8 EMPLOYEE MANAGEMENT USING THE EMPLOYEE MANAGEMENT SCREEN Click on the management button in the employees menu. A B You can search for employees by selecting the relevant region and site. You can search for an employee by entering their first name, last name and alias. 2 E C A D B F C You can tick the show inactive box to include inactive employees in the search. 9 ADDING A NEW EMPLOYEE You must ensure that all employees using Shortcuts at all sites are entered into Enterprise Manager or Enterprise Live. Enterprise Live only allows you to create employees for Shortcuts Fusion. You must use Enterprise Manager to add head office employees. Click on the management button in the employees menu. Click create new 2 employee. 2 Page 3

10 Enter the employee s first 3 and last name. Enter the employee s tax 4 file number into the TFN field. Select the employee s date 5 of birth. Enter a PIN number for 6 the employee. This is the 4 digit number that the employee will use to login to Shortcuts. The same PIN is used for the employee at all sites Enter an employee 7 alias. This is the name that will appear on the Appointment Book. Enter the employee s 8 contact details and street address into the appropriate fields. Enter a biography, if 9 required. This will be displayed in the app when clients make a booking. To add an employee 0 photo, click the browse button and select the image file. 0 9 Page 4

11 Select the date that the employee is being entered into Enterprise Live. Select the site that the 2 employee will be based at from the drop-down menu. If required, you can add the employee to another site later. Select the relevant 3 security level. Select the relevant service 4 level. (NONE) Select the employee s 5 booking interval, if applicable. (Site Controlled) Select the employee s 6 commission schedule, if applicable. (NONE) Tick the online booking 7 box if you want this employee to be allocated online bookings Tick the send 8 confirmations box if you want clients to receive a confirmation message when they have an appointment booked with this employee. 13 EDITING AN EMPLOYEE S DETAILS Click on the management button in the employees menu. Enter your desired search 2 criteria and click search. A Some employee details (e.g. alias, mobile number, ) can be edited directly through the employee list. After making changes to details in the employee list, click the save button to finish editing. 2 3 A Click on the view 3 employee details icon (book icon to the left of the employee s name). This will allow you to view and edit further details. Page 7

15 EMPLOYEE LOCATIONS USING THE EMPLOYEE LOCATIONS S C R E E N Click on the locations button in the employees menu. A B You can select an individual employee from the employee drop-down list. You can search for employees by selecting the relevant region and site. A D B E C F C You can search for an employee by entering their first name, last name and alias. D You can tick the show inactive box to include inactive employees in the search. E You can choose the number of locations you want to display. F To only view employees effective from a particular date, select the relevant date from the effective on drop-down lists. The effective on date defaults to the current date to show all employees currently working. Page 9

16 Once you have entered 2 your desired criteria, click search. G You can click reset to clear the search criteria. H The employee list will be displayed here. 2 G I The view employee location history icon allows you to view the employee location schedule. This includes details of historic and future location changes. I H J J The has future location event icon indicates that the employee has upcoming changes to their location information. You can click on this icon to view the employee location schedule. Page 20

17 ADDING AN EMPLOYEE TO ANOTHER SITE An employee can be added to multiple sites in Enterprise Live. You can also specify different information (e.g. security level, service level) for each site the employee works at. Click on the locations button in the employees menu. Enter your desired search 2 criteria (e.g. region and site). 3 Select the relevant 3 employee from the employee drop-down menu. 2 4 Click on the create a 4 new employee location button. The employee management screen will appear. Page 2

18 Select the date that these 5 details will come into effect from. Select the site you want to 6 add the employee to. Select the employee s 7 security level for this site. Select the employee s 8 service level for this site. Select the employee s 9 booking interval, if applicable. Select the employee s 0 commission schedule, if applicable Tick the online booking box if you want this employee to receive online bookings for this site. 3 Tick the send 2 confirmations box if you want clients to receive a confirmation message when they have an appointment booked with this employee. Click save to finish adding 3 the employee to this site. Page 22

19 EDITING AN EMPLOYEE S LOCATION INFORMATION You can edit an employee s location information such as their security level, service level, booking interval, online booking availability, and send confirmation settings on the employee location screen. You can also choose the date when these changes will be implemented. Click on the locations button in the employees menu. Enter the desired search 2 criteria and click search. Ensure that you can see the relevant employee in the employee list. Select the date that you 3 want your changes to come into effect from the effective on drop-down lists in the search criteria section Click search. Edit the employee s 5 location information as required. For example, you may wish to update an employee s security level, service level or booking interval. Click save when you are 6 finished updating the employee s information. The new information will be sent to the relevant site when the effective date arrives. Page 23

