2 Assistant Project Officer Communications, Corporate Services Can you provide creative input to production processes and communications projects? Do you have experience in administration and project management? Providing support and assistance to the Communications Production team, you will also project manage the delivery of small communications and marketing projects. You will provide creative input into all aspects of the publication process, including photography and video production, copywriting for publications and online University profiles, and managing the distribution methods for publications and documents. You will provide assistance with the management of the University s online Coursefinder system, including coordinating users across campus, organising training, and responding to enquiries. You will also provide administration support for the team such organising events, updating the Communications team website, and maintaining office and project budgets. With experience of working in a similar office or marketing or communications environment, you will need good organisational, interpersonal and communication skills, with an ability to interact well with people at all levels of the organisation. What does the role entail? As an Assistant Project Officer your main duties will include: Contributing to the delivery of communications and marketing projects, helping to put together project plans, writing copy, organising events and providing administrative support for communications campaigns or activities; Leading the project management and delivery of video production projects for the University s website and social media in support of the prospectuses; Actively sourcing and shortlisting potential case studies, organising and conducting interviews, writing up and editing interview transcripts; identifying and booking locations; liaising with external suppliers; coordinating and attending shoots, and managing the editing process with the supplier; Leading the project management and delivery of print publications such as the money postcard and the Undergraduate Student Guide, including preparing project plans, writing and editing copy, and managing the print processes;

3 Working with the Print and Copy Bureau to manage the distribution methods for publications or documents created by the team; Assisting with the coordination of large projects, workshops and meetings, including identifying, booking and arranging venues organising refreshments and equipment; preparing materials taking notes, identifying and distributing actions; Assisting in coordinating Coursefinder users, organising training for new users and dealing with enquiries; Helping to populate and administer the team s photography library and the University facts and figures database; Assisting in maintaining office and project budgets and updating the Communications team website. These duties provide a framework for the role and should not be regarded as a definitive list. Other reasonable duties may be required consistent with the grade of the post. What will you bring to the role? As an Assistant Project Officer you will have: Experience of working within a busy office environment in a communications or marketing team, or similar; Experience of project management, demonstrating well organised and structured ways of working, with the ability to prioritise and plan effectively under pressure to meet tight deadlines; Experience of producing promotional literature, particularly using presentational and written skills for print and online content; Experience of managing and attending video and photography shoots, with the confidence to shape the creative direction. A flexible and problem solving approach, with the ability to manage competing and changing priorities; Excellent attention to detail with the ability to complete tasks to a high standard and in a timely manner; ability to input data accurately; Good interpersonal and communication skills, with an ability to interact well with people at all levels of the organisation; Self-motivated and able to work with minimal supervision with a professional approach to the role and a service orientated approach to others;

4 Effective IT skills with an in-depth understanding of Microsoft Excel, PowerPoint and Word; Experience of office administration, such as taking minutes, organising meetings, and managing enquiries. You may also have: A basic working knowledge of InDesign and other layout design tools such as Canva; Working knowledge of Photoshop and Lightroom; Experience of undertaking straight-forward market research, such as assisting with focus groups or undertaking desk research.
