2 NKA-HRA-P01 Revision:02, 2009 JAN 20 Page : 2 of PURPOSE The objective of this procedure is to provide guidelines for identification and provision essential resources for implementation of strategies and action plans to achieve the organization s objective. 2.0 SCOPE This procedure covers the management of recruitment process, infrastructure, work environment of NKA. 3.0 DEFINITION NKA Naza Kia Academy Sdn Bhd 4.0 REFERENCES 4.1 Replacement Personal Request 4.2 Employment Application Form 4.3 Interview Assessment Form 4.4 Employee Particular Form 4.5 Confirmation Form - Executive 4.6 Confirmation Form Non Executive 4.7 NKA-QM, NKA s Quality Manual 5.0 RESPONSIBLITIES The Assistant Manager, HRA will be responsible to ensure the overall application of this procedure. 6.0 PROCEDURE HUMAN RESOURCES 6.1 Competence and Awareness Personnel involved in performing work effecting quality of services, inspection and test activities, calibration activities, conducting quality system internal audits and any activities that contribute to overall product/ service quality shall be provided with relevant training or have demonstrated adequate knowledge and understanding of the job required All head of operation shall ensure their personnel are aware of the relevance and importance of their activities and how they contribute to the achievement of the quality objective The HR Assistant Manager shall be responsible for recruitment of personnel who are suitably qualified in performing the respective work as per NKA-HRA-P01.

3 NKA-HRA-P01 Revision:02, 2009 JAN 20 Page : 3 of New employee shall be provided with an induction briefing from the HR department and necessary on job training from his/her immediate supervisor The HRA shall establish a set of document to determine the necessary competency for personnel performing work effecting product quality. The document shall include but not limited to: a) The position/ title b) Job description c) Qualification, skill and or experience requirement. 6.2 Training Records Training record for individual NKA s worker shall be retained and updated by the training and development operations. 6.3 Infrastructure The requirement for main infrastructure such as building, workspace and associated utilities shall be determined during the initial stage of every new project and shall be monitored by NKA Maintenance Section All supporting process and services shall be determined by other NKA s section depending on the requirements to support the NKA operation Top management shall give the necessary support to be able to provide the necessary resources and infrastructure needed to be achieved conformity to product requirement It is the responsibility of every section to maintain the infrastructure within their control The preventive maintenance of the main infrastructure utilities/facilities will be done and monitored by NKA Maintenance Section. 6.4 Work Environment The sufficient work environment needed to achieve conformity to products requirement shall be determined by respective operations during the initial planning stage It shall be the responsibility of respective operations to ensure the work environment within their control been sufficiently manage and maintained.

Section Head are required to fill in New/ Replacement Personnel Request Form for any new position /replacement occur. 2. Completed Job Description shall be attached together with New/ Replacement Personnel Request Form before obtaining Management approval. New/ Replacement Personnel Request Form, NKA-HRA-F01 Obtain approval from Management Call candidates for interview Fill in Employment Application Form 3. HRA department will arrange short listed potential candidate for attending interview session. 4. Upon evaluate candidate, the interviewer/s are required to fill in Interview Assessment Form. 2. Interview assessment form shall be verified by interviewer. Interview Assessment Form, NKA-HRA- F04 Good 3. At the end of interview session all the forms and judgment shall be compiled and submitted to HRA department. Informed candidate within 2 weeks Get approval from DGM-NKA Prepare Offer Letter 4. HRA will prepare offer letter to successful candidate. Upon registration, employee is required to fill in employee particular form. 2. Induction briefing will be conducted within a week from the date of join. Employee Particular Form, NKA- HRA-F05 Briefing tasks and responsibilities Job Evaluation by superior Fill in Confirmation Form after 3 months 3. Job description will be given to employee stated their job scope and responsibilities. 4. Employees performance will be evaluate after 3 months to determine the suitability of the candidate with the position. 5. Confirmation letter will be issued to successful employees. Confirmation Form- Executive/Non Executive, NKA-HRA- F06/07 Extension for a period of 3 months Fit Fit Issue Confirmation Letter Issue Confirmation Letter 6. Extension for the period of 3 months will be given to employee who does not meet the company expectation. 7. Disciplinary action including termination of service will be taken to those who are not meet the company s expectations after the extension probationary period of 3 months.
