1 ALUMNI RELATIONS MANAGER FURTHER PARTICULARS The Alumni Relations and Development Office Trinity s Alumni Relations and Development Office (ARDO) engages with the College s 15,000 alumni through a varied number of events and initiatives. Last year the ARDO ran over 50 events in the UK and overseas ranging from reunion gatherings to major research talks in London, and bespoke stewardship events for donors. The office produces several significant print publications each year, and increasingly communicates with alumni through electronic newsletters and s. The Alumni Relations programme is well established but presents further opportunities to grow, and the wider team includes a Deputy Director of Development, two Major Gift Officers, an Annual Fund Officer, a Database and Gifts Coordinator, and further administrative support. We are now recruiting for an Alumni Relations Manager who will have responsibility for setting and delivering the alumni relations strategy and managing all aspects of the programme. This includes the publications, communications and events, but also working directly with alumni associations run by volunteers, and taking the new Trinity alumni online platform into its second phase. Trinity is seeking an enthusiastic person with a fleible and positive attitude to join our friendly and busy office, which is the first point of call for alumni and donors to the College. The Alumni Relations programme sits alongside the Development programme at Trinity, which is responsible for raising major gifts and philanthropic funds through an annual fund appeal, and works closely with Communications and Events colleagues in doing so. Although the two areas have some distinct functions, the aim of the office is to have a holistic programme that develops ecellent relationships with alumni at all levels. 2 JOB DESCRIPTION Job Title: Department: Reports to: Responsible for: Purpose of role: Alumni Relations Manager Alumni Relations and Development Office Eecutive Director of Alumni Relations and Development Alumni Communications and Publications Officer; Events Coordinator; Alumni Administrative Assistant The Alumni Relations Manager has an important role in nurturing links between the alumni community and the College. They are responsible for overseeing the alumni publications and events, as well as active alumni associations and an online networking platform. They are a Senior manager within the team. Main Responsibilities: Strategy In consultation with the Eecutive Director of Alumni Relations and Development, plan the alumni relations strategy, including events, volunteer engagement and some engagement with donors. Work with the Eecutive Director and Deputy Director of Development on setting office plans and be responsible for setting and tracking relevant KPIs. Develop the College strategy for establishing and supporting recognised alumni association groups. Take responsibility for further roll out of Trinity Members Online (introduced 2018) and develop a strategy for its further development and use. Oversee the strategy and management of the College s subject group and general interest alumni associations, and work with them in support of the wider office objectives. Be responsible for the office s engagement with current students, including through alumni event opportunities and bespoke communications. Work in conjunction with the Deputy Director of Development to coordinate alumni relations work with fundraising strategies and ensure a pipeline of engagement in support of the College s fundraising initiatives. Management Manage the Events Coordinator, Alumni Communications and Publications Officer, and Alumni Administrative Assistant (0.6 FTE). Oversee the Alumni Events Assistant (reports to the Events Coordinator). Where appropriate help the alumni associations to manage their volunteer committees. Take responsibility for the day-to-day interactions between alumni and the office. Deputise for the Eecutive Director when required. Attend regular meetings with the Eecutive Director and Deputy Director of Development to plan the work of the office.

3 Events Participate in and attend events for the College as required. Being the lead person for devising and delivering alumni association events, working closely with the Events Coordinator. Working with the Deputy Director of Development, implement and maintain appropriate donor acknowledgement events for donors. Other duties: Management of the budget for alumni events, communications and associations. Participate in relevant meetings, contributing to strategy, discussions and decisions regarding alumni relations and fundraising at Trinity College. Undertake other tasks within the team as required to help achieve its goals. Any other duties that the Eecutive Director of Alumni Relations and Development considers appropriate for this role. Any reasonable changes to the duties and requirements in the job description which may be necessary to meet the changing needs of the job or to reflect the latest technology or best practice will be discussed and agreed with you at regular reviews. After 12 months in post the successful candidate will be epected to have: Met agreed activity targets, ensuring all communications, events and association activities are delivered on time and on budget. Finalised the roll-out of Trinity Members Online. Ensured that all alumni associations are working effectively for the benefit of their members. Successfully engaged the ARDO with the student body at the College, including an effective presence in Fresher s Week. Developed confidence and competence at representing the College and its priorities to alumni. Become a credible and respected member of the team, and developed positive relationships with other College Fellows and Staff, and Alumni Relations and Development colleagues in the University and other College teams. Developed, implemented and managed bespoke relationship strategies including in relation to stewarding and thanking donors. Demonstrated a fleible and can do attitude in all elements of daily work. This role will require some travel within the UK and some evening and weekend work.

4 PERSON SPECIFICATION Essential Qualities and Eperience Stage of the recruitment process when criteria will be considered: Shortlisting Practical Eercise Interview Educated to degree level or equivalent. Management eperience. Eperience of working as part of a team, with at least 4-6 years relevant work eperience. Eperience of alumni relations in a higher education or similar environment. Knowledge of the UK higher education system and the challenges it is currently facing, and a strong empathy with the aims and values of Trinity College. The ability to think strategically about alumni relations and the objectives of the College. Knowledge and eperience of organising small and large events. Eperience of working in a customer-focussed environment. Strong sense of professional integrity, honest and sincere approach to work. Understanding of data protection and other relevant legislation and how it relates to alumni relations and fundraising. Ecellent interpersonal skills, with the ability to deal professionally with people from all walks of life, establish internal and eternal networks and the resilience to deal with challenging personalities. Ecellent time management, tenacity, meticulous attention to detail and the ability to establish priorities and deliver to tight deadlines. Ability to work on your own, often under pressure, with minimum supervision, but also as a member of a team.

5 Willingness to help in all areas of a busy office when needed. An ecellent command of written and spoken English. Eperience of using the Raiser s Edge, or a similar relationship management system, as well as Microsoft Office Word, Outlook and Ecel. Eperience of working with volunteers. Eperience of working in a collegiate environment. Proficiency in one or more foreign languages.

6 EMPLOYMENT DETAILS Rate of Pay: Hours: Holiday: Probationary period Housing allowance: Meals: Travel: Pension scheme: Private Health Care: Gym: Sports & Social Club: 37,947-48,752 per annum on an incremental scale. Managerial and supervisory staff are normally epected to work whatever hours are necessary to complete their work. The nominal full time hours for this post are hours per week with an unpaid lunchbreak of ¾ of an hour. Additional attendance will be required on some evenings and weekends, particularly at events run and managed by the office, for which time in lieu may be offered. 25 working days plus 8 public holidays. Si months. Upon successful completion of the probationary period, staff members are normally eligible to receive the housing allowance, currently set at 1020 pa. Free lunch is provided for staff whose duties cover this period. Some UK travel will be required. Travel epenses will be reimbursed according to the relevant internal policies. A pension scheme, which complies with the requirements of the Occupational and Personal Pension Schemes Regulations for auto-enrolment, will be available after three month s service. Eligible staff may opt in earlier if they wish. All eligible staff will become members after three months. You may opt out of the scheme within one month of being enrolled if you wish. The College provides free health care currently through membership of BUPA. Membership of a dental care scheme is also available. Staff can join the schemes after successful completion of their probationary period, subject to certain limitations. This is a taable benefit. Membership of the College gym is available for a modest fee. Inductions are compulsory. Staff are usually able to participate in any eercise classes run for the benefit of the College community (payment is usually required). The Trinity College Staff Sports and Social Club, run by a committee of staff, offer regular outings to places of interest, and organises functions including a Christmas event.