20 DELETING AN EMPLOYEE S FUTURE LOCATION D E T A I L S If an employee was scheduled to start at a new location but these details are no longer relevant, then you can delete the employee s future location details.! You cannot delete employee location details that have a past effective from date. Click on the locations button in the employees menu. Enter the desired search 2 criteria and click search. 2 Once you have found the 3 employee, click on the has future location event icon (on the far righthand side). The employee location schedule screen will appear. 3 Tick the select box for the 4 locations that you want to delete. 4 Click the delete button 5 to finish deleting the employee s future location details. 5 Page 24

21 MAKING AN EMPLOYEE INACTIVE AT A SITE! Before making an employee inactive you must ensure they have no future appointments. Run the Future Appointments report, then allocate any future appointments to another employee. Click on the locations button in the employees menu Enter your desired search 2 criteria, then click search. Ensure that you can see the relevant employee in the employee list. Select the date that you 3 want the employee to become inactive from the effective on drop-down lists in the search criteria section. 4 Click search. Untick the active box for 5 the site where you want to make the employee inactive. Click save. The employee 6 will become inactive when the effective date arrives. Page 25

22 PRODUCTS USING THE PRODUCTS SCREEN A product refers to a single item of merchandise. Each product belongs to a line, which is a range of products from a particular manufacturer. A manufacturer is a company that makes products (referred to as a company in Shortcuts Fusion). Click on the products button in the stock menu. A B You can search for products by selecting the relevant region, manufacturer (company), product line and category from the drop-down lists. You can also search for a product via the product name, barcode, PLU and product code. 2 F A E G B C D C Tick show inactive entities to show inactive manufacturers and lines. 23 PRODUCT PRICING USING THE PRODUCT PRICING SCREEN The product pricing screen allows you to change the prices for products in or below your control region. Click on the pricing button in the stock menu. A B You can search for products by selecting the relevant region, manufacturer, and line from the drop-down lists. To view products that are effective from a certain date onwards, select the desired effective from date. 2 F A E G B C D C Tick show inactive entities to show inactive manufacturers and lines. 24 EDITING A PRODUCT S PRICING DETAILS Click on the pricing button in the stock menu. Enter your desired search 2 criteria and click search. Ensure that you can see the relevant product in the product list. Select the date that you 3 want your changes to come into effect from the effective from drop-down lists in the search criteria section Enter the relevant cost 4 price, if required. Enter the relevant retail 5 price. Optional: Enter the 6 recommended retail price into the RRP field. If the product s cost price 7 currently overrides its parent region s price and you no longer want it to differ, tick the revert cost price box. Page 33

25 If the product s retail price 8 currently overrides its parent region s price and you no longer want it to differ, tick the revert retail price box. If other future price 9 changes are no longer relevant, tick the delete future price changes box. Click save. The changes 0 will be implemented when the effective date arrives Page 34

26 DELETING A PRODUCT S FUTURE PRICE CHANGE DETAILS If a price change was scheduled but these details are no longer relevant, then you can delete the product s future price details. Click on the pricing button in the stock menu. Enter your desired search 2 criteria and click search. Ensure that you can see the relevant product in the product list. 2 Click the view product sell 3 history icon (on the far left). The product sell time line screen will appear. 3 Page 35

28 STOCK LEVEL USING THE STOCK LEVEL SCREEN The stock level screen allows you to change the warning, required and minimum reorder levels for products in or below your control region. Click on the stock level button in the stock menu. A B You can search for products by selecting the relevant region, site, manufacturer, and line from the drop-down lists. D You can choose how many products you want to display. Once you have entered 2 your desired search criteria, click search. E You can click reset to clear the search criteria. 29 CHANGING STOCK LEVELS Click on the stock level button in the stock menu. Enter your desired search 2 criteria and click search. Enter the desired 3 maximum level, if applicable. This is the quantity that you aim to have after receiving an order. This value can be automatically calculated, but if you manually enter a value it will override the automatic number Enter the minimum 4 acceptable stock level. If the product count falls below this level, this product will be automatically added to the next reorder. Enter the warning level. 5 When the product count reaches the warning level, Shortcuts will remind you to order more of this product. Enter the minimum order 6 quantity. This indicates the minimum item quantity that can be included in an order. Page 38

