2 ANK OF INDIA ZONAL OFFICE JAIPUR ZONE NOTICE OF INVITATION OF QUOTATIONS Appointment of Architects/Consultant For Civil/Renovation including AC Works (as per requirements) for Bank s Branch at Sahuwala(District Sri Ganganagar) & Baropal (District Hanumangarh)(Rajasthan) We invite competitive sealed quotations of Consultancy Fee for for the captioned mentioned above from the Architects/Consultants empanelled in Jaipur(Rajasthan ) Zone Under Category II and Category III 1. Blank prescribed quotation form will be available during office hours from t o from the Premises Department, of bank of india Jaipur Zone Star House,B-4, Sector-2,Jawahar Nagar,Jaipur The interested firms may also download notice and prescribed quotation form from our web-site under head Tender. 2. We request you to advise us your professional fee for rendering consultancy services for the captioned work in the prescribed quotation form in a sealed cover super scribed as Quotations for professional fee for Interior Furnishing works for bank s branch(name of Branch) The cost of items, if any, to be directly purchased by the bank will not be included in the cost of the project for the purpose of calculating professional fee. The fees should be inclusive of all applicable taxes/charges etc. and there should not be any other claim afterwards. However, the service tax is payable extra by the Bank on the fee payable to the Architects. The conditional offer will be rejected by the Bank. 3. The scope of work will be as per Bank s standard guidelines, which are details as under: involve:- DUTIES/ FUCTION OF ARCHITECT/ CONSULTANTS The Architect shall render the following services with Supervision Responsibility in connection with the bank s proposed Interior Furnishing Work:

3 a) Taking the employer s instructions, visiting the sites, preparing sketch designs which shall be in accordance with local governing codes/standards, regulations /RBI guidelines etc/. (including carrying out necessary revisions till the sketch designs are finally approved by the employer), making approximate estimate of cost by cubic measurement square meter or otherwise and preparing reports on the scheme so as to enable the employer to take a decision on the sketch designs. b) Submitting a proper PERTCHART/Bar Chart incorporating all the activities required for the completion of the project well in time i.e. preparation of working drawings, structural drawings, detailed drawings, calling tender etc. The program should also include various stages of services to be done by the consultants in co-ordinance with the Architect. c) Submitting required drawings to local authorized and obtains their approval. If and whenever required. d) Designing and preparation detailed working drawings for all works including services and along with calculations as and wherever required and detailed estimated and specification along with bill of quantities. e) Preparing pre-qualification documents. f) Preparing detailed tender documents for various trades viz. general furnishing work and specialist services such as water supply and sanitary installation, electrical installation, etc., complete with articles of agreement, special conditions, conditions of contract, specification bill of quantities, including detailed analysis of rates based on market rates, time and progress charts, etc. in consultation with AC/Electrical Consultant. g) Preparing tender notice for issue by bank or inviting tender for pre qualifying/shortlisted parties on behalf of bank, as the case may be for all trades and submitting assessment reports thereon together with recommendations specifying abnormally high and low rated items. Preparing contract documents for all trades and getting them executed by the concerned contractors. The assessment report shall be based on proper analysis of rates with constants from an approved standard hand book and market rates of materials and labor for major items of works consisting about 90% of the estimated cost of the work.

