hand by drawing on own knowledge and experience base and calling on other references and resources as necessary makes the best use of time available, allocating the right time to the right activities, assigning priorities to tasks based on an understanding of importance and urgency requirements accepts full responsibility for self and contribution as a team member; displays honesty and truthfulness; confronts problems quickly; displays a strong commitment to organisational success uses initiative to identify what needs to be done and takes action to achieve standards of excellence beyond job expectations works effectively in partnership with others, maintaining a positive open and objective attitude towards others in achieving objectives actively addresses conflicts by focussing on the issues at hand to develop effective solutions when disputes or disagreements occur demonstrates an open-minded approach to understanding people regardless of their gender, age, race, national origin, religion, ethnicity, disability status, or other characteristics; treats all people fairly and consistently; effectively works with people from diverse backgrounds by treating them with dignity and respect commitment to the Treaty of Waitangi and Whanau Ora principles a valid driver s license Prince 2 or other project management qualification would be advantageous but not mandatory good knowledge of the health sector will be advantageous has a strong bias for action and making things happen in a pragmatic and effective way comfortable with ambiguity and managing the complexities that come with having both functional and operational leaders. 7 Hearing and speech sufficient to communicate with clients and co-workers enabling direct and telephone, communication and hear emergency alarm. Manual dexterity sufficient to file and retrieve records, operate computer and use clerical items such as a pen and scissors. Ability to stand, walk, sit, stretch, twist, bend, climb, frequently lift / move weights up 15 kilograms and infrequently lift / move weights over 15 kilograms. Ability to move about the Wanganui Hospital and throughout Whanganui District Health Board Campus to undertake the necessary duties of the role. Ability to undertake repetitive activity throughout the day including filing and retrieval of records at low and high levels as well as some computer data entry. Visual to read accurately, write/record, use computer, enabling accurate performance of essential job duties.
