1 Managing Director Background Founded in 1901 the Whitechapel Gallery is a non-collecting museum of art and an educational charity. For over a century it has premiered worldclass artists from modern masters such as Pablo Picasso, Jackson Pollock, Mark Rothko, Frida Kahlo and Hannah Hoch to contemporaries such as Sophie Calle, Lucian Freud, Gilbert & George and Sarah Lucas. With exhibitions, artist commissions, collection displays and archives presented through ten galleries, education resources, art courses, a dining room and bookshop there is something free to see, year round. The Gallery is a touchstone for contemporary art internationally, plays a central role in London s cultural landscape and is pivotal to the growth of the world s most vibrant contemporary art quarter. The Whitechapel Gallery receives 40% of its funding from Arts Council England; it also raises 40% from trusts and foundations, sponsors and individuals; and earns 20% of its income from touring, consultancies, editions, publications, courses, gallery hires, the bookshop and catering. Role This strategic post is an exciting opportunity to lead the business, administrative, financial and operations planning of the Whitechapel Gallery. The Managing Director works closely with the Director and the senior management team, to deliver the mission and objectives agreed by the Board of Trustees. The role also involves maintaining good relationships with local organisations and with stakeholders. The Managing Director provides leadership for the following: Finance Director Finance and administration team (5 posts) Administration Manager Head of Commercial Enterprises Head of Operations Head of Visitor Services Accountability The Managing Director reports to the Director. 1

2 Duties and Responsibilities Strategic Planning Devising long term strategic organizational and business plans in dialogue with the Director and senior management team Oversight of the business, financial, administrative, legal and operational aspects of the Gallery Liaising with neighboring organizations on planning, access and environmental improvements Finance Leading the finance and administration team Having responsibility with the Finance Director and Heads of Department for the financial management of Whitechapel Gallery Liaising with the Investment Sub Committee on investments and investment policy. Personnel Overseeing and supporting the work of the Finance Director Overseeing the Administration Manager, who is responsible for personnel management. Supervision of staff and salary structures, pension scheme management, recruitment, conditions and development Monitoring employment policies to ensure that they meet with statutory requirements and adhere to best practice Providing staff leadership in support of the Director Policies Coordinating and reviewing policies, procedures, contracts, legal agreements, licenses and insurances. Managing and coordinating the Gallery s risk register and reporting it annually to Trustees. Managing the Gallery s insurance cover ensuring that it meets a risk/cost profile. Monitoring internal controls and disaster recovery planning with the Head of Operations. Operations & Visitor Services Leading Head of Operations who is responsible for maintenance, environmental sustainability, IT, security, health and safety and statutory obligations Leading Head of Visitor Services who is responsible for visitor experience, customer care and access policies Approving tenders for major building and equipment purchases Setting budgets and making strategic decisions on capital renewal expenditure Whitechapel Gallery Ventures Limited (Trading subsidiary) Leading Head of Commercial Enterprises who is responsible for publishing, editions, bookshop, catering and private hires Liaising with commercial partners running the Bookshop and Café ensuring quality services for visitors and the maximum commercial return for the Gallery 2

3 Managing legal, audit, insurance, and licensing requirements in regard to Whitechapel Gallery Ventures Limited With the Finance Director, presenting management accounts at the quarterly Whitechapel Ventures Limited Board meetings, and liaison with the Board as required Governance Acting as Company Secretary for Whitechapel Gallery and Whitechapel Gallery Ventures Limited Acting as secretary to the Finance Sub-Committee Attending quarterly meetings of the Board of Trustees, presenting managements accounts and strategic business plans Other Working with the Director and Head of Development in managing the Gallery s relationship with Arts Council England Representing the Gallery on relevant local committees and stakeholder groups and identifying beneficial and appropriate partnership opportunities Representing the Gallery externally including deputizing for the Director at external engagements on occasion Any other duties as may reasonably be requested by the Director or Board of Trustees 3

4 Person Specification Essential Inspirational leadership skills and the ability to clearly understand and articulate the mission of the Whitechapel Gallery. Proven, extensive and appropriate business management experience in a creative/arts and/or charity environment. Experience of managing relationships with organizations such as Arts Council England, Heritage Lottery Fund, local authorities, DCMS, Charity Commission etc. An understanding of and engagement with commercial activities including retail and catering. Personnel/human resources management experience. A working knowledge of management accounts and the production of Annual Reports. Business and / or law qualification or equivalent experience. A high standard of written English. First rate communication skills. Excellent IT skills including Word, Excel, databases, , Internet, PowerPoint and finance packages. Desirable Experience of working in a gallery, museum or comparable visitor attraction CCAB accounting bodies or ICSA, including Diploma, qualified or part-qualified Experience of managing capital projects Experience of managing operations including building management A record of achieving commercial success Experience of writing successful public sector funding applications 4

5 Conditions of work Full time permanent position Salary: Negotiable Hours of work: 9:30am 5:45pm Monday to Friday.
