1 2017 BUSINESS PLAN

2 PREFACE Every organization to be successful needs guidelines to grow and a plan of action to follow. The Executive Board of the Hardin County Cattlemen s Association has created this business plan, adapted from the 2000 Action Plan to be used in furthering these goals. This plan is intended to provide the reader with the vision of the Officers and Directors of the Executive Board. This vision is stated as goals, objectives and tasks, to be accomplished in the coming year and aids in promoting quality beef production as a valuable food source industry within Hardin County and surrounding communities of neighboring counties. This business plan will be used as an evaluation document at year-end by the executive board to grade themselves and the association. This grading process will then be used as the baseline for the incoming officers and directors. This business plan is a living document and is subject to revision as goals, objectives and tasks are impacted by changed to plans at state level and from the Executive Board of this Association. 4 ADMINISTRATION Goal: Carry out the objectives of the membership and the Executive Board in the most efficient manner possible. Objective 1: Increase local association effectiveness through identification and selection of outstanding leadership. Task 1: Work with the Nominating Committee to identify and recruit outstanding leadership with in the membership. Task 2: Selected candidates participate in KCA Director s orientation to increase knowledge and effectiveness of Executive Board members. Task 3: Participate in KCA organized training sessions that educate and inform Board members about proper methods and activities for non-profit organizations. Task 4: Association Presidents participates in KCA orientation that fosters a greater understanding and appreciation of the state organization and its role with local associations. Task 5: Attend regional KCA meetings to establish and maintain excellent communications with other local and state officers. Objective 2: Improve effectiveness and efficiency of HCCA through proper budgeting and resource allocation. Task 1: Work with the Budget Committee to allocate all resources of the association in a manner consistent with the direction and initiatives of the Executive Board. Task 2: Work with the Executive Board to recruit committee chairmen to insure proper staff alignment to accomplish the association s goals. Objective 3: Seek opportunities necessary for the association to be able to determine future direction and the plans to carry it out. Task 1: Participate in KCA sponsored Strategic Planning Sessions to be better informed about state level future planning. 4

5 BEEF HERD IMPROVEMENT Goal: Promote development of the county cattle industry through management techniques and use of superior breeding stock to increase marketing opportunities and profit potential. Objective 1: Participate in KCA sponsored value added programs to learn more about their cattle and the cattle industry. Task 1. Encourage producers to participate in value added programs. Task 2. Participate in training session to better understand the valued added information. Task 3. Encourage producers who have participated in the valued added program to share the information to other producers on what they learned from the program. Task 4. Publish value added programs results when available. Objective 2: Support the Kentucky Beef Integrated Resources Management Program. Task 1. Organize a team of county producers to help implement IRM training. Task 2. Promote IRM success stories. Task 3. Identify local representatives to participate in an educational IRM trip. Task 4. Provide some financial support for selected representatives to attend the IRM trip. Objective 3: Promote educational courses/ sessions that improve cow/calf operations. Task 1. Encourage producers to attend the Master Cattleman / Grazer Program. Task 2. Encourage producers to attend forage improvement sessions. Task 3. Promote field trips to other states and counties that would include registered breeders, large and small cow/calf operations and feedlot operations. 5

6 COMMUNICATIONS Goal: To support the Hardin County Cattlemen Association and the KCA in communications activities that produce positive messages and image of the association and its many associations. Objective 1: To convey communications through various mediums, each with specific messages, audiences and purposes. Task 1. To summarize each quarter by focusing on membership of KCA, HCCA and the state cattle industry. Task 2. Encourage local members to provide pictures/articles for publication in the KCA Cow Country News. Task 3. Encourage local members to share true stories about their experiences managing and working with beef cattle. Task 4. Encourage local producers to write articles for publication in the farm section of local county newspapers. Task 5. Promote the association over radio during county festivals where free air time is available. Task 6. Encourage members of the Executive Board to establish and maintain a professional working relationship with KCA staff to aid in providing high quality information for the local membership. Objective 2: Aid Association membership in identifying beef producers who are not currently local members. Task 1. Have available a Hardin County Cattlemen s Association membership list. Objective 3: Information Technology committee HCCA. Task 1. HCCA will continue to promote thru social media. Task 2. Executive Board will be responsible for content of social media. 6