30 Enter the number of 7 days to cover. This is the number of days sales that an order should cover. If you would like the 8 product s maximum level to be automatically calculated based on sales, tick the recalc maximum box. However, if you have manually entered a maximum level, it will override the automatic calculation Once you have entered 9 the desired stock levels for each product, click save. Page 39

31 REPORT DESCRIPTIONS Reporting is an essential tool for your enterprise system. Enterprise Live provides you with a wide range of reports to assist you in measuring the perfo rmance of your sites. There are several types of parameters that you can use to refine the results generated in reports. The following list of reports come standard with Enterprise Live. APPOINTMENTS Days Appointments: A listing of any date s appointments, listed by time, client and service. Employee Appointment and Roster Analysis: A comparison of the rostered times to the allocated appointment times for each employee, and for the whole salon. If required, you can drill down to each site and then each employee individually. Tag Usage: A report listing Appointment Tag usage between two dates. The results are grouped by tag name and lists the appointment date and time, as well as the employee and client. This report only includes appointments where a tag has been assigned to the appointment. The tags are sorted according to the tag that was associated with the highest revenue, to the least revenue. Value of Future Appointments: A graphical representation of the value of all appointments within a specified date range for the selected sites. Percentages (%) are given for each employee at each site. BUSINESS Business Takings Comparison: This report is set out so that you can easily compare the client numbers and day s total takings for a particular weekday over a specified date range. Gift Certificate Usage: A report that provides a listing of Gift Certificate usage for a specified date range for the specified site(s). Outstanding Gift Certificates: This report displays a list of all outstanding gift certificates, including the associated client, original and outstanding amounts and date of last redemption. There is also a summary of Total Sold and Total Outstanding for each site, and the group as a whole. Payments: A report showing the breakdown of a date range s transactions by payment type. Payments Breakdown: This report gives a summary of the sites daily takings for each payment type over a specified date range. Sales Breakdown: A graphical and tabular comparison of daily product, service, sundry, series and gift certificate takings across a group of sites for a specified date range. Sales by Item: This report displays all products, services and sundries (excluding gift certificates, series and point redemptions) sold for a specified date range. It displays the item name, as well as each client that bought it, the quantity bought, the amount paid and any discount provided, as well as the profit margin. The last page displays the total quantity sold, discount given, and amount and tax received. Sales by Product/Service: This report displays all products, services and sundry income items sold for a specified date range. It displays the item name, quantity bought, the product s cost (as an average figure over the specified time period), normal sale price, actual amount paid, tax paid and any discount provided, as well as the gross profit margin in $ and %. Series Sales Liability: This report displays Series Sales Liability at a given date for a specified site(s). Liability for series sales is also shown per client and in terms of series expiring within a given number of days. A graph is also shown displaying the Historical Trend of Liability over a specified number of months. Site Performance Summary: A summary containing all sites performance for a specified date range. The report includes the number of clients seen in the time period, service and product values, a breakdown of the types of services done (based on Report Categories) and the average client spend for each site. This report uses the Service setup to generate the figures, so it is very important that each service is set up correctly. Site Ranking: This report ranks the top 5 sites according to their service, retail and total income figures, across a group of sites for a specified date range. Tax: (may be named GST, VAT etc.) This report lists all tax received and paid for a specified date range for the selected sites. The report will list all taxes received on sales, and taxes paid on expenses and stock orders. Drill down is supported so it is possible to determine how each total is made up by clicking on the relevant total. Yearly Sales by Month: This report lists all sales income for the year for the selected site(s), broken down month by month into service, product, gift certificate and sundry/series. It also lists the number of clients for the year. Page 45

