3 1. Intrductin This plicy prescribes the cnditins under which departments can authrize emplyee (full-time and part-time) access t language training at Bigen Idec. It establishes a management framewrk and administrative rules intended t increase the efficiency and effectiveness f cmpany-funded language training. 2. Aim It is Bigen Idec s plicy t ensure that all permanent emplyees (full and part time) f Bigen Idec Internatinal GmbH cntinue t have generus access t language training t enable them t meet the language requirements f their respnsibilities in supprt f Bigen Idec s gals, meet their career bjectives as well as supprt integratin in Switzerland. 3. Rles and respnsibilities 3.1 Departments (Cst Centers) Department heads lcated in Zug are accuntable t Bigen Idec fr the implementatin f this plicy and fr the results achieved frm departmental expenditures n language training. Department heads & line managers must ensure that their emplyees cmply with this plicy when authrizing emplyee access t cmpany-funded language training. Department heads & line managers must ensure that all emplyees use the chsen cmpany fr their language classes. There will be n exceptins. Department heads & line managers must analyze the business needs f the training request accrding t Language Training Requirements (# 8). Administrative respnsibility fr emplyees in language training remains with the direct line manager wh is required t take measures t: Mnitr emplyee prgress Assist emplyees experiencing difficulty Cunsel emplyees wh, because f absence, lateness, r ther reasns, jepardize their wn prgress r that f thers Withdraw emplyees when it is determined, in cnsultatin with them and the training supplier, that they are unlikely t attain the bjectives f the training in questin in the time allwed 3.2 Human Resurces HR Department in Zug must ensure that this plicy is cmmunicated and is made easily available t all parties (inet, Public Flder, etc.). 3 f 7

4 Facilitate the registratin prcess supprting the departments in setting target fr elected emplyees. Manage the relatinship with preferred supplier. The HR Department f Bigen Idec is authrized t carry ut the guidance prcess and establish and maintain its preferred schls and prgrams fr the language training f Bigen Idec emplyees. 3.3 Preferred Supplier Language training supplier that is certified as meeting standards established by Bigen Idec and listed in the VMP maintained by Cmmercial Strategic Surcing Manage the language prgram fr Bigen Idec Maintain a web-based registratin prcess, with a wrkflw that meets Bigen Idec requirements Manage the creatin and updates f grup classes Generates KPI reprts t track perfrmance f individuals, grups and verall prgram efficiency 3.4 Emplyee Get apprval frm his/her manager and HR via the registratin prcess (see Enrllment # 8) Demnstrate a ptential fr attaining the level f prficiency required within the authrized language training time (see Training duratin - # 4.2) Cmmit t attend grup classes during the agreed training hurs (meeting in Outlk calendar) 4. Administrative rules gverning language training 4.1 Training schedules Language training cvered by this plicy is generally taken during nrmal hurs f wrk and the time f the training is included in their wrking day. The emplyee is nt expected t make up the time spent in n language training. Language training fr private/persnal use in supprt f emplyee aspiratins will nrmally be taken utside f wrking hurs. Managers are nnetheless encuraged t take apprpriate measures t facilitate emplyee access t such training. 4 f 7

5 4.2 Training duratin The targeted number f hurs f language training during wrking hurs is set at the time f registratin. The language schl will generate a dcument that estimates the number f hurs (cst) needed t reach the gal. 5. Language lessn type Since departments are required, as a general rule, t select lessn type n the basis f relative cst efficiency and effectiveness, there are three ptins available: 1. SEMI: Grups up t 4 students 2. GROUPS: up t 6 students 3. PRIVATE: One t ne 6. Main language and training requirements The main languages cvered in this plicy are English and German. English is the cmpany s main language and we want t make sure ur emplyees have the necessary language skills t fulfil their jbs; and German as the fficial language f the cantn where the ffice is lcated and because we, as a cmpany, want t make sure ur emplyees are integrated in the Swiss envirnment. There are 5 different language training requirement types: (1) T integrate ex-pats and relcated emplyees int the lcal culture (German) (2) T integrate ur freign emplyees int the lcal culture (German) (3) T develp r imprve language skills which are nt related t jb requirements but in supprt f emplyee's career bjectives (English) (4) T cver a specific business need r jb requirement (5) T give emplyees the pprtunity t develp language skills fr persnal use at the discunted cmpany rate Fr the type (1), (2), (5) Line Managers are nly asked t acknwledge the enrllment. Fr type (3), (4) Line Managers are asked t analyze the business need r career bjective and then apprve/reject it accrdingly. 7. Cst invlved The emplyee cntributin will be driven by the training needs and by the type f training mdality the emplyee decides t chse /see language lessn types - # 5 ): 5 f 7

T prvide emplyees the chance t develp language skills fr persnal use at the discunted cmpany rate (utside their wrking hurs) Cst: The emplyee will cver 100% f the cst f the chsen curse If any class is missed withut ntice befre 14:00h f the preceding wrkday at the latest, the emplyee will pay 100% f that class. The cst will be managed thrugh the payrll and effective ne mnth after the classes have been taken. 8. Enrllment Berlitz is the BIIB preferred prvider as f March Berlitz has develped an enrllment frm t ensure quick access t language classes as well as a test t determine the apprpriate level f prficiency. Berlitz will manage the entire prcess frm the registratin (except the Line Manager & HR cnfirmatin) until end f language training fr each emplyee. All cmmunicatin between the emplyee and the language schl will als be dne directly. After cmpleting the enrllment frm n the inet and the prficiency test, the emplyee will send the dcument t Berlitz, wh will prvide the emplyee with an ffer fr the language curse within 36 hurs. The emplyee will then get the ffer apprved/cnfirmed by the line manager as well as HR and send it back t Berlitz fr cnfirmatin f the start date. The emplyee will return the riginal signed enrllment frm t HR. Bigen Idec will prvide the rm fr the classes as well as the time fr the emplyees t attend during ffice hurs. 6 f 7