7 Objective 4: Recognize County Youth involved with the cattle industry with financial support. Task 1. Donate to the Ohio Valley District Preview Show to support youth who participate in the cattle show Task 2. Sponsor the Hardin County Fair Youth Competition Show by awarding Grand Champion Market Steer $350, Reserve Market Steer $250, Non-Winning Youth Showing Market Steers - $100. Task 3. Recognize the youth showing Market & Breeding Animals with suitable recognition. Task 4. Sponsor Championship Record Book in the amount of $100. Task 5. Offer two $1000 scholarships to Hardin County youth, one for graduating high school seniors and one for a student already enrolled in a trade school or university, who is also a member of HCCA or KJCA. Scholarships are given in recognition of Wayne G. Overall and Hansel Pile Sr. Task 6. Donate to KJCA Fall Classic. Task 7. Pay State dues for junior cattlemen who want to join. Objective 5: Continue to support improvements to livestock facilities at the local Ag livestock facilities. Task 1. Continue to provide Beef membership representation on the Board of the Hardin County Livestock Improvement Association, and/or Extension Ag Foundation. Task 2. Continue to provide financial support to the Hardin County Livestock Improvement Association. Task 3. Continue to provide volunteer labor for projects initiated by the Livestock Improvement Association. Objective 6: Continue to support local organizations. Task 1. Donate $250 (minimum) to county for dead animal removal. Task 2. Donate $250 to Vine Grove animal shelter. 7

8 COOKS Goal: Conduct cooking activities of the HCCA in a profitable manner and promote the beef industry, and to provide financial support where need by the approved budget. Objective 1: Provide support to the Supply and Cook Captains to ensure and increase profitability. Task 1. Give input on pricing, cost control, locations and scope of the cooks. Task 2. Supply written accounting of all financial transactions of cook activities. Task 3. Explore and develop new cook opportunities. Task 4. Encourage membership participation in at least 50% of local cooks (a minimum of 2 large cooks and 1 smaller cook). Task 5. Consider utilizing new beef products in cook activities. Task 6. HCCA will give financial support for those whom pull the cook equipment. Objective 2: Increase positive awareness of cook activities to HCCA members. Task 1. Highlight upcoming cooks. Task 2. Provide Executive Board with details of the planned cooks. Task 3. Executive Board provides cook oversight to ensure cook activities are consistent with priorities. Task 4. Publish a listing of major cooks to be supported by the association for the coming year to generate revenue for the coming year expenses/budget. Those cooks are listed as follows: 1. Nolin RECC in June 2. Glendale Crossing Festival in October 3. Farm Bureau Annual Meeting TBD Note: Other cooks may be scheduled during the year as requested. 8

9 BEEF PROMOTION Objective 1- HCCA will promote beef as part of a healthy diet for all consumers. Task 1. Education of consumers will be through various promotions that beef is part of a healthy diet. Task 2. Complete demonstration cooks where samples of beef are given to consumers along with recipes to promote beef. Task 3. Set up booths at various grocery stores and home supply stores to complete demonstrations cooks. Task 4. Set a calendar of events to promote beef at high traffic areas. Task 5. HCCA to provide the grill, beef, and other supplies required. Task 6. HCCA to recruit members to help with beef promotion. Task 7. Possible dates- May beef month. Task 8. One member of the Beef promotion committee will become a member of the HCCA board to make various reports back to board. 9

10 LEADERSHIP DEVELOPMENT Goal: Develop, implement and improve a Leadership Development Program in order to help develop county leaders in the cattle industry. Objective 1: Look for Leadership Development opportunities. Task 1. Sponsor local membership for participation in KCA Leadership programs. Task 2. Sponsor local membership in KCA sponsored continuing education programs when invited by KCA staff. Objective 2: Generate funding for local leadership/membership educational events. Task 1. Seek donations from Agricultural suppliers to support quarterly membership meetings. Task 2. Pursue funding from grants through existing foundations, including the KY Dept. of Agriculture. Objective 3: Provide high quality quarterly meetings during the year. Task 1. Include at least one guest speaker with name or company recognition at each session. Task 2. Solicit membership feedback from each quarterly meeting. Task 3. Involve various memberships to introduce guest speakers and planning for future guest speakers. Task 4. Build a list of potential guest speakers/companies and make written/telephonic contact to extend an invitation. Task 5. Invite KCA staff and other local beef associations to attend quarterly meetings. 10

