1 AESOP & VeriTime Reference Guide

2 Logging in on the Web To log in to Aesop, type in your web browser s address bar (on mobile devices, type m.aesoponline.com). Enter your ID number and PIN, then click Login. Creating an Absence You can enter a new absence right from your Aesop home page under the Create Absence tab.

3 Select the Employee that the absence needs to be created for (click the bubble next to their name). You can also search by last name or the first letter of the last name. Once selected the green button will appear that says fill out details:

4 Choose the date or date range for the absence, select the reason for the absence, and if it will be a full day, half day, or custom hours. Then select the green button Review and Confirm When you hit Review & Confirm you will get to make sure it looks right one more time before submitting. Hit Create Absence

5 Absence has been created. This will carry over to VeriTime and show on the employee s time sheet if they clock in and out. To get to VeriTime to check the Time Sheets: Click the VeriTime tab

6 Click on Time Sheet Review to check the time sheet. Select Monthly or Bi-Weekly thedate Range or custom date range and hit search.

7 You can also hit advanced options to search by a single employee To look at their timesheet, click on the first icon.

8 Their timesheet will open on the screen. You can expand one or all of the days. Click on the blue bar or hit expand all The absence that was created will appear on the time sheet

9 If a full day absence was created, there should be NO time punches. If the employee did clock in, check with them to make sure they still need the absence. If they are out on professional leave, they do not need to clock. If the employee missed a punch, the hours will show There should NEVER be 0.00 hours. Either leave needs to be entered or time needs to be entered

10 To approve the TimeSheet, select the Approve, Reject or Reset Button When you choose to approve you will need to sign that you approved. You can add comments if you want. Select the box that says I certify. Put in your PIN that you use to log into VeriTime and then hit submit.

11 If you approved and need to make a change, you hit the same button you did to approve Under Action, hit Reset to Pending and put comments in as to why and select submit.

12 To view the entire time sheet for a pay period or date range: From the Home page, Select Work Detail Select Bi-Weekly or Monthly and Date Range. You can search all your employees or a specific one by entering in the employees last name under Search for User. Hit Run report

13 The time sheet for your employees will be displayed

14 At the bottom of the Time Sheet will show a job summary. Under the Events section: Auto Deduct time is the employees lunch that is auto deducted. Daily shift hours, and Misc hours. Will display Total Hours and Total Paid hours. Under the wage section: Regular Hours, OT Hours, Holiday, or any leave taken. ****Total Paid is ONLY the hours that have been submitted. It does not account for an employee that is out of leave. Once the hours are imported, payroll will take appropriate Docks if necessary.***** These time sheets need to be printed, reviewed by the employee and submitted to Payroll. To print, hit control print. The timesheets will print one employee per page. BEFORE you approve timesheets, have the employee review.

15 Work Summary This report shows the amount of hours as a summary.

16 Other Reports: Click on People Locator: This report will show you the current day of any employee s activity. You can filter it to show only missing (did not clock in)

17 Clock Exceptions: From the Home page, select the Reports Tab Select the Clock Exceptions Icon

18 This report will allow you to filter by missed punches and early/late punches. You can search by employee and date range. Hit Run Report to View. Actual - only pulls employees that used their badge to clock in or out Adjusted pull employees that used their badge to clock in or out and will show if manual adjustments were made

19 Clock Log: This report will show you all of the activity for an employee s punches. You can search by employee and date range. Hit Run Report to View.

20 Payroll Review: This report will show you the employee s regular hours, OT hours, GAP (variation from their schedule), Leave that was entered. You can search by employee and date range. Hit Run Report to View.

21 To Return to AESOP, click on the AESOP Tab Reports out of AESOP Select the Reports Tab.

22 A drop down will appear and you can select what report you want to view. Absentee Report Select the date range and hit search

23 Select Print to Print this report. Have the employee sign off that they approve the leave and send to payroll on a Bi-Weekly basis Leave will be imported on the Bi-Weekly payroll schedule. Leave HAS to be entered in AESOP on the Payroll Ending Date of the Bi-Weekly payroll schedule. Once leave has been imported into Skyward for the Bi-Weekly pay schedule, it cannot be imported for missed entries in AESOP. You have to contact Payroll to get the leave entered in Skyward. However, if you did not enter in leave and the import was done, you will still need to enter in the leave in AESOP. Otherwise the timesheet will not have correct hours.
