POSITION SUMMARY Primary role of the Business Analyst / Project Manager (BA / PM) will predominantly be supporting the delivery of IT application projects and ongoing evolution of headspace direct clinical services. Responsibilities for this versatile role will include but are not limited to addressing stakeholder requests, gathering and defining requirements, and define new process improvement opportunities. Work within a dynamic group of mental health professionals, BAs and PMs in the successful implementation of the projects within the agreed scope, timeframe and budget. Reporting to the Program Manager Strategy & Business Transformation, you will have responsibility for understanding and documenting business needs in order to gather the necessary information to propose and implement solutions. The Business Analyst will be able to demonstrate a commitment to teamwork and the maintenance of a collaborative and supportive work environment, while supporting various objectives and project deadlines. 5. POSITION CONTEXT This role is located within the Digital and Technology Services at headspace National Office. You will liaise with internal and external stakeholders including various software providers, vendors and support services. 6. KEY RESPONSIBILITIES/OUTCOMES Requirements Elicitation and Analysis Identify key stakeholders impacted by a proposed initiative or business need, and conduct stakeholder analysis. Determine the activities required to define the solutions to business problems, how the activities will be carried out, the effort involved, and estimate how long the activities will take. Work in collaboration with internal and external stakeholders to capture requirements and business rules. Elicit requirements using various methods, including but not limited to interviews, document review, requirements workshops, surveys and teleconferences. Understand various concepts and terminologies, including highly technical content, and express them in a clear and concise manner. Perform gap analysis to compare solutions against stakeholder requirements Documentation Develop requirement specifications, business cases, functional specifications, process models and state transition models. Develop and maintain system training manuals. Create and maintain Disaster Recovery guidelines. Create and maintain eheadspace User Acceptance Test (UAT) cases, checklists and documentation. Ensure all documents are written using clear and concise language. Ensure all documents support and clearly represent the stakeholders identified needs, opportunities and processes. Ensure all documents meet all relevant specifications, and are compliant with the project brief, headspace requirements, policies and procedures. Obtain stakeholder sign-off for documented deliverables. Stakeholder Liaison Act as the internal representative and subject matter expert for stakeholder requirements.

3 Build and maintain strong relationships with internal stakeholders. Identify opportunities and propose solutions for issues facing the program teams. Coordinate and deliver training courses as required. Coordinate and deliver Disaster Recovery drills. Coordinate and conduct UAT for new system implementations and software patch releases. Conduct business as usual handover and training to the Operations team to provide ongoing IT support to the Clinical Programs team. Planning and Delivery Conduct assigned project activities in alignment with project timelines and budget. Work with internal stakeholders to support and implement solutions according to stakeholder requirements. Liaise closely with the Program Manager regarding prioritisation and estimation of levels of effort, risk and cost of implementation. Identify issues and risks, ensuring that they are appropriately raised and actioned. Ensure recommended solutions are competitive. Reporting Ensure relevant information is effectively communicated and reported to the Program Manager Develop, prepare and distribute reports as required. Project Management Direct and manage application project development from beginning to end. Define project scope, goals and deliverables that support business goals in collaboration with senior management and stakeholders. Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion. Manage and coordinate contractors, suppliers, and sponsors in the delivery of online services and other applications, including tracking/monitoring of performance against agreed project plans and milestones. 7. SELECTION CRITERIA The following criteria must be met for consideration for this position: 7.1 Essential A tertiary qualification in Information Technology or related discipline and/or related industry experience. 5+ years Business Analyst experience in the end to end life cycle of business and data projects Demonstrated experience process mapping and business and functional requirements documentation The ability to translate abstract information into high quality business requirements Strong interpersonal skills with a proven ability to build and maintain strong relationships with internal and external stakeholders. Exceptional verbal communication and workshop/training facilitation skills. Strong attention to detail and ability to interact with a diverse group, executives, managers and subject matter experts. Proven ability to successfully elicit and document requirements and get results with minimal supervision. High level of initiative with ability to deal with multiple projects simultaneously and with conflicting priorities. Demonstrated ability to write clearly and succinctly. Effective active listening skills.

4 5.2 Desired Experience in tools such as Tableau, SSRS, PowerBI Knowledge of Agile, Scrum and Waterfall Project Management and Software Development Methodologies. Knowledge of Usability and Accessibility. Ability to lead technology project if required 8. JOB COMPLEXITY, SKILLS, KNOWLEDGE 8.1 Level of Supervision/Independence Will operate under limited direction and exercise managerial responsibility for various functions within a section and/or organisation or operate as a specialist, a member of a specialised professional team or independently. Has significant delegated authority. Control and co-ordinate a work area within budgetary constraints where required. Guidance is not always readily available within the organisation. Normally supervises other employees and establishes and monitors work outcomes. 8.2 Problem Solving and Judgement/Risk Positions at this level will demand responsibility for decision-making and the provision of expert advice. May be required to negotiate matters on behalf of the organisation. Roles may involve complex professional problem solving. Decisions and actions taken at this level may have significant effect on projects/programs/work areas being managed. Independently relate existing policy to work assignments, rethink the way a specific body of knowledge is applied in order to solve problems, adapt procedures to fit policy prescriptions or use theoretical principles in modifying and adapting techniques. A health professional at this level applies a high level of professional judgment and knowledge when performing a wide range of novel, complex, and critical tasks, specific to their discipline. 8.3 Professional and Organisational Knowledge Requires a good understanding of the long term goals of the organisation. Comprehensive knowledge of policies and procedures. Application of a high level of discipline knowledge. A high level of interpersonal skills is required to resolve organisational issues, negotiate contracts, develop and motivate staff Qualifications are generally beyond those required through tertiary education alone, typically acquired through completion of higher education qualifications to degree level and extensive relevant experience. May be a recognised authority in a specialised area. 8.4 Breadth of the position Employees at this level are involved in developing and implementing significant operational procedures which impact on activities undertaken and outcomes achieved by the organisation. Be expected to undertake the control and co-ordination of major work initiatives and/or undertake managerial or specialised functions under a wide range of conditions to achieve results in line with corporate goals. May manage a section or organisation. 9.