4 All Commercial conditions shall be evaluated in financial terms instead of merely saying whether a condition may be accepted or not. When Conditions are not susceptible of evaluation, the alternative procedure of calling all the tenders for negotiation by asking them to submit a final bid based on set of common terms and conditions acceptable to the bank may be adopted. h) Preparing for the use of the employer/contractor and site staff.4 copies of contract documents for all trades including all drawings, specifications and other particulars. Preparing such further details and drawings as are necessary for proper execution of the works. i) Assuming full responsibility for supervision and proper execution of all works by general and specialist contractors who are engaged from time to time., including control over quantities during the execution to restrict variation, if any, to the minimum. j) No deviations or substitutions should be authorized by the Architect without working out the financial implication, if any, to the contractor and obtaining approval from bank. However, where time does not permit and where it is expedient. The consultant may take decision on behalf of the bank, the total cost of the item/deviation of which should not exceed RS. 10,000/-. This deviation shall be got subsequently ratified from the bank duly justifying his action at the earliest. k) Working out theoretical requirement and actual consumption of cement, steel and any other material, if and as specified in the tender on a regular basis for each bill. l) Assisting the employer in appointing a contractual/temporary site engineers or day to day supervision and measurement of work if and wherever required, and render technical guidance to the site engineer as required. m) Checking measurements of works at site. Checking contractor s bills, issuing periodical certificates for payments, and passing and certifying accounts, certifying final bills so as to enable the employer to make payments to the contractors and adjustments of all accounts between the contractors and the employer. Consultants shall assume full responsibility for all measurements certified by them. It shall be mandatory on the part of the Architect to check the measurements of various items.

5 Certified that the various items of the work claimed in this running bill/final bill by the contractor have been completed to the extent claimed and at appropriate rates and that the items are in accordance with and fully conforming to the standards/ prescribed specifications and drawings. We further certified that we have checked the measurement of various items as necessary claimed in this bill. Hence the bill is recommended for payment of Rs. (Rupees ) Date:- _ (Signature of the Architect) The Architects shall endorse the above certification in the relevant measurements books also. n) Submitting a detailed account of steel, cement and/or any other material that the employer may specify and certifying the quantities utilized in the works. o) Obtaining permission from local authorities for facilities and services as a result of addition alternation and modification wherever required, if the same had not been obtained earlier by the main Architect or client. p) Certify after test/commissioning/final inspection and check as the case may be, the completion of the work and/or satisfactory functioning of the system in services and utilities, as the case may be. q) On completion of the work/satisfactory functioning of the services systems and certification of completion/satisfactory commissioning prepare and supply four sets of as-build drawing with relevant calculations of the design/engineering for the records of the employer. The Architect shall verify and confirm that identification marks are made of all services installations/cables/wiring etc. as the case may be to carry out future additions/ alterations /maintenance jobs. r) The Architect Shall be wholly responsible for the successful completion of the project in all respect including performance guarantee of AC installed Electrical wiring at site. s) The Architect shall assist the bank in all arbitration proceedings between the contractors and the bank and also defend the bank in such proceedings.

6 t) Wherever the work involves any structural additions/alterations, the Architect shall furnish one complete set of structural design, calculations and structural designs for the Bank s records. u) Any other services connected with the works usually and normally rendered by the Architects but not referred to herein above. 4. Disbursement of the payment of Architects/Consultant s fee shall be as per the stages stipulated by Indian Banks Association guidelines/banks Instructions. 5. Please ensure to be present at the time of opening of quotations. 8. The Company/Firm must NOT have been black list by any Public Sector Bank nor shall their name be figured in the IBA Caution List.

The sealed quotation is to be submitted only in the format as provided with this notice. General Conditions to be fulfilled by the applicant 1. Separate sealed quotation shall have to be submitted for each branches. 2. The quotation of professional fees must be submitted in the attached Performa only. 3. Last Date & Time of Quotation submission is up to 3:00 PM 4. Quotations will be opened on at 3:30 PM in the Zonal Office at Star House, B-4,Sect-2, Jawahar Enclave, Jawahar Nagar, Jaipur. 5. Bids submitted will be valid up to 90 days. 6. The work has to be done on priority basis in a time bound manner. 7. Any communication in this respect will be done only thru E mail addresses or on telephone as provided by the bidders during the course of empanelment(with any revision intimated later to the bank) hence it is advised to check the respective E mail account regularly till the completion of this process. Any change in E mail address /telephone or mobile nos. must be brought in to the notice of the Bank immediately. 8.