32 CLIENTS Aged Debtors: A list indicating all clients on account with the total amount due or in credit for each client. Business total for outstanding accounts, credit amounts and total due amount. Client Accuracy: A report displaying two pie charts showing the completeness of the client cards. The first pie chart shows the ratio of clients with addresses to clients without addresses. The second pie chart shows the ratio of clients with complete cards to clients with incomplete cards. This report helps the Business to ensure accurate records for marketing. The report can also produce a list of all clients without addresses and also a list of clients that do not have the Card Complete option ticked. New Clients: A list of new clients whose first visit was within the specified date range. This report is also available as a marketing query, which can be exported for mail merges. Non Returning Clients: A report that displays all clients in the selected date range who have not returned to the business since. EMPLOYEES Consolidated Employee Performance Summary: A summary containing all employees performances for a specified date range and site(s). The report includes the number of clients seen in the time period, service and product values as well as a breakdown of the types of services done and the average client values for each employee. Employee figures can appear separately for each site they work at, or can be consolidated. This report uses the Service setup to generate the figures, so it is very important that each service is set up correctly. Consolidated Employee Ranking: This report ranks the top 35 employees (figures are consolidated if they work at more than one site) according to their service, retail and total income figures, across one or more sites for a specified date range. Employee Hours: A summary containing all employees Clock on and Clock off times for the specified date range at the specified site(s). The report indicates the number of hours worked by each employee each day and a final total for that period. Employee Performance Summary: A summary containing all employees performance for a specified date range. The report includes the number of clients seen in the time period, service and product values, a breakdown of the types of services done (based on Report Categories) and the average client spend for each employee. Employee figures will appear separately for each site they work at (not consolidated). This report uses the Service setup to generate the figures, so it is very important that each service is set up correctly. Employee Ranking by Site: This report ranks the top 5 employees according to their service, retail and total income figures, across individual sites for a specified date range. Figures for employees that work at multiple sites are not consolidated. Rebooking Breakdown: A report listing employee appointment rebooking statistics for a specified date range for the specified site(s). The percentages of Total Rebooking Credit is displayed for each employee in the pie chart and the bar chart displays the total rebooking credit for each employee. The Totals at the top of the report give total client visits in the period, the number of those clients that were rebooked and the rebook percentage. Drill down into each employee to see individual rebook credits. Series Sales by Employee: A report displaying all series sales, including the quantity and total amount, made by employees for a specified date range for the specified site(s). Tips by Employee: A report displaying all tips for a specified date range for the specified site(s). The report can be restricted to certain employees and will display a pie graph showing the relative percentage of tips for each employee. Visit Note Reminders: A list of clients that have not had their Visit Notes updated for a service they have had. Grouped by site and employee. END OF DAY Client Site Log: This report lists significant actions and screen access for all employees for a specified date range. Grouped by site. Consolidated Trading Summary: A summary of trade over a date range for a group of sites. The report includes payments received, sales, and a breakdown of product sales for the employees and for the business. Figures are consolidated for all sites within the specified group. End of Day Till Balance: A printed form for you to use to balance the day. Breaks the day's takings into Cash, Credit Card, Cheque and Account and leaves spaces to write in the totals from the Cash Draw. Grouped by site. Page 46

33 Session Details: A report which provides more descriptive information regarding a particular End-Of-Day session. Site Transactions: A breakdown of transactions including client name, service and products, transaction amount and any discounts given. Trading Summary: A summary of trade over a date range. The report includes payments received, sales, and a breakdown of product sales for the employees and for the business. Transactions Breakdown by Client: A breakdown of transactions by client including items purchased, transaction amount and any discounts given. Transactions Summary: A breakdown of transactions including client name, service and products, transaction amount and any discounts given. MISCELLANEOUS Connection Blackouts: Use this report to identify any possible outages between head office and the sites - this will report on any times when there has been more than 60 minutes between POS sites connecting to Enterprise Server. Site Connection Statistics: This report displays the connection status of each selected site, along with the time of the last connection and transaction received by Enterprise Server. Also displays the site GUID for easy log searching. Site Security: This report displays the current security settings for all security levels for the selected sites. Grouped by site. ORDER PROCESSING Outstanding Orders: A list containing all orders that have not been received. The report is grouped by site and supplier and lists the order number, order date, manufacturer name and general product details. Totals for quantity, tax and the price are given for each supplier followed by a final total for the business. Stock Received: A list containing all orders that have been received by the relevant sites during a date range, including invoice number and date, total number of items, order cost and received cost per supplier. SERVICES Service Breakdown by Quantity: This report displays the quantity of services performed for each employee. Grouped by site. The report does not show revenue, only quantities. To see revenue, refer to the Service Revenue Breakdown report. Service Points Categories: A tabular and graphical comparison of service sales quantities, grouped by report categories, across multiple sites for a date range. This report does not show income figures, only quantities. To see income figures, refer to the Service Sales report. Service Price List: A complete service price list, including individual blocks and break times. Grouped by site and category. Service Revenue Breakdown: This report displays the service revenue for each employee at each site over a date range. The report does not show service quantities, only revenue. To see service quantities for each employee, see the Service Breakdown by Quantity report. Services Sales: A tabular comparison of service revenue across multiple sites for a date range. Grouped by service name. Also lists all employees and the services they performed, with quantities and total revenue. STOCK Manufacturer Sales Performance: A graphical representation of the total revenue based on Manufacturer, including totals and percentages. Grouped by site. Product Breakdown by Qty: This report displays the quantity of products sold by each employee. Grouped by site. The report does not show revenue, only quantities. To see income figures, refer to the Product Sales report. Product Price List: A list of all active products grouped into Manufacturer and Line, displaying current Sell Price as of the report date. Grouped by site. Product Sales: Displays a bar graph for easy comparison of sales over a date range, grouped by Manufacturer, across a group of sites. Also displays each employee along with the quantities sold per manufacturer and total retail revenue. Product Sales - Detailed: A tabular comparison of sales over a date range, for each product, across a group of sites. Also displays each employee along with the quantities sold per item and total retail revenue. Page 47

