The HRS training curriculum that was developed by the project Training Team reflects this, as it is intended to address training for campus-level administrative staff. For UW-Madison we have had to repurpose elements of this training to address business processes in our divisions and departments. Our intent is to make the training match as exactly as possible the roles and responsibilities identified in the divisional Work Flow Project Plans of Action. However, there may be instances where the training provided includes information on a business process that specific departmental or divisional staff will not be doing when we go live with HRS. Wherever possible we will address this in the course of classroom training. Please be aware that this situation exists, and help us ensure that your staff understands the exact nature of their roles and responsibilities. -2-

5 UW-Madison HRS Training Plan for Divisions Training for Divisions has been informed by the Work Flow Project Plans of Action and specific training plans for individuals, depending on their identified roles, has been customized to specific needs as best as possible. In addition, Division Liaisons were delivered a template (see Appendix A. UW-Madison Human Resource System (HRS) Implementation Learning Plan, Division-level Staff) to support communication with division staff. 9 UW-Madison HRS Training Plan for Departments Some unique elements of the departmental training are: In order to create enough access for departmental staff at UW-Madison, two strategies will be used to ensure the availability of learning opportunities. We will use a department week approach for staff in the College of Letters & Science and the School of Medicine and Public Health (the format for these is at the end of this section); all other departmental staff have access to the courses that follow; and To be efficient and focused, training will be role-based and directed by the Work Flow Project Plans of Action, examples are the Task-Focused Modules. As with the training plan the Global Professionals and the training plan for the Divisions, the first three online course series are available to staff in departments. 14 UW-Madison Time Approvers Training for Supervisors/ Time Approvers Several types of training will be offered for Supervisors who need to approve time in HRS. Supervisors can attend more than one type of session if desired. The various formats are: Time and Labor Drop-in Labs for Supervisors: Subject Matter Experts will be on hand so supervisors can drop by when it is convenient for them to look at and approve actual time for their staff. Registration for these sessions is not required they will not appear on the OHRD Registration page. Time and Labor Demonstrations for Supervisors: An instructor will demonstrate time approval on screen for a large group of supervisors. There will not be associated labs or hands-on practice during the demonstrations. Registration is required. Time and Labor Scheduled Labs for Supervisors: These sessions will be a combination of demonstration and hands-on lab time for supervisors. The structure is a more familiar, traditional class. Registration is required. 18 Appendix A. UW-Madison Human Resource System (HRS) Implementation Learning Plan for Division-level Staff Introduction: This is your individual learning plan for the HRS implementation. It was developed based on your division s Work Flow Project plan of action. Your divisional plan of action identified one or more HRS roles that you will hold once the system has been implemented; these roles were then mapped to the learning that is appropriate for that role. A note on modes of training delivery: The HRS Training Team is using a blended approach to delivering HRS content to end-users of the system. Much of the training is being delivered via the intranet, using the Desire 2 Learn (or D2L) system: D2L uses self-registration to access HRS courses; to enroll, simply log into D2L, navigate to the self-registration page, and enroll only for the courses listed in your learning plan below. Instructions for logging into D2L and registering for HRS courses are attached to this message. Other courses will be delivered in a face-to-face classroom session. Due to limited space we are asking that you register for these courses on-line, using the Office of Human Resource Development s registration system. The registration links are provided below, next to the name of the face-to-face courses identified as part of your HRS curriculum. You are required to take: Hiring Using JEMS HR Essentials Payroll Essentials A note on the registration for these courses: We are offering two sessions of the Essentials courses for Madison staff; these are noted in the OHRD catalog as Session A and Session B. In turn, each of these classes is made up of a full-day of classroom instruction and a half-day of hands-on practice in the computer lab. You have two different options for when to take your lab, labeled Option 1 or Option 2 in the OHRD catalog. So if you are required to take HR Essentials, first register for either UW Madison Session A or UW Madison Session B and then register for one of the two lab options associated with that session (e.g. UW Madison HR Essentials Session B Lab-Option 2 ) UW-Madison will be using the Job and Employment Management System (or JEMS) to process new hires. We are therefore offering this classroom course: Hiring Using JEMS Other classroom courses, called HRS Module Essentials, will take the information from Fundamentals one step further by providing the opportunity for hands-on work that really tests and demonstrates the concepts learned in the Fundamentals. There are three HRS Module Essentials courses: Human Resources (HR) Essentials Benefits (BN) Essentials Payroll (PY) Essentials Depending on your role(s) in HRS you may not need to attend all these courses. We are therefore offering this classroom course: : Hiring Using JEMS HRS Task-Focused Module on Student Hiring HRS Task-Focused Module on Time & Leave Entry HRS Task-Focused Module on Funding A note on the registration for these courses: You will either register for Hiring Using JEMS or for one or more of the Task-Focused module learning opportunities. If you are taking Hiring Using JEMS, the information on Student Hiring, Time & Leave Entry, and Funding will be covered as part of that course. You do not need to take the Task-Focused modules as well. The Divisional Work Flow Plans of action identify some departmental staff as having roles that won t require the use of JEMS. In order to address the needs of these staff, we have developed three additional task-focused learning modules; these are classroom-based courses which replace the need to take the full Hiring Using JEMS course.