11 LEGISLATIVE Goals: Provide policy direction and guidance to HCCA delegates on issues deemed important at the local level for cattlemen and the beef industry to consider at the KCA annual meeting. Objective 1: Formulate issues/suggestions for presentation to the KCA Board of Directors and/or House of Delegates. Task 1. Monitor legislative and regulatory activities and propose policy changes that would improve the effectiveness of KCA s lobbying efforts. Task 2. Make recommendations to the Board of Directors about actions needed to meet the expectations of members and adequately represent the views of local cattlemen. Objective 2: Assist KCA staff with input to help them formulate guidance necessary to permit them to represent cattlemen and the beef industry. Task 1. Assign a member to maintain contact with KCA staff to keep informed about issues which impact public policy positions. Task 2. Establish communications with KCA staff on issues that impact at the local level and offer suggestions/recommendations on KCA position. Objective 3: Provide information to the local contact base for building support among elected officials. Task 1. Participate in and phone calling campaign to make contact with elected state senators/representatives Department of Agriculture officials to promote KCA positions. Task 2. Work with the state cattlemen s association to maintain contact with key legislators in order to build relationships and influence with those representatives. Task 3. Forward a complete list of state and national legislators to the local membership. 11

12 MEETINGS Goal: Plan and carry out the HCCA Quarterly/Annual meetings and field days for the membership. Objective 1: Members learning more about current issues and conduct the business of the association. Task 1. Encourage member attendance to the quarterly/annual meetings and field day. Task 2. Continue to have guest speakers at the annual meeting. Task 3. Continue to have educational programs with attractive topics at the quarterly meetings. Task 4. Continue to offer door prizes at the annual meeting. Task 5. Encourage spouses to attend all meetings (consider offering program unique for them). Objective 2: To set a standard for delegate selection to the KCA convention. The number of delegates will vary as to the number of members in the local association that belong to the state KCA as of 1 October of the current physical year. The 1 st choice for delegate selection should be offered to the current association President. If the association has any directors currently serving on the state level, then they should be the associations 2 nd choice. Should any of these elect not to serve as delegates, then the current officers and Board of Directors should seek delegates within the association. Any additional delegates should also come from within the association. Objective 3: In support of any association member as a delegate selected to represent the HCCA at the KCA convention; HCCA may pay up to $250 for each delegate. The delegate is required to attend meetings at the KCA Convention and report back to the association meeting with updates. 12

13 MEMBERSHIP Goal: Increase KCA and HCCA membership, increase member involvement, and add membership services for further support the local and state cattle industry. Objective 1: Encourage county Beef producers to join KCA and HCCA. Task 1. Invite nonmembers as guests to quarterly/annual meetings and field days. Task 2. Conduct a follow-up with nonmembers about becoming local and state members. Task 3. HCCA will publish at least one article about joining the state/local associations. Task 4. Get KCA staff and extension personnel to participate in on-farm visits with members and non-members during the year. Task 5. Offer incentives to encourage nonmembers to join. Objective 2: Conduct an organized and effective campaign to increase HCCA membership with goal of 250. Task 1. KCA will bill for membership. Task 2. Notify membership of dues notice in the fall newsletter. 13

14 STOCKER/FEEDER Goal: Promote development of Kentucky and Hardin County cattle industry and make producers aware of quality management techniques that increase value and, ultimately, potential profit. Objective 1: Continue promotion of HCCA cattle within Kentucky and outside the state. Task 1. Promote the Certified Preconditioned for Health (CPH45) or value added herd health program. Task 2. Monitor and report performance of valued added programs or CPH-45 cattle at quarterly meetings. Task 3. Work with state Agriculture Colleges, extension and Dept. of Agriculture to market county cattle. Task 4. Promote participation in retain ownership, grass fed, all natural fed programs to gain additional marketing opportunities. Objective 2: Work with all segments of Kentucky s cattle industry to further develop and implement a Beef Quality Assurance Program for Kentucky beef producers. Task 1. Participate in Kentucky Quality Assurance Partnership when offered. Task 2. Develop and/or maintain a good working relationship with stockyards, order buyers, veterinarians, and any other agencies that work within cattle industry, in promoting quality handling of cattle. Objective 3: Work with all segments of the state Cattlemen s producers for cattle identification programs. 14
