2 The Person Qualifications Certified Practicing Accountant or Chartered Accountant (working towards would be accepted) Skills and Experience Bachelor of Commerce (or equivalent) with Accounting Major 2-5 years experience in a finance role post-graduation Sound technical accounting knowledge, particularly in Australian Accounting Standards Demonstrated experience with policy and procedure development including a sound competency in written communication Intermediate to Advanced Microsoft Excel skills Prior experience as an administrator of accounting and payroll software (eg Xero and PaysOnline) is advantageous Previous experience or exposure to processing payroll, superannuation legislation and salary packaging would be highly regarded Exceptional interpersonal skills, a collaborative style and ability to communicate effectively at all levels Excellent time management skills Self-starter with the ability to thrive in a small team Natural aptitude, resilience, flexibility and alignment with the Foundation s values Job Purpose Primary purpose of role To enable and support core business functions by providing efficient and effective financial and management accounting services in an accurate, timely and relevant manner. Key Responsibilities Financial Accounting Prepare the annual financial statements, in accordance with Australian Accounting Standards, ACNC requirements and State Government regulations including the Financial Accountability Act, under the supervision of the Chief Financial Officer Support the Chief Financial Officer in the conduct of the interim and final external audit by taking the lead in coordinating audit requests between the auditors and Foundation staff and preparing and providing work papers and other documentation as requested by the auditors Prepare general ledger reconciliations with supporting documentation to ensure the integrity of all balance sheet general ledger account balances and as required income (eg imis/xero) and expenses (S&W/PaysOnline), at financial year end Assist with the preparation of the Annual Report in relation to financial information and graphics, and coordinating the provision and inclusion of the audited financial statements 2

3 Management Accounting Prepare financial returns for fundraising raffle audits and coordinate with auditors and fundraising managers to complete audits and returns within required timeframes Ensure bank reconciliations are prepared for all bank accounts on at least a monthly basis, including supervising the entry of bank deposits by the Finance & Administration Officer. Reconcile donation receipts with deposits including ongoing review and implementation of processes to ensure accountability of donor receipts. Provide financial input into the Special Purpose Donation / tied funding receipt process Maintain the fixed assets register, process monthly depreciation and ensure disposals are appropriately authorised and processed Provide financial information to managers to help support business activities and assist with processes and procedures relating to monitoring of balances and payments, particularly where activities utilise additional software programs Assist the Chief Financial Officer with the development of financial policies and procedures Support the Chief Financial Officer in the administration of the Financial Management System Conduct month end procedures including: - Coordinating cut-off of receipting with the Supporter Services team - Preparation and processing of journals - Providing reports to managers and coordinating report notes and quarterly reforecasts - Supervising the Finance & Administration Officer with cut-off of payables, credit card transactions and other payables related transactions - Prepare general ledger reconciliations with supporting documentation to ensure the integrity of general ledger balances on a quarterly and / or monthly basis as agreed with the Chief Financial Officer Prepare and provide accurate and timely monthly management reports (including Profit & Loss Statements, Balance Sheet, Cash Flow, Project and Capital Report, Payment Report, Consultancies Report) as required by management, Finance, Audit & Risk Management Committee (FARM) and the Board Prepare and complete Australian Tax Office returns (eg BAS, IAS, payment summaries, etc) Assist the Chief Financial Officer with preparation of ad-hoc reports for funding provided to the Foundation Liaise with banks to manage bank accounts, credit cards, investments and term deposits Assist with the administration of user administration and permissions with financial institutions (in line with policies and procedures) Support the Finance & Administration Officer in the efficient and effective processing of Accounts Payable (including GST coding) and provide back-up as needed 3

4 Coordinator the preparation of annual budgets with managers under the supervision of the Chief Financial Officer Provide ad-hoc reporting support to the business and budget holders to support strategic and operational outcomes, including Telethon and other campaigns. Payroll Prepare payroll (end to end) for approximately 50 staff for review by the Chief Financial Officer including: Advice and Compliance Work Health & Safety - Review of set up of new employees by Human Resources - Process fortnightly salaried and casual payruns - Process salary package set up and changes as advised by external service provider, ensuring appropriate tax deductions for employees with HECS/HELP debts - Calculate and process termination payments - Calculate and process back payments as required Provide salary package calculations for prospective employees as requested by the Director of People & Culture Assist the Director of People & Culture in the review and calculation of annual pay increments Reconcile, lodge and process payments for monthly superannuation contributions Prepare and send out group certificates and lodge annual PAYG return with ATO Prepare journals to recognise the provision for annual leave and long service leave (adjusted for changes in pay rates, leave taken, new employees, etc) in accordance with Australian Accounting Standards Assist in the design, implementation and training in new or updated financial systems, applications, processes or policies, Consult internally with stakeholders to ensure ongoing improvements in reporting processes and outputs are meeting stakeholder requirements. Provide general finance support and advice across the Foundation escalating any high level issues to the Chief Financial Officer or as required Assist in project work as required Assist the Chief Financial Officer in the overall finance and office management requirements of the Foundation Any other duties and responsibilities as directed by the Chief Financial Officer. Other Considerations The is committed to child safety. The Commission for Children and Young People Act 2000 (QLD) requires that people who work with children in certain categories of employment undergo the working with children check. All Foundation employees must be eligible for a Blue Suitability Card, issued by the Department of Justice and Attorney-General. The issue and maintenance of a positive suitability notice could be a requirement for continued employment at the Foundation. 6