34 Product Sales Summary: This report displays a list of all products sold and quantities, along with the minimum, maximum and average price they were sold for, and the net amount. Stock Level Comparison: This report displays a list of all current stock levels at a specified Group or Site for all active products. Stock on Hand: Displays all active products, along with the current stock on hand, on order and warning/required quantities. Stock Price Comparison: Compares the price of products between selected sites. TRANSACTIONS Client Transactions: A report listing all clients with their corresponding transaction information, including payment types, and the services and products purchased. Consolidated Discount Reason: This report gives a consolidated view of discounts (inc tax) given across multiple sites, including discount amount and total sale amount (after discount), and which employee gave the discount. Totals are provided for each discount reason, allowing you to determine how effective a particular marketing campaign might have been, for example. Discount Reason: This report lists the discounts given across multiple sites, including discount amount and total sale amount (after discount), and which employee gave the discount. Expenses: This report displays a list of expenses, along with the date of the transaction, the tax, discount and total amount spent. Page 48

35 VIEW REPORTS GENERATING A REPORT Click on the view reports button in the reports menu. Click on the name of the 2 report you wish to view. The reports screen will open in a new window. 2 Page 49

36 Select a date range to be 3 included in the report. A You can use the dates section to choose from a list of preset date ranges, or you can select a custom date range using the from and to drop-down lists. 3 A B B C Alternatively, you can select a date range using the advanced date range selection calendars. Some reports allow you to choose a single date to report on (e.g. today, yesterday). This is used for the more detailed reports such as Days Appointments. D 4 D The group/site section allows you to choose which site(s) will be reported on. If you wish to select a 4 group of sites, simply click on the group name. If you wish to select a single site, select none from the group list, then select the relevant site. C Page 50

37 The tickboxes in the 5 options section will differ depending on the report. Tick the relevant boxes to specify which information you want to include in the report. 6 E E If you have previously saved profiles for this report, you can select a profile from the dropdown menu. This will automatically fill the report criteria with the relevant information. Click the submit button 6 in the top left corner to generate the report. 5 Page 5

38 USING THE REPORTS TOOLBAR The reports toolbar allows you to print or export the report, as well as flick between pages or zoom in or out of particular sections of the report. A B C D E F To export the report, click on the export icon, then choose your desired export settings. To print the report, click on the print icon, then choose your desired print settings. Use the arrow buttons to change between pages of the report. To view a particular page, enter the page number that you want to view, then click the go to icon. To search the report, enter the word/value you want to search for, then click the search icon. The search results will appear in yellow on the report. To zoom in and out of the report, select the desired zoom percentage from the drop-down list. A B C D E F Page 52

39 SAVING A REPORT PROFILE You can save the selected report settings as a profile, for easy selection next time you run the report. This will only apply to the current report, and only f or the user currently logged in. Open the relevant report, and select your desired report criteria. 2 Click on the save icon to 2 save the current settings. The save profile window will appear. Enter a name for the 3 profile. Tick this box if you want 4 this profile to be the default profile when opening this report. Click the save icon.
