1 CleanLink Payroll End of Year The Year End close down can be performed in Version or higher. However BEFORE running any calculations for Tax year 2017/18 please ensure that you are running Version or higher. If not please contact the support line on

2 NOTES: There are no major procedural changes to the PAYE year end processing however there are some key points to look out for 1) P60 The CleanLink Substitute P60 has been approved by HMRC for year ending ) Apprenticeship Levy This is effective from the first pay period after 6 th April and requires all employers with a pay bill over 3 million each year to invest in apprenticeships. Reporting for this will take place through expanded EPS submission functionality in Version See the release notes for further details. 3) Benefits in Kind Version includes increased functionality for reporting Benefits in Kind. See the release notes for further details. 2

3 Completion of current year: Before starting the year end procedures all pay cycles must have been completed and closed. Once this has been done it is necessary to file an EPS stating this is your final submission. Select Pay, > C. In Year Movements > E. EPS XML Creation. Enter 12/2016 for the period. On the next screen check the YTD totals and make sure these agree, make any adjustments to the this period figures if necessary. Once you are happy with the figures, tick the Confirm last EPS box, then ok. This will then complete the RTI EPS transmission. NOTE it is no longer necessary to complete the EOY questions that you have in previous years. 3

4 Clear down DO THIS BEFORE running any payroll in the new tax year. MUST BE DONE BEFORE OPENING ANY PAY CYCLE FOR THE NEW TAX YEAR: Clients using CleanLink payroll for the first time may need to do No.3 below. 1. Ensure you are using the correct version of CleanLink and the new Tax and NI tables are present. If you are Clearing Down before updating to Version the tables below will not yet be present on your system. Skip to No.2 and ensure that you update to version 6.0 before opening any pay cycle in 2017/18. The update you installed will have updated you to CleanLink version No Check this on the Home tab in the bottom left corner. The Tax & NI tables for the 2017/2018 tax year will have been installed during the above update. Go to Setups > 18. PAYE, NI & Staff Setups > NI/PAYE Parameters and check the tables are correct and match the following: Note - Multi Company users These files will have been copied to all your companies. If for any reason you were running non standard tables you will need to re-instate these Please call support. These tables also include the Scottish Tax Tables. Changes effective FROM 06/04/17 4

5 Go to Setups > 18. PAYE, NI & Staff Setups > NI Parameters and check the tables are correct and match the above: 2. Print any P45s due for the 2016/17 year. To date figures will be cleared down by the next routine. 3. Clear Down. Go to the PAY > E. Year End and Updates > C. Update Tax Codes and Clear Down. L codes have been increased by 50 M codes have been increased by 55 N codes have been increased by 45 If running in v M and N codes will need to be amended manually, use the Tax Code Report from PAY > G. Pay Reports > R. Tax Code Report to identify staff with these codes. In the Clear Downs box (the middle section of the screen) check all 5 boxes this is VERY important, it changes all: This Employment To Date figures to zero Wk1/M1 to No Prev P45 Gross/Tax figures to zero Last tax Wk/Mth No. to zero Contracted NI Classes no longer used These changes are preset in v If using v enter 50 for L codes and manually change M and N codes as noted above. Tick all 5 Clear downs. 5

6 4. Check the Default Tax Code (Emergency Code). Go to Setups > 2. Setups and Defaults > Defaults and ensure this is 1150L. Ensure this is 1150 At this stage your are now ready to continue with the new year 6

7 P60 Printing: Before you can print the P60 s it is necessary to create the P60 history file. This is completed by selecting Pay, >E.Year End and Updates, >A. Create P60 History File. The first stage of this is to run a staff check to confirm all staff have valid details. This should default to 2016, select OK. Any problems will be reported and must be cleared before the P60 History File can be created. Once no errors are found you will be given the following options: These are the correct entries This selection is used to change the print order of the P60 s only. Clicking Yes, Proceed creates the P60 History file for the selected year. 7

8 Once the History file is created go to Pay >E.Year End and Updates, >D. Print P60s Enter a cycle number or use * for all. Selecting Output to Portal will send all to the CleanLink Portal. Selecting Send by will send an P60 to all staff with Payslip method . All others will be printed. This can be done at any stage after the completion of the current year above. Our recommendation is that you use either our substitute P60 or the P60 Only documents - look at this web site As the HMRC P60s are a one size fits all you will need to set the offset to ensure that the figures appear in the correct boxes. All printers differ but most need to use a figure of 12 to get the fit about right. It is not necessary to add an offset for the substitute P60 s. 8
