3 1 DEFINITION Job sharing is defined as the voluntary sharing by two persons of all duties of an established full time post with the salary and appropriate aspects of conditions of service shared on a pro-rata basis according to the hours worked by each job sharer. 2 SCOPE OF THE SCHEME This scheme applies to full time, established posts which are covered by the SNCT terms and conditions of employment. Any employee who falls under the SNCT terms and conditions will be entitled to be considered for job sharing. Such applications will be considered on their individual merits and will be considered in line with Aberdeen City Council s commitment to equal opportunities and Smarter Working. 3 APPLYING FOR JOB SHARE Requests to be considered for job share should be submitted in writing to the Head Teacher at least 8 weeks prior to the proposed start date for the job share arrangement. Where it is considered that the job share arrangement cannot be accommodated, written reasons for this decision will be given. 4 ADMINISTRATION OF THE SCHEME 4.1 A post may be shared by 2 members of staff on a split day or split week basis, normally giving each member of staff an approximate 50% of the hours and duties of the post. 3

4 4.2 Sharing arrangements outwith this normal split may be permitted, subject to such arrangements being: (i) (ii) (iii) Without detriment to the fulfilling of the duties of the post By mutual agreement between the job sharers and In accordance with 3.3 and 3.4 below 4.3 All sharing arrangements will be subject to: (i) (ii) The approval of the Head Teacher and the appropriate Quality Improvement Officer in consultation with the HR Business Partner (ECS) The availability of a suitable and appropriately qualified job share partner 4.4 It will be the responsibility of the Head Teacher to ensure that an agreement that is acceptable to both the job sharers and that will meet the needs of service delivery has been reached on the hours to be worked (including overlap) and the division of tasks to be undertaken. The final agreement of the QIO will be required. 4.5 An overlap or some other liaison mechanism is essential; where there is an overlap period, this should be agreed with the Head Teacher and should be for an hour each week within the contractual 35 hour week. 4.6 The agreed division of hours will be incorporated into each job sharer s contract of employment, expressed as a percentage of FTE and based on a 35 hour week. 4.7 If one job sharer is absent from work, the remaining job sharer may be requested to cover for all or part of the absence, but will not be obliged to supply such cover. 4.8 In circumstances where the Head Teacher has identified concerns regarding the operation of the job share, and there is evidence that the job share is detrimental to service delivery, the Head Teacher can review the job share arrangement in consultation with the job sharers, their union representative(s), the QIO and the HR Business Partner (ECS). This may result in the job share being dissolved, with both job share partners being put on part time contracts of employment, or in the job share being reallocated. 4.9 When one job sharer terminates his/her contract of employment, the job share will be dissolved. The options open to the remaining job share partner are to be placed on a part time contract of employment or to request a further job share arrangement with a suitably qualified job share partner. Any job share arrangement will be subject to the requirements set out in this procedure. 5 SALARY AND CONDITIONS OF SERVICE 4

5 5.1 Salary will be paid on a pro-rata basis of the individual s salary entitlement and in respect of the hours worked. Incremental progression will be in accordance with the conditions laid down in the SNCT terms and conditions of employment. 5.2 Job sharers are advised to seek information on the effect of job sharing on their personal superannuation and pension rights directly from the Scottish Public Pensions Agency. 5.3 The conditions of service for job sharers will the same as the conditions of service for full time staff except in respect of hours, leave, class contact time and non class contact time where the following conditions will apply: (i) The hours of the normal working week will be divided between the job sharers as agreed under 3.3 and 3.4 above (ii) Each job share partner will work a pro rata share of the 190 pupil days and 5 in service training days (iii) Pro rata arrangements on the basis of the agreed hours will apply in respect of maximum class contact time, preparation and correction time, personal professional development, collegiate time and attendance at parents evenings. (iv) The entitlement to annual leave, public holidays and school closure days will be pro rata. In circumstances where the working arrangements result in a disproportionate share of holidays/public holidays between job sharers, the job share partners should agree alternative working arrangements with each other and with the Head Teacher to ensure an equitable apportionment. (v) Job share partners will be offered the same access to training opportunities as full time and part time staff. In order that the most effective use is made of training opportunities, job sharers may be requested to work full closure/training days and agreement should not be withheld unreasonably. Where job sharers agree to attend beyond their pro rata obligations, additional payment will be made. (vi) Job sharers may enter into a separate relief teaching contract with the Authority in addition to their permanent job share contract. 6 TRANSFER ARRANGEMENTS 6.1 Where a job share post becomes surplus to the entitlement of an establishment, the job share partners can elect to (i) (ii) transfer to another job share post in the Authority at the same grade transfer to part time posts elsewhere in the Authority 5

6 6.2 Where the selection process for transfer as set out in the Compulsory Transfer Procedure is applied, job share partners will be assessed individually. In such circumstances, should one of the job share partners be selected for transfer, the job share arrangement will be dissolved and the arrangements set out in paragraph 3.9 will apply. 6.3 Job share partners will be treated individually in cases where issues of conservation may apply as outlined in the SNCT scheme of conditions 6.4 For the purpose of calculating service, job share partners will be treated individually and appropriate conditions of the SNCT scheme of conditions will apply. 6.5 Job sharers who wish to transfer voluntarily to another post will normally be expected to do so as a job share partnership, but any requests for one partner to transfer individually to a part time position will be considered on its individual merits. Such a transfer will dissolve the job share arrangement and paragraph 3.9 will apply. 6.6 Job sharers remain eligible to apply for other posts within the Authority at any time. 6
